Job Description

The Global Centre for Asian Women’s Health (GloW) aims to build a global research platform for transdisciplinary endeavours to address major health concerns over a woman's lifespan and across generations. Through its main hub in Singapore, the Centre will engage in multi-disciplinary research to promote women’s health, including a series of diet and lifestyle intervention studies.

Purpose of the role

The project coordinator/manager will play a key role in dietary intervention studies by actively managing and coordinating diet and lifestyle intervention studies in GloW. Responsibilities include development, implementation and monitoring of meal plans, educating participants as needed, collecting dietary data, and performing administrative duties to ensure the studies’ success and compliance. The staff will work closely with Principal Investigators of intervention studies, collaborate closely with the research team, food service team, and other relevant stakeholders, as well as undertake other ad-hoc responsibilities assigned by the Centre’s Director as needed.

Main Duties and Responsibilities

The staff will hold a few key responsibilities, including

(1) Intervention study coordinator:

• Recruit and interview study participants for the intervention study
• Implement methods for collecting dietary data, including detailed food intake records and compliance monitoring.
• Conduct regular assessments to evaluate participants' nutritional status and document any deviations from prescribed diets.

(2) Nutritional Intervention study monitoring:

• Monitor food/nutrient composition for meals developed for intervention study
• Collaborate with the research team to integrate nutritional components into the study design and ensure alignment with research objectives.

Vendor and Procurement Management: Manages vendor relationships, including negotiating contracts for items like copier machines, coordinating with IT vendor to log support tickets, and handling purchases of office supplies, pantry items, furniture, and IT equipment in line with company policies and budget.

Safety and Compliance: Serves as Fire Warden, coordinating with building management on safety protocols, fire drills, and annual servicing of fire hoses and extinguishers.

Courier Services: Arranges local and international courier services to support staff and client needs.

Additional Responsibilities

Event Support: Assist in planning and executing company events, including the annual conference and team-building activities.

Ad-hoc Duties: Provides additional support to Management as needed, including administrative assistance in the Chief of Staff’s absence. Undertake various tasks as required to support the team and our clients.

REQUIREMENTS:

Education: Diploma or higher in any discipline.

Experience: Prior experience in roles involving client services, personal assistance, administrative support, or office operations is highly advantageous. However, a positive and proactive working attitude is valued above all, and candidates with a strong willingness to learn and adapt will be considered.

Salary Range: $3600-$3800

Job Responsibilities

1) Operations

• Manage and maintain residential/commercial property sites as assigned.
• Conduct regular checks and inspection on grounds to ensure property is well maintained.
• Ensure building statutory requirements are complied.
• Review and recommend replacement/improvement plans for managed sites.
• Provide essential customer service support to the residents and owners.
• Identifies relevant tender notices and liaise with internal divisions, oversee the entire tender process. (e.g. attending site briefing, costing provisions, quality proposal, tender submission/interview)
• Approve and adhere to budgets and expenditures.
• Maintain good relations with client, staff, contractors and visitors to the site.

2) Managing Employee Development

• Conduct orientation program for employees to receive the appropriate new hire training to successfully perform their job.
• Ensures employees are cross-trained to support successful daily operations.
• Uses all available on the job training tools for employees; supervise on-going training, initiatives and conducts training, when appropriate.
• Manage all staff through Scorecard Process with clear defined goals.
• Shape culture of Abacus Property and constantly repeating our core values.

3) Maintaining Employee Relations

• Reviews progressive discipline documentation for accuracy and consistency and checks for supportive documentation and is accountable for determining appropriate action.
• Utilizes an "open door" policy to acknowledge employee problems or concerns in a timely manner.
• Ensures employee issues are referred to the Department Head for resolution
• Communicates performance expectations in accordance with job descriptions for each position.

4) Managing Legal and Compliance Practices

• Ensures compliance with procedure for accessing, reviewing, and auditing employee files and ensure compliance with the Personal Data Protection Act. (PDPA)
• Ensures medical records are maintained in a separate, secure and confidential medical file.
• Ensures all safety and security policies (e.g., work safety, lost and found items, accident reporting, and hygiene) are communicated to employees on a regular basis through orientation, company meetings, etc.
• Conducts periodic claims reviews with the Finance Department to ensure claims are closed in a timely manner and reserve levels are appropriate for open claims.
