Reporting Lines:

This position reports directly to the College Director. The incumbent’s primary role is to support the College Director in:

· Provide administrative support to facilitate the smooth running of courses;

· Act as the secondary point of contact for students with feedback, suggestions or complaints.

Duties and Responsibilities

• Updating & maintaining the SMS prospective student database;

• Answering student enquiries;

• Coordinating all administrative requirements;

• Secondary point of contact for student;

• Sourcing and arranging student work placements.

• Analysing, evaluating and applying academic approval of the work placement site.

• Preparing Memorandum of Understanding with organisations on work placements (if necessary).

• Working with stakeholders to ensure work placements are appropriate.

• Administration / Practicum supervision.

• Maintaining industrial engagement.

• Develop and execute activities with the objectives to inculcate the College’s values, and to develop the students professionally.

• Assist the College Director as required.

Requirements

· Diploma or Degree in any discipline;

Job Description and Responsibilities:

• Evaluate, perform validation of completeness and accuracy of the KYC screenings, evaluate and document the assessment of the results according to relevant regulations, guidance and procedures
• Handle internal queries on regulatory requirements and compliance policies and procedures on AML-CFT
• Provide support in the development and maintenance of in-house training content for periodic trainings on AML-CFT
• Participate in establishing, implement and provide oversight AML/CFT policies, procedures, systems and controls

Job Requirements:

• A recognized degree, preferably in Accounting, Banking & Finance or equivalent
• Minimum 2 years of relevant experience in compliance and regulatory matters with a sizable financial institution/regulatory body, legal, brokerage and investment firm preferred
• Candidates with Certified Fraud Examiner (CFE) or Association of Certified Anti-Money Laundering Specialists (ACAMS) will be an added advantage
• Working knowledge of local regulatory guidelines, KYC and AML guidelines is essential
• Possess strong analytical and problem-solving skills with excellent verbal/written communication and interpersonal skills
• Ability to exercise sound judgement, escalate issues and propose solutions appropriately

Job Description

a) General

1. Maintain and update Crewing Calendar factoring projects and in-house needs and crew leave.
2. Support and provide information on Time Off In Lieu (TOIL) entitlement for in-house crew on a monthly basis.
3. Maintain an updated crew database for both in-house and freelancers with positions, grades, job scale, and performance, rate of professional fees, responsiveness, reliability, skills and technical competencies.
4. Any other ad-hoc crewing responsibilities.

b) Project-Related

1. Obtain relevant project information from Sales Department for crewing needs including details such as location of project, crew positions, duration of project, crew rate, and any other additional requirements.
2. Consult project technical manager to identify the crew requirement and skill sets required for each project.
3. Roster project with in-house and freelance crew.
4. For freelancers - Negotiate fees, manage contracts and other documents, and outline expectations and company policies.
5. Arrange and/or coordinate crew logistics including preparation of per diems, visa application, flight, accommodation, transportation, and meals.
6. Plan for crew contingencies for unexpected situations that may jeopardize projects.
7. Supper project crew by playing an active role in all communications related to crew (logistics and crew welfare).
8. Provide replacement crew if a crew member becomes unavailable due to sickness, flight cancellations, etc.
9. Assist in all project closeout activities including evaluation of project performance (from crew perspective), archival of projects, and preparation of close out reports.
10. Incorporate crew performance evaluation reports into crew database.
11. Tabulate and analyse project crew financials (freelancer fees, logistics, Per Diems, etc.) report to Crewing Manager cost over-runs or irregularities.
12. Verify invoices received from freelancers for billing.
13. Assist in reimbursements for projects for in-house crew members.

Requirements

- Perform accurate data entry to the account system.
- Ensure compliance with relevant accounting standards and regulations.
- Housekeeping and filing of finance documents.
- In charge of stock inventories and resolve if there any discrepancies.
- Perform month-end closing for the financial report within the timeline.
