RESPONSIBILITIES

To work closely with the School Principal in carrying out the following duties:

Parent Liaison

• Parental liaison, reception duties, facilitating parent and agent enquiries
• Ensure that all parent contact information and interactions are accurate and up to date at all times
• Ensure all new enquiries are followed up by phone or email within 1 working day. Ensure follow-ups are regular and consistent. Reminders should be sent to prospective parents before a school tour with all relevant details using the CRM calendar tool to do so.
• During tours, ensure that you share learning stories, videos and documentation that makes learning visible as well as introduce a member of the academic team to provide a high quality experience 
• Post school tour; ensure a post tour email is sent within 1 working day after the school tour. Use templates in the CRM library and include relevant information/articles/videos etc to strengthen conversions 
• Track/note/update all comments within the CRM in a timely manner. All contact and deal information should be updated by the last week of every month. 
• Follow up with parents with a phone call, 3 days post tour. Use the ‘sequence’ tool and the ‘templates’ in the CRM to connect with families.
• Arrange follow-up meetings i.e. principals, assessments within 1 week post tour.
• Compile tour templates learning stories and other materials to improve on-ground conversion 
• Advocate for the EtonHouse learning pathway beyond pre-school
• Ensure that the school website has accurate and up-to-date information
• Attend school functions and open days that may be held outside of the contracted hours as required 
• Providing outstanding customer service that is personalised and in alignment with the organisation’s culture and values.
• Support all media and brand and marketing events and requests
• Update the AI bot templates on a regular basis to keep them relevant and use campaigns from time to time to remarket and enhance conversions
• Be responsible for your own PD by staying up-to-date with all platforms used by the PL team
• Support families with student pass applications 

Admissions 

• Handle all admission and withdrawal processes and documents 
• Monitor and track student numbers, agent referrals, withdrawal data  
• Develop documents that facilitate the admissions process

Administrative Duties

• Handle all student registration documents
• Maintain and update student records
• Collection of school fees
• Issue receipts
• Assist in any backend finance paper work for the campus

Others

• Any other duties as directed from time to time

• Diploma Holders with at least 2 to 3 years of related work experience in a sales management / business development role in the education services or a service-orientated industry

Job Scope

About the Role:

Operational Delivery

Client Relationships

• Daily point of contact for clients on projects

New Business Development

• Support the pitch lead by managing all Integrated Production elements of the pitch
• Attend and present pitch presentations
• Actively promote GPJ through best practice

Finance

• Accountable for profitability all project deliverables
• Responsible for obtaining, reviewing and responding to vendor quotes, ensuring we are working with best in class partners and vendors, with regular negotiations to drive value, profitability and efficiency
• Accountable for PO creation / distribution
• Responsible for accurate management of budget reconciliations (often across multiple currencies)

Since October 2011, Thye Hua Kwan Moral Charities (THKMC) was incorporated as a charity with an IPC status to provide multiple social and welfare services to the community at large.

THKMC provides assistance to the various groups in our community through more than 60 programmes and services for the elderly and the sick, families, persons with disabilities, and children.  We help anyone in need with full respect to their race, colour, creed, language, culture and religion. We have more than 90 programmes and services, reaching out to more than 55,000 people in the community.

RESPONSIBILITIES

The Executive Director will work closely with the Senior Divisional Director (SDD) / Divisional Director (DD) and Family Service (FS) Heads to assess and address issues affecting the division/ organization. He/She will oversee operations of the centres, providing executive direction for program strategies and efficiencies, compliance, and quality assurance; identify and address staffing requirements for efficient operations, and maintain a strong work culture that attracts and retains people while driving the organisation’s mission; and ensure compliance with all regulations.

Responsibilities:

• Carry out the mission and vision of the organisation.
• Supervise staff to ensure that the centre meets requirements set by MSF or any other ministries.
• Direct the planning and implementation of new programmes.
• Analyse trends and needs of services and identify services for development.
• Recruit personnel and develop competent staff through supervision and ensuring opportunities for professional growth.
• Ensure orientation and training programmes for the administrative support staff and volunteers are carried out according to guidelines.
• Oversee and streamline processes to achieve efficiency and effectiveness of the centre.
• Establish and ensure that proper processes and Standard Operating Procedures are set up in accordance to the Service Standard Requirements.
• Manage and be accountable for the annual operating budget of the agency to achieve optimum use of resources for the agency.
• Implement policies and plans adopted by the Board of Management to achieve effectiveness of the centre.
• Ensure that operations are carried out professionally and according to agreed performance benchmarks.
• Manage resources prudently within approved budget guidelines set by management.
• Develop publicity plans to maintain the organisation’s public standing and image.
• Network with government bodies and other stakeholders towards excellence in service provision and community development.
• Develop marketing and branding plans for organisation.
• Oversee supervision, development and welfare of staff.
• Report to the Programme and Service Committee (PSC), Board of Management and MSF periodically on the progress and results of the work of the centre/ division.
• Develop the mission and vision of the organisation and ensuring that they are achieved.
• Report to the FSC Board of Management on changes that will enhance the services of the organisation.
• Set strategic directions for the centre/ division in accordance to the mission and vision.
• Formulate and develop strategic plans at organisational level.
• Outcome Management.
• Undertake any other responsibilities and duties assigned.

• A Degree in Social Work or related discipline & Diploma in Management.
• Minimum 8 years of relevant working experience, with at least 5 years in a supervisory and service planning capacity.
• Possess strong leadership, analytical, problem solving and planning skills.
• Excellent interpersonal and communication skills to engage various stakeholders.

Roles & Responsibilities

• Responsible for payroll calculation (eg, salaries, leave, commission, and other compensation calculations)
• Prepare HR reports such as movement, headcount, summary, cost centre allocation and payroll breakdown reports
• Perform payroll services according to MOM and company policies
• Well versed in and to keep abreast of the MOM, CPF, IR8A (Income Tax) and IR21 (Tax Clearance)
• Responsible for implementing a new payroll setup (database, payroll & leave administration)
• Keep track of all employees leave records and update them on a monthly basis.
• Responsible for other administrative duties within the payroll team
• Post-Payroll activities, including provision for the bonus, managing month-end/year-end closing, submission of IRAS Tax Declaration Annual Form 8E, and answering employee payroll inquiries.
• Liaise closely with operations managers, and executives on overtime and allowances payment.
• Perform recruitment and selection of staff

Job Requirements:

• Diploma or equivalent in Human Resources and/or end to end HR payroll processes
• Minimum 2 years of relevant experience in Human Resources or Payroll department within Singapore
• Ability to handle high volume payroll work & adapt to change
• Action-orientated, detail minded and organized
• Solid in payroll procedures, payroll software exposure and Microsoft office.
• Must be good in excel application and sensitive to numbers
• Well-versed in Singapore Employment Law an advantage
• Strong communication skills and inter-personal skills
