Job Description

The HSSE Administrative Executive assists in the terminal implementation of Occupational Health, Workplace Safety, Fire Safety, Security & Environmental programs and initiatives, in compliance with local legislations and corporate guidelines. He/she will assist in the Integrated Management System administration and documentation.

Duties and Responsibilities

• To support the OSH program and make safety and health a part of their daily routine and to ensure that they are following safe work methods and relevant regulations
• General administrative support as required by members of Transport Dept. and management
• Liaise with customers or vendors related to procurement and administrative requirements
• Monitor vessel schedule vis PSA Portnet and Jurong port system.
• Declare permit via Trade web Live(permits)
• Manage customer orders and transportation requests within the TMS, ensuring accurate input and timely processing. Manage and address customer queries that are routed by TMS systems
• Retrieve and analyze data from TMS system and or other internal systems to address customer requests
• Coordinate with internal teams, carriers, and logistics partners to schedule pickups, deliveries, and transit times in accordance with customer requirements via the TMS.
• Monitor delivery status and information in real-time, providing updates to customers and stakeholders as needed via the TMS.
• Generate and analyze reports from the TMS to track key performance indicators (KPIs), such as on-time delivery, customer volume metrics and customer satisfaction scores.
• Serve as the primary user and administrator of the TMS for managing customer orders and deliveries
• Prepare documentation for lifting operation perform in Port facilities.
• Prepare documentation for cargoes clearance from Keppel distripark,Jurong port.
• Prepare and submit police escort application for Out of Gauge (OOG) Cargoes.
• Perform general administrative duties eg, Invoicing, Filing, mailing, faxing and photocopying

Job Responsibilities:

1. Monitor accounts (41% assignment) to identify outstanding debts. Initiate collection calls, emails, or correspondence to follow up on overdue payments and negotiate payment plans when necessary.
2. Build and maintain relationships with customers to facilitate prompt payments and resolve dispute.
3. Develop and implement collection strategies, following up on overdue accounts, and negotiating payment plans.
4. Assist in reviewing and discussing legal documents with lawyers to facilitate escalation processes and follow up on debt collection cases with Dun & Bradstreet.

Job Description:

• Providing secretarial, administrative, and personal supports to MD.
• Conduct weekly diary meeting with the MD to discuss upcoming engagements, invitations, and other requests. (e.g. meeting appointments, travel schedule, and travel arrangements).
• Schedule and manage meetings on behalf of MD, between him and his direct reports and the committees and group to which he is a member.
• Assist MD to follow up on task assigned to subordinate and manage MD’s appointment.
• Filter general information, queries, phone calls and invitations to the MD by redirecting and taking forward such contacts as appropriate.
• Prepare correspondence on behalf of the MD, including the drafting of general replies.

ROLE & RESPONSIBILITIES

1. Establish yearly corporate budget (sales, profit and investment) following with Nippon Express Group policy and HQ (Japan) direction.
2. Explain corporate plan to management and allocate the budget to all business divisions.
3. Support management to establish middle term business plan.
4. Manage and monitor monthly P&L to maintain accurate financial records and ensure compliance with accounting standards.
5. Manage and monitor daily cash flows and take measures to enhance capital efficiency (negotiating with financial institutions such as banks).
6. Prepare investment plan in Japanese language for Japan HQ approval.
7. Communicate in Japanese language with Japan HQ on improving company profitability.
8. Manage and prepare quarterly and yearly financial report to Japan HQ, coordinating with external auditors and manage audit processes.
9. Understand HQ policies and directions and enlighten employees group policy and directions to all local employees.
10. Compile company’s budgeting & forecasting and report to Japan HQ in Japanese.
11. Corresponding with Japanese customers and governmental associations.
12. Facilitate a smooth relocation process for Japanese expatriates, including visa support, bank account setup, and housing arrangements (service apartments).
13. Conduct onboarding and offboarding orientations for Japanese employees.
14. Assist Japanese expatriates with employee benefitsarrangements, such as education allowances, medical expenses, housing allowances, and memberships.

MINIMUM REQUIREMENTS

• Bachelor's degree is required.
• Extensive experience more than 20 years in the freight forwarding and warehouse logistics companies and strong background for the logistics industries.
• Having experience for working in Japanese companies and understand the Japanese company culture and way of business are preferred.
• Supervisory experiences in Finance /Accounting, HR / Administration, broad and basic knowledge for each field with the ability to handle multiple tasks efficiently.
• Communication skills in English to interact effectively with internal and external parties.
• Proficiency in Japanese (JLPT N2 Level) in speaking, listening, and writing is essential, as the role often requires interaction with Japanese counterparts.
• Strong experience with Microsoft Excel, Word, PowerPoint
