Roles and Responsibilities:

- Ensure consistent service levels applicable to the SLA

What You Will Do

As we grow our team of highly skilled professionals and institutionalize our operations, we are looking for a Corporate Services Manager to join our offices in Singapore. This role is a full-time position based in Singapore, with a target start date of January 2025.

You will work closely with the Executive Team of the organization reporting to the Deputy CEO and will manage operational and administrative matters. Amongst your core responsibilities will be:

Finance and Metrics Administration

• Generate monthly utilisation, project financials, and firm financial report for management review, liasing with external accountant
• Generate quarterly firm performance and impact metrics for management and board review, liasing with external accountant
• Support management in the development or updating of financial and administrative management tools and policies
• Liaise with external accountant and auditor as part of annual audit

HR Operations Support

• Compile and update monthly staffing tracker
• Support recruitment, onboarding, development, and performance review processes
• Serve as liaison for administration of the MOM portal and work pass applications
• Support updating of HR policies from time to time and compliance to such policies (e.g. expenses)

Firm Administration and Board Support

• Support the Executive Team as required, including expense submission, scheduling, and time-tracking
• Provide secretariat support for board meetings, AGM, and other key meetings
• Maintain Tri-Sector’s active memberships in relevant partner ecosystems (e.g. raiSE, NCSS, AVPN, Commissioner of Charities)
• Manage compliance requirements with various Commissioner of Charities and ACRA regulations and support updating of firm policies from time to time, working with the external corporate secretariat

Office Coordination

• Manage the lease, including reviewing the office lease from time to time (we currently use a co-working space)
• Act as point of contact for visitors to the Singapore office
• Be the liaison for matters related to IT, work health and safety
• Manage office equipment and supplies

HR Business Partnering

• Provide professional, business-focused HR services and conduct business partnering duties.
• Advise hiring managers on the principles of fair employment selection practices.

HR Operations and Employee Relations

• Manage the employee lifecycle that includes onboarding/offboarding, medical benefits, insurance, work injury claims, Government survey submissions, training grants, NS Make-up claims and Government paid leaves, as well as HR reporting.
• Manage employee relation issues, conduct investigations and function as a mediator for workplace conflicts to uphold and maintain positive work environments and teams.
• Ensure quality data management of HR records, and information in personnel files and HRIS, following company policies, labour regulations, and audit guidelines.
• Familiarity with timely & accurate payroll principles and payments while complying with the relevant legislations & stipulated Company policies and guidelines.

Recruitment and Onboarding

• Identification and hiring of mission-critical open positions to be filled in consultation with line managers.
• Recommend alternative sourcing channels or programs to source suitable candidates in line with business needs.
• Oversee the onboarding process for new hires and include check-in sessions to ensure smooth induction into company culture and job role.
• Assist in the usage of compensation strategies and programs to attract, motivate, and retain the workforce.

HR Transformation & Digitalisation

• Support Department Head in the execution of HR Transformation and Digitalisation efforts for business processes as well as HR Processes.
• Assist in the development and adoption of Digital tools that can better deliver the company's strategies.

Employee Engagement and Communications

• Support branding and content efforts (social media and other communication channels) to drive talent acquisition and talent retention and are open to championing events, employee-led activities and HR initiatives that promote growth, personal development, and engagement for employees as well as talents around the region.
• Act as a brand ambassador for the company and have active participation on Linked In and other social media platforms.
• Provide advice to line managers to position the company as employer of choice.
• Handle and ensure smooth execution for company events such as townhall, trainings, team bonding, and employee engagement initiatives.
• Manage internal communications for staff memos to update employees on the latest changes to HR policies, processes, and regulations.

Employee Development and Training

• Collaborate with line managers to anticipate future skills demand and supply as well as maximise workforce productivity.
• Work with key managers to determine and define learning & and development needs and coordinate training and re-skilling development initiatives for all employees.
• Assist and support the facilitation of employee development programs which include skills competency mapping and upskilling programs.
• Facilitate and support talent review sessions with line managers to identify and manage high-performing individuals for current and future critical roles.
• Address any staff queries and follow up accordingly
• Undertake any additional responsibilities as instructed.

