About the Opportunity

This is an exciting opportunity to be a part of a growing company, where you will be responsible for the operational and financial performances of the clinics. Reporting to Clinic Operations Manager, you will be highly involved in managing all aspects of the day-to-day clinic operations, not limited to rostering, processing and providing data and information, lead and manage people, programmes and initiatives, and support senior management in the delivery of business objectives and service standards.

What You'll be Doing:

• Oversee & manage assigned zone clinics to ensure clinic operations runs smoothly.
• Support and promote new and existing business development initiatives and programmes and further development of services.
• Work closely with respective HR and Accounts colleagues to communicate areas relating to staffing requirements, employee feedback, and finance related queries.
• Keep abreast of MOH regulation requirements and ensure new policies integrate with clinic practices and workflow.
• Act as a role model for clinic staff to ensure high level of customer service standards, resolve escalated patient service feedback, and be a trusted partner to clinics for team discussions and feedback on workflow.
• Manage employee relationships including conducting training, employee appraisals, counselling, coaching and grievance management.
• Operate and manage clinic management system including clean-up for duplicate codes, standardise procedures/services code and pricing and develop user manual to document system functions and operation processes.
• Conduct review of the monthly inventory check of the medical consumables and non-consumables.
• Ensure clinics monthly revenue is healthy and kept within allocated budgets.
• Participate in Healthcare projects as directed by Clinic Operations Manager.

What We Are Looking for

• Minimum NITEC/Higher Nitec/GCE 'N' or 'O' level, with at least 5 years’ experience in managing outpatient clinic operations.
• Advanced knowledge in relevant Government and insurance schemes and subsidies.
• Advanced knowledge on MOH regulatory requirements for GP clinic, insurance providers program and process.
• Familiar in operating Clinic Management System.
• Possess strong interpersonal, communication and problem solving skills.
• Proven ability to lead a team responsibly, work flexibly and accurately with changing priorities and deliver a confidential and high-quality customer-focused service.
• Computer literacy.
• Office hours, but also able to commit to shift work based on GP clinic’s operating hours as and when required.

Media Buying (Offline and/or Online)

• The day-to-day media buying for the agency
• Deliver excellent master contract pricing through negotiation and relationships with media owners, wherever applicable
• Develop understanding of client business and role of online in delivering objectives ways of working from planning to getting approval and billing process
• Deliver added value opportunities across clients wherever possible
• Book all campaigns according to the brief (with confirmed media) and ensure financials are correct.
• Monitor campaign delivery and reconcile any under deliveries.
• Assist with auditing process across specific client base.
• Follow through the closed job for invoicing process (incl. (proof of ads, supplier invoices, TV reporting, signed schedule)
• Constantly monitor performance and delivery of ad server and vendor reporting. 
• Monitor and report on clients’ expenditure update by campaign by media, if needed
• Keep track of clients’ media master contract fulfilments.
• Work closely with Planners to ensure all the media plans are as per latest MOCO template and make sure all elements are incorporated.
• Prepare CI for all mediums and help Planners manage all material submission timelines.

Billing Admin

Manage the media billing processes which involves,

• Co-coordinating with media planning teams on billing instructions
• Processing billing instructions with finance/shared service teams
• Mapping vendor invoices against billing instructions
• Resolving billing discrepancies with relevant stakeholders e.g. media vendors, media, finance and shared service teams
• Billing status monitoring and reporting
• Media plan actualization and reconciliation on monthly basis. Support Planners to update the media plans based on actualized amount.
• Participate in finance WIP & Precision billing meetings to make sure Client's invoices get processed and meet billing timelines.
• Maintain co-ownership of WIP report with finance team, ensure that jobs are progressively reconciled and closed

Other billing requirements include,

• Support requirements for onboarding of new suppliers
• Ensure 100% billing completion before end of following month of activity
• Resolve/respond to client billing queries

In this role, you will be entrusted with the critical responsibility of overseeing daily financial transactions. This encompasses a range of tasks, including but not limited to, the verification of transactions, compilation of Finance related report to HQ in South Korea, and most importantly, ensuring the utmost accuracy of all accounting entries submitted by various stakeholders operating within our financial system.

Moreover, you will act as a vital liaison between our local colleagues in Singapore and the finance team based at our headquarters in South Korea. This position will require you to facilitate efficient communication channels, thereby enhancing collaboration and operational effectiveness. You will play a pivotal role in improving system functionalities which are crucial for timely and accurate daily reporting.

Roles and Responsibilities include but not limited to the followings:

1. Driving the improvement of finance-related systems to ensure they meet the evolving needs of the organization.
2. Enhancing inter-departmental processes and systems to streamline workflows and foster greater efficiency.
3. Oversee the cash flow to maintain the financial health and liquidity of the organization.
4. Bridging communication effectively between the Finance team and the HQ Finance team located in South Korea, ensuring seamless exchange of information and ideas.
5. Executing various ad hoc tasks and projects as they are assigned, demonstrating flexibility and responsiveness to the dynamic needs of the business.

Requirements:

1. Must able to read, speak / write / translate Korean Language to communicate and compile Finance related reports to HQ in South Korea
