JOB SCOPE

A) Key Responsibilities

1. Process staff claims and payments to vendors.

2. Prepare bank reconciliations and schedules for month-end closing and year-end

audit

3. Perform Fixed Asset recording for timely recognition of purchases, transfers and

disposals of fixed assets.

4. Assist with annual Fixed Asset physical verification exercise and participate in

system enhancements and other work process improvement projects

5. Other duties as required/assigned by the immediate supervisor

B) Requirements

1. Minimum qualification of Diploma in Accounting or equivalent with at least 5 years

of relevant working experience.

2. Meticulous, mature and able to work independently with minimum supervision.

3. Proficient in Microsoft Office.

4. Must be able to work in a fast-paced environment.

Responsibilities:

• Create PR/GR/Extract reports using SAP system.

• Process invoice payments.

• Financial Data Management - Ensuring accurate/up-to-date data entries.

• Work with various senior managers to monitor utilization of budget.

• Aids in software, hardware contracts renewal and budget oversight.

• Aids in project budget oversight.

• Prepare monthly financial dashboard reports.

• Asset Management – Manage laptops inventory, issuance, write-off of assets, etc.

• Other Finance/Asset Management related ad-hoc tasks as directed by the Finance Lead

Requirements

Education:

• Bachelor’s Degree in Banking & Finance/ Business Management or related field.

• Preferably 1-2 years’ relevant experience in a Finance Institution, Audit or Consultancy firm.

• Fresh grads with relevant internship experience in Finance, Audit or Consultancy may apply.

Essential:

· Above average Excel skills (Advance formulas, pivot tables, power query, building of reporting dashboard). Strong in data analysis using excel.

· Excellent internal communications, written and verbal communication skills.

· Possesses strong analytical and troubleshooting skills.

· Strong Attention to details. Understand the importance of data discipline.

Key Domain/ Technical Skills:

Job Responsibilities:

• To assist in issuing invoices to customers using ERP system for Singapore & overseas subsidiaries on timely manner.
• To assist in recording AR receipts into the accounting system and to ensure all AR collection is up to date.
• To generate payment vouchers to vendors so that AP schedule is according to the payment cycle.
• To update vendors invoices into the accounting system from time to time so that AP ageing is constantly updated.
• To review, check and verify staff claims so that all the claims are comply with the employee’s handbook guidelines and claims procedures.
• To check vendors’ SOA and compare the figures to our system to ensure no invoices are omitted.
• To assist in month end closing activities in term of bank reconciliation, GL, accrual, depreciation and prepayment entries.

Job requirements:

• Possess a Degree in Accountancy or equivalent.
• Minimum 2 years relevant experience, and experience in group accounting will be an added advantage.
• Must know how to do full sets of accounts, and knowledge in consolidation experience is a plus.

Responsibilities:

• Develop and oversee financial strategies, budgeting, and forecasting processes.

Job Responsibilities

1. Payroll Management Handle payroll matters: release (per operations/management instruction), and process final salary payments for employees.
   Address payroll-related inquiries and complaints from site officers.
   Prepare and distribute payslips for all FTE and PTE staff.
   Submit CPF contributions for eligible employees.
   Verify attendance discrepancies with timesheets and ensure accurate payments.
   
2. Final Payment Processing Process final payments for resigned staff, including filing IR21 for foreign employees and liaising with IRAS for approvals.
   
3. Accounts Maintenance Maintain and update account records, file systems, and ensure data accuracy.
   Manage banking matters, including fund credits, cash flow, and payment schedules.
   
4. Financial Reporting Prepare summaries of payments (daily, weekly, monthly) and monthly reports for management review.
   Assist in trial balance preparation, accruals, and financial statement consolidation for audits.
   
5. Vendor and Billing Management Liaise with vendors, contractors, and suppliers for quotations and purchase orders.
   Prepare invoices, delivery orders, and ensure accurate GST and credit note submissions.
   
6. Compliance and Regulations Ensure adherence to company policies, rules, and regulations by all staff.
   Manage accurate record-keeping of financial transactions, including inventory, accruals, prepayments, and capital structure events.
   
7. System and Data Utilization Use IT tools for data analysis and generate accurate reports.
   Ensure timely and accurate data entry in the accounting system.
   Retrieve system reports for management use and perform monthly closings.
   
8. Support and Ad-hoc Duties Assist the Finance Manager with ad-hoc reporting and projects.
   Participate in finance-related projects and systems testing.

Key Focus Areas: Payroll, Accounts Management, Financial Reporting, Compliance, Vendor Relations, and IT Integration.

Accounting & Reporting (30%):

• Supporting the day to day general ledger accounting and reconciliation, financial reporting and analysis – Using QuickBooks (or Xero)
• Support in all monthly, quarterly and annual close activities which include analyzing accounts, journal entries (and/or amending them), performing account reconciliations, and preparing reports and financial documents
• GST-Filing: Collate all the necessary documentation and reports, ensure approval by Company Directors and submit to Head of Finance

Finance (40%):

• Organise the planning and forecasting process to build a complete picture of our P&L
• Develop dashboards and projectors using QuickBooks
• Provide support on costings for project proposals to clients
• Handle company payments as required, including creators involved in Crowdsourcing
• Invoice and accounts payable: Issue invoices to clients as per project schedule. Ensure on time payment from clients. Ensure payment on time to suppliers, as per our commitments and cash flow position
• Track time sheets of whole team to analyse/report profitability on a project by project basis

Overall Team Support (30%):

• Prepare Director’s claim on monthly basis
• Record and keep track of employees’ leave benefits
• Ensure time sheets are submitted on weekly basis
• Provide support with Expenses for the team
• Administrative support (travel, venues materials, external participants etc)
• Any other ad-hoc admin duties as required

Requirements:

• Bachelor’s Degree in Accounting, Finance, or related field
• Demonstration of key finance competencies and qualifications, ideally with 2 or more years of experience
• Strong FP&A and controllership background
• As the Finance Spark, one needs to be a self-starter and proactive person
• Willing to learn quickly, not afraid to speak up (or have a POV), want to make a difference
• Familiar with Quickbooks, Xero and Microsoft Office suite (Excel in particular) and digitally savvy
