• To check Technical Specifications of Machine Tools before proceeding with order booking to Japan HQ and local Production Division
• To correspond/ negotiate with Japan HQ and local Production Division on relevant sales administration matters
• To prepare and create Sales Master Plan for each budget term as well as monitoring Sales Master Plan against Actual Result
• To prepare commercial and technical reports for Management in Japanese language
• To communicate and negotiate the financial terms with Japanese banks in Singapore and subsequently offer financial plans for customers’ consideration
• To provide sales administration support for countries under Singapore territories such as Malaysia, Indonesia, Thailand, Vietnam and India as and when required

Job Requirements

• Possess Bachelor's Degree in relevant discipline
• Fluent in English and Japanese (both oral and written) in order to interface between Singapore office and Japan HQ
• Familiar with sales operation in Singapore, Japan and other overseas markets in Machine Tool business
• Well-versed with Technical Specification of Machine Tools
• Possess in-depth knowledge of machine tool industries and shipping documentation
• Excellent in Microsoft Office skills
• Relevant working experience is a pre-requisite
• Independent, fast response and willing to work overtime

• Prepare and issue quotations for ACMV / HVAC service maintenance & new project jobs.
• Update GP on jobs billing details and prepare all documents for billing submission.
• Update / Issue project code for all service and new project jobs.
• Actively liaise with client representatives for any concerns on the service or project jobs and constantly follow-up on purchase orders as required.
• Constantly coordinate with Project Supervisor on new projects awarded and other clients’ concerns needed to be addressed.
• Economically source spare parts and other materials needed for all service or project jobs.
• Prepare daily sales and monthly quotations reports.
• Prepare tender documents for new projects.
• Issue delivery order or service chits.
• Shipment booking, coordination and preparation of required documents.
• Monitor disposal of empty cylinder stocks and order replenishment as needed.
• NEA reporting as required.
• Update of General Waste Report.
• Data entry of collection note / disposal cylinder and preparation of reports & certificates accordingly.
• Monthly update on refrigerant price to customer and follow-up on new order or price feedback.
• Generate and issue purchase orders to vendors as required.
• Answer main line phone calls.

Responsibilities:

• Delivers services in accordance with pre-defined Service Level Agreements
• Responsible for timely execution and completion of payroll cycles (Regular and Off cycle payroll)
• Responsible for timely and accurate submission of statutory payments and reporting
• Prepares and reconcile payroll summary and variance reports to ensure accuracy of the payroll results as generated in the trial payroll run
• Conducts monthly reconciliations to ensure data accuracy between Workday and Payroll record
• Provides hypo-tax and compensation details of international assignees to International Mobility team
• Responsible to provide accurate calculation of final pay and adhering to all local statutory requirements – IR21 and IR8A filing
• Processes employees’ IR21, IR8A, year-end tax reporting, NS Claims and Government Paid Claims.
• Initiates payroll payment runs and approve any payment exceptions made outside the main payment method( i.e., cheque/ cash payments)
• Maintains proper filing and documentation of all relevant Documents (Payroll advice reports and correspondences) pertaining to Payroll related activities
• Supports UAT testing and endorse Incidents and Change requests
• Recommend continuous improvement to improve SLA to raise employee delight and BU engagement ratings

Requirements:

• Diploma in Accounting, Finance, or related field
• Minimum 2 years of experience in payroll processing
• Proficiency in accounting software (SAP) and Microsoft Excel will be an added advantage
• Excellent organizational and time management skills, with the ability to manage multiple tasks and meet deadlines
• Strong attention to detail and accuracy in data entry and financial transactions