Qualifications and skills set

• Minimum 3 to 5 years of HR experience in fast-paced environment
• Professional company representation
• Demonstrated experience bringing forward valuable insights to digitize HR process.
• Experience in workforce optimization, organizational design, talent management, and leadership development.
• Strong knowledge in payroll related processes that involve payment of salaries, allowances, bonuses, increments, deductions, claims reimbursements, CPF, income tax submission.

The Role

The Immigration Leader, APAC is a positive and enthusiastic team player; one confident of his/her knowledge and experienced managing direct reports, client engagements, immigration cases and contributing to the K2 culture;

As Immigration Leader you are responsible for developing and expanding the coverage and delivery of all immigration matters in line with the K2 model in your region. To advise, guide and mentor clients and colleagues in all matters of compliance pertaining to immigration. To manage and track all aspects of an assignees permit serving as the Clients/ Assignees primary point of contact. At all time lead by example, and contribute to the growth and overall performance of the department.

Main Duties and Responsibilities

Location Management:

• Take full ownership of implementing and setting up a new location;
• Identify minimum 3 partners in each location
• Review, sign and onboard the approved supplier network. Including preparation of SLA
• and data protection agreements, together with the Commercial team.
• Investigate and learn the location requirements.
• Create locations guides in K2 format, email templates and application forms/questionnaires.
• Conduct annual supplier reviews with key partners.
• Liaise with the commercial team for updates around K2 contract and compliance documentation required from the supplier network.
• Support Business Development with any services and rates required.
• Support Business Development and Account Management with any advisory required in the development of accounts.

Account Services:

• Partake in the implementation when on boarding new accounts. Create the account service brief for immigration services and obtain all documentation required to execute services.
• Continue to update service brief as account policies change.
• Accompany account meetings pertaining to quarterly reviews, process updates and provide quarterly account reports
• Maintain assignee database, track and report on permit renewals/cancellations.
• Maintain, update and document processes, flow charts, info sheets, questionnaires, forms etc.
• Ensure all reports are updated and sent out to the client account manager in line with Account Brief, in a timely manner, meeting deadlines
• Receive and approve invoices from suppliers pertaining to case portfolio. Ensure they are processed and filed accordingly
• Attend relevant events with government bodies keeping abreast of all location updates

Client Services:

• Initiate, manage and execute (when applicable) all immigration services to be delivered. This includes, but is not limited to, the following:
• Consular Services
• Visas & Permits
• Local Registrations
• Legalisations
• Provide administrative support to assignees. This includes, but is not limited to:
• Notarisations
• Translations
• Assume responsibility and accountability ensuring all services are delivered in a timely manner and in compliance with company policies and guidelines. Proactively follow up on a regular basis until full case completion and support other connected K2 global teams to ensure there is productive teamwork, which is essential for service excellence.
• Ensure all files are set up in accordance to K2 policy and ASCENT (K2 database) is completed accurately and promptly so all information is recorded in a timely manner.
• Coordinate suppliers and vendors involved in service delivery, (immigration translation, and notaries) and provide feedback to you line manager for their service reviews.
• Provide timely follow up and reminders on active cases to employee and/or HR/ Global Mobility Teams
• Accompany local registrations where possible
• Proactively manage and handle escalations with close follow up and ensure a positive outcome for K2, the account and the assignee.
• Provide clear and concise information to the HR/ Assignee and propose best options for their situation ensuring legal compliance is maintained.
• Aim at all times for high service delivery, at every client touch point, generating enthusiastically satisfied clients.

K2 Team:

• To manage, mentor and assist the team in your locations of responsibility to consistently provide service excellence.
• Provide support to K2 teams on location specific information such as suppliers, market practices etc.
• Proactively identify any issues that may arise, and trouble shoot whilst identifying the root cause to eliminate further reoccurrences.
• Contribute to Monthly Team Meeting and gather requests/information from your team.
• Partake in regular reviews of all programmes and services delivered. Suggest improvements to structure of programs and services offered and recommend new products and services, where appropriate.
• Assist line manager with training and on boarding new staff.
