Administration Executive

You shall play an integral role in supporting the Finance and Administrative functions of SingAREN. You will be involved in Finance, Membership & Contracts, HR, and other administrative activities of SingAREN.

Key Responsibilities

Finance

· Manage Accounts Receivable and Accounts Payable (billing to customers, follow up on customers’ payments, process payments to vendors)

· Perform bank reconciliation

· Maintain accurate records for billing and payments

· Process staff’s reimbursement claims

· Support preparation of management accounts, audits and regulatory reporting

· Monitor and renew status of financial assets

Administration

· Key liaison person for the full spectrum of activities relating to Membership and Service subscriptions, including new sign-ups and contract management.

· Minutes taking, scheduling and logistical support for meetings, including company meetings and visits by external parties.

· Plan, facilitate and coordinate company events and employee welfare

· Provide administrative support for SingAREN’s procurement activities

· Support Human Resource activities as assigned

· Oversee office operations such as replenishment of office supplies and pantry items

· Support ad-hoc projects and other duties as assigned by the Reporting Officer

Requirements

· Diploma in Business Administration, with at least 3 years of relevant work experience.

· Proficient in Microsoft Office, in particular Microsoft Excel

· Competent in working with financial data

· Attention to detail and high level of accuracy

· Excellent writing skills

· Excellent analytical and problem solving skills

· Self-motivated, mature, resourceful and adaptable

· Ability to work independently and as a team player

· Possess effective communication and interpersonal skills

This is a contract position on a renewable basis.

Job Description:
•Provide day administration/clerical support
•Handle reception counter and manage all incoming calls
•Front desk administration cum reception duties such as receiving and attending to clients
•Handle work pass applications, renewals and cancellations
•Organize files, perform data entry and maintain accurate records
•Assist and follow up activities assigned with department’s procedures and rules •Process related communications, including phone calls, emails, correspondence, mail and faxes.
•Order office suppliers and keep an inventory of stock (pantry supplies and stationery)
•Collect letters, sort and distribute incoming letters and faxes
•Other ad-hoc tasks that assigned by superior or manager

Job Requirement:
•Able to start immediately will be an advantageous
•Able to multi task, meticulous and well organized
•Candidate must possess at least Diploma/Bachelor’s degree/Professional in Business Administration/Management or equivalent
•Strong computer literacy and knowledge in MS Office proficiency, especially with Excel and Word.
•Able to work independently and open-minded to solve tasks with initiatives

Responsibilities:

• Attend project meetings
• To manage projects by supervising and coordinating the site activities
• To make pro-active response on site problems, key issues and resolve immediately with the Management
• To ensure all aspects of Quality Assurance and Quality Control matters are in compliance, observe proper site safety measures and ensure safety compliance at site
• Prepare weekly progress report and project schedule
• Other duties as assigned

Requirements:

• Able to be independent
• Strong sense of responsibility
• Must be able to speak mandarin in order to coordinate works between PRC/ Msian workers and Chinese clientele
• Minimum 3 years experience in fitting out project management
• Minimum O level or Diploma educational level

• Handle sales enquiry and customer’s purchase order
• Process sales quotation, sales order and purchase order
• Liaison with customer on product quality and delivery
• Provide pre and post sales services to maintain good working relationship with customers
• Monitor and assist the Finance Dept. in collecting payment from the customers

Job Role and Description:

• Perform daily AR billing cycle, including verification of supporting documents and operation job sheet records, to ensure completeness and accuracy of AR billing.
• Generate and email Sales Invoices / Credit Note with suporting documents to customers.
• Maintaining a proper files system and records.
• Generate monthly statements of accounts.
• Perform daily update of receipt and allocation to accounts system.
• Follow up with customers on payments.
• Other ad hoc duties as per assigned upon request.

Job Requirements:

• Able to handle loud volume of daily transcations.
• Experienced in AR billing is a must.
• Basic knowledge of accounting.
• Able to work independently with minimum supervision.
