1. Full Set of Accounts:
• Manage the full set of accounts, including General Ledger, Accounts Payable, Accounts Receivable, and Bank Reconciliations.
• Ensure all financial transactions are recorded accurately and timely.
2. Financial Reporting and Budgeting:
• Prepare monthly and annual financial statements for management and donors.
• Assist in budgeting and monitor expenditure to ensure alignment with the budget.
• Track the financial usage of grants and sponsorships and prepare reports for grant applications and audits.
3. Day-to-Day Financial Operations:
• Handle accounts payable and receivable, including invoicing, vendor payments, and collections.
• Perform bank reconciliations and monitor cash flow to ensure sufficient operational funds.
• Maintain accurate records of all transactions in accounting software.
4. Payroll and Staff Expenses:
• Process payroll, including CPF contributions and statutory deductions.
• Manage staff reimbursement claims and ensure proper documentation.
5. Audit and Compliance:
• Prepare necessary documentation for external audits.
• Ensure compliance with Singapore’s regulatory and tax requirements for charities (e.g., IRAS, Charities Act).
6. Donation and Fund Management:
• Record donations and provide summaries to management and donors.
• Monitor restricted and unrestricted funds, ensuring proper usage.
7. Financial Policy and Internal Controls:
• Assist in developing financial policies to ensure efficiency and prevent fraud or misuse of funds.
• Suggest improvements for financial processes to save costs.
8. Proactive Communication:
• Proactively ask questions when unclear about tasks or expectations.
• Promptly inform superiors about any obstacles, challenges, or potential issues encountered.
• Highlight critical matters that need attention to ensure smooth operations and prevent delays.
9. Event and Performance Support:
• As a performing arts organization, there may be occasions where the role requires working outside of standard hours to support events, performances, or meetings.
• Be flexible and willing to assist with event-related financial tasks, such as on-site ticketing, payment handling, or expense tracking.
Requirements:
• Education & Experience:
• Diploma or degree in accounting, finance, or related field.
• At least 2 years of recent experience managing a full set of accounts, preferably in a non-profit or small organization. (Experience in the last 3-5 years is strongly preferred.)
• Technical Skills:
• Proficiency in accounting software (e.g., QuickBooks, Xero) and Microsoft Excel.
• Basic knowledge of Singapore’s charity regulations is a plus.
• Soft Skills:
• Strong organizational and time-management skills.
• Ability to work independently with minimal supervision.
• Attention to detail and a proactive approach to problem-solving.
• Excellent communication skills, with the ability to ask clarifying questions and provide timely updates to superiors.
• Flexibility to adapt to changing schedules and requirements during events and performances.
