RESPONSIBILITIES
You will be part of the Community Health Department, providing administrative and logistical support to our Service Points that provide day care and dementia day care services for seniors requiring personal care while their family/caregivers are at work or needing rest.
Facilities & Operations:
Support Centre Supervisor and Admin Manager in efficient and smooth running of the Service Points:
- Ensure upkeep and cleanliness of facilities, liaising with vendors on maintenance matters.
- Upkeep of first aid supplies and fire-fighting equipment. Ensure reception and meeting rooms readiness at start and end of the day.
- Assist workplace safety exercises e.g. fire drills in accordance with safety guidelines and regulations.
- Update all operational files and schedules.
Programme Support & Administration:
Support relevant Programme Supervisors with backend programme administration and coordination:
- Perform data entry, ensure that all clients' records are appropriately kept.
- Upkeep of relevant databases within the Service Points, including the use of shared IT platforms for centralized depository of documents.
- Support in collation of data and statistics for reporting and publication.
- Help ensure personal data protection measures in placed and carried out in daily operations.
- Assist in customer satisfaction survey report for all clients upon discharge.
- Assist in volunteer management matters, outreach and publicity events when necessary.
Procurement & Finance
- Manage payment including cash collection and issuing of receipts. Liaise with clients or their families on prompt payment of services.
- Manage procurement and replenishment of Service Points' required consumables, stationery and supplies. Coordinate with HQ-IT department, vendors for IT devices where needed.
- Administer accounts payable and receivables, tracking and month-end reconciliations on programme expenses
- Support in administering sponsorships and donations, including liaising with external partners where needed and proper records keeping for audit. Assist in-kind collection and distribution, working closely with HQ and Admin Manager to ensure smooth execution.
- Ensure fixed assets tally with records for audit purpose.
Front Desk & Secretariat Support:
- Manage front desk duties such as attending to calls and walk-in enquiries, sort mail and handle documents for dispatch. Provide logistics support in areas such as room-booking, prepare beverages, setup laptop, projector etc.
- Responsible for word processing, and updating of all materials for proposals, reports, letters, forms, brochures etc. for file and documentation. Writing minutes of meetings.
HR:
- Involvement in Internship recruitment activities, liaise with ITEs and Polytechnics, provide support to Centre Supervisor on internship matters.
- Provide support in on-boarding and off-boarding of staff, interns where needed.
- Assist in the administration and tracking of training applications and plans of the staff in the Service Points, working closely with the HR department.
- Coordinate staff participation for Service Point/Group/Organizational events and meetings, distribute corporate collaterals.
QUALIFICATIONS
Min. Diploma holder
Requirements
- At least 2 to 3 years of related administrative experience
- Proficient in MS office (Word, Excel, PowerPoint)
- A team player and also able to work independently
- Good communication and interpersonal skills
- Able to multi-task and work efficiently,
- Self-motivated, organised and problem-solving.
