Role Description

This is a full-time, on-site role for a Senior Maintenance and Repair Executive at Cogent Container Depot Pte Ltd. ROLE

1. NIE invites suitable applications for the position of Executive in the English Language and Literature (ELL) Department. ELL is a community that values collegiality and positive attitude, and strives to provide a conducive and supportive environment for professional growth.

Responsibilities

You will provide administrative support to the department in the following areas:

• Managing the course administration, timetabling and examination matters for the Teachers' Language Development (TLD) courses offered by ELL (including generating reports for submission to the Ministry of Education (MOE).
• Verify reimbursement claims and process purchase requests from research staff.
• Providing support to the Intuitional Review Board (IRB) and research grant related matters.
• Oversee the management of ELL assets and accessories (including decommissioning, disposal, and repair).
• Management of ELL facilities as well as workspace allocations for faculty and staff (including coordination of IT equipment servicing within the facilities).
• Assist in processing the external consultancy applications.
• Handling the induction of ELL’s new faculty, staff, and visiting scholars.
• Providing support to visiting scholars (including creation of guest wireless accounts and workspace arrangements).
• Maintain the Department’s webpages on the Sitefinity platform.
• Supporting the conferences/seminars/webinars organized by the Department.
• Perform any other ad-hoc administrative duties as assigned.

Requirements

• A Polytechnic Diploma.
• At least 2 years of relevant working experience in education institutions.
• Must have an eye for detail.
• Possess good communication and collaborative skills.
• Excellent organizational as well as project management skills.
• Proficient in Microsoft Office Applications.
• Service-oriented individuals with a pleasant personality coupled with a positive learning attitude.

Responsibilities:

Purchasing -

• · Handle all purchasing activities
• · Review and implement policies, procedures and internal controls for procurement activities
• Responsible for Order Placement Timing, Supply & Demand Alignment, Material replenishment and Supplier Performance
• Continuously monitoring, evaluating and improving supplier performance
• Source the most cost-effective material for the company
• Stock level projection
• Purchasing budget control.
• Monitor delivery times to ensure timely delivery
• Managing the procurement suppliers’ relationships for the Company
• Regular negotiations with suppliers on purchasing prices
• Resolve disputes and claims with vendors and suppliers.
• Prepare Monthly or Weekly purchase & inventory report
• Analysis of sales forecast accuracy, stock movement and aging stock
• Liaise with finance department with regards to cycle count and inventory reconciliation
• Work closely with the sales team to support with daily B2B customers invoicing.
• Ensure Monthly closing report is completed within deadline (Inventory report for all outlet & warehouse)
• Handle unforeseen situation related to inventory and stock matters in all outlets, work closely and provide support to operation outlet team in all restaurant activities
• Organize Monthly stock take activities on selected outlet
• Airport pass application for delivery suppliers
• Other ad-hoc duties when required

Logistic (Import/Export and Delivery Operations) –

• Planning Shipment from overseas suppliers
• Ensure timely & accurate arrival of shipment through close liaison with 3PL, freight forwarder supplier & distribution.
• Prepare and check all shipping documents such as B/L, packing list, certificate of origin etc. to ensure that they are complete and comply with AVA import and export rules and regulations
• Coordinate AVA inspection when shipment arrive at warehouse
• Book cargo space and purchase insurance for shipments
• Liaise with Freight Forwarder, transportation, etc. to ensure timely clearance and delivery of shipments
• Import & export arrangements
• Manage the delivery and logistic team in the Company
• Manage and plan regular vehicle maintenance to ensure minimal disruption to delivery operations
• Other ad-hoc duties when required

Requirements:

• Diploma in related field preferred
• At least 2 years of relevant work experience
• Advantage for candidate with experience from F&B industry
