The Administration Operations Executive provides administrative support to the D&I team, ensuring efficient operations and contributing to the team's mission of advancing knowledge and fostering growth. The Administrative Executive will be responsible for coordinating logistics, managing schedules, and facilitating communication among team members. This includes organizing research activities, maintaining documentation, and assisting in the preparation of reports and presentations. Additionally, the role involves supporting training programs by managing registrations, scheduling sessions, and ensuring that training materials are prepared and distributed effectively.

Key Result Areas

Efficient and Effective Office Administration

• Training Centre Operations

1. Oversee the coordination of training programs, including managing participant registrations, scheduling sessions, and ensuring that all training materials are prepared and ready for distribution.
2. Process payments related to training centre operations, including instructor fees, venue rentals, and participant registrations, ensuring all transactions are accurately recorded and tracked.Assist in the development and maintenance of training resources and documentation, ensuring that they are up-to-date and accessible for both trainers and participants.
3. Collect and analyze feedback from training sessions to support continuous improvement and ensure alignment with best practices.

Data Management and Reporting

Maintain organized databases for research and training activities, ensuring that all relevant data is accurately recorded and easily retrievable.

1. Assist in the preparation and management of documentation, such as proposals, reports, and presentations, ensuring accuracy and adherence to organizational standards
2. Support the D&I Team in tracking metrics related to research and training initiatives, helping to identify trends and inform strategic decision-making.

Upkeep and Maintenance of Office and Facilities

Ensure the upkeep and maintenance of facilities, including:

1. Training Rooms: Maintain cleanliness and organization; ensure audio-visual equipment is functional.
2. Offices: Keep workspaces tidy and manage office supplies for researchers.
3. Common Areas: Maintain cleanliness and stock essential items
4. Restrooms: Regularly check for cleanliness and adequate supplies.
5. Training Equipment Storage: Organize and maintain storage areas for training materials and tools.
6. Outdoor Spaces: Oversee cleanliness and safety of outdoor areas used for training

Develop Self and Others for Greater Impact

1. Proactively seek learning/upskilling opportunities and set stretch goals to drive own professional development
2. Remain up to date and compliant with all relevant legislation, organisational procedures, policies and professional codes of conduct in order to uphold standards of best practice.

Job Holder Requirements

• Good Diploma or Bachelor Degree
• At least 2 to 3 years of relevant working experience in general administrative support. Prior experiences in office management would be an advantage.

Requirements:

Responsibilities:

· Achieve and exceed sales targets by identifying and securing new business opportunities.
Promote and sell the company's products to existing and prospective customers.

· Manage sales documentation, including Contracts, Quotations, orders and invoices.

· Coordinate with the customer service and supply chain team to ensure timely delivery of products to customers.

· Conduct regular customer visits and meetings to strengthen relationships and identify new sales opportunities. Represent the company at trade shows and industry events.

· Build and maintain strong relationships with customers, ensuring high levels of customer satisfaction. Address customer inquiries and resolve issues promptly and effectively.

· Develop interest and understanding of the company's product offerings.

· Gather and analyze customer feedback to improve products and services. Continuously seek opportunities for professional development and stay updated with industry trends.

· Consistently meet and exceed monthly sales targets and stay informed about market trends.

· Develop and implement sales plans and strategies to achieve targets. Prepare and submit regular sales reports, forecasts, and market feedback to the sales manager.

· Perform any additional work duties as assigned by the Management team.

Requirements:

· Preferably possess a minimum of 3 years of experience in food distribution or the Fast-Moving Consumer Goods (FMCG) industry with proven track record.

· Proficiency in Microsoft Office applications, including Word, Excel, and PowerPoint.

· With a positive, determined, and proactive work attitude.

· Display a pleasant personality, dynamism, independence, and self-motivation.

· Excellent customer service, communication, and problem-solving skills.

Working Hours

8am to 5.30pm (Monday to Friday)

8am to 12noon (Alternate Saturday)
