Job description:

• Provide administrative support (data entry, filing and documentation) for workshop day-to-day operations
• Coordinate with Workshop Supervisor / Manager to support for quotation creation, servicing and other package price list to be updated within the Enterprise Resources Planner (ERP) .

As a Senior Executive/Assistant Manager, you are responsible to support the day-to-day operations of the Care and Call Centre (CareHub) to meet CareHub’s service standards, key performance indicators (KPIs) and deliver a positive customer experience for residents and community partners who reach in to CareHub for support to age well in the community.

You will work closely with stakeholders and the CareHub team including Call Centre Officers (CCOs) who are helming CareHub, to draft, develop and implement requirements (including IT systems) and collaborative workflows and SOPs to bring plans into reality dovetailed to implementation timeline, organisation’s strategies, priorities and national’s directives. You will ensure that CCOs are properly trained and supported by a relevant knowledge management system to support handling of enquiries in the most professional and timely manner.

You will have the opportunity to support the developmental plans and partnerships of CareHub by driving and facilitating conversations with stakeholders and community partners to further develop CareHub and review CareHub’s functions and initiatives which improve outcomes in tandem with the wider community ecosystem.

Another key accountability is data visualization and reporting of CareHub’s KPIs and standards to stakeholders and senior management in a timely manner. You are passionate about service and innovation with a quality improvement mindset and shall play an active role in sustaining the team’s positive and service oriented culture.

Key accountabilities but not limited to:

1. Support the day-to-day operations of the CareHub including being the point of escalation when required, in line with CareHub’s service standards, key performance indicators (KPIs), developmental plans and organisation’s policies
2. Support in the implementation of CareHub’s functions and IT systems through monitoring and tracking of timelines, translating plans and requirements into actionable workflows, development/review of SOPs to working collaboratively with stakeholders, vendors and users to propose go-forward solutions to meet implementation timeline
3. Facilitate collaborative conversations and change management with presentation slides internally and with stakeholders to further develop CareHub’s functions and facilitate adoption of new/improved workflows and SOPs
4. Support in the continuous development and implementation of projects and quality initiatives to enhance operational effectiveness and efficiency with a focus on providing a positive customer experience in line with CareHub’s standards and KPIs.
5. Risk management incorporated in workflows and SOPs
6. Ensure that Call Centre Officers are competent and trained in the most efficient and timely manner supported by a relevant knowledge management system
7. Data visualization and reporting of CareHub’s KPIs and standards to stakeholders and senior management in a concise and timely manner
8. Utilise data driven approach to identify opportunities and forecast growth areas / trends to further develop CareHub
9. Keep abreast of the current issues impacting the healthcare industry and conduct periodic scanning for new ways and modes which CareHub could better support our residents and partners

Requirements

• Good bachelor’s degree in any discipline.
• Preferably with relevant Contact Centre / healthcare and operations related experience
• Have experience with project management and working collaboratively with stakeholders at all levels to successfully deliver outcomes / meet project milestones

Key Responsibilities:

• In Charge of Delivery team & Projects
• Coordinate and liaise with HODs, Delivery teams, Customers (Asia Pacific region), Procurement and Finance team to perform the full process related to Sales.
• Manage project progress in system such as project timeline, contract signoff, order management, PO process billing and AR management.
• Carry out monthly forecast planning and annual business planning with high accuracy.
• Contract management and timely execution of annual maintenance renewal projects.
• Develop and execute processes for routine analytical credit reviews and generate various reports related to Sales and Finance in the company.
• Manage health of credit in terms of payment term, escalations and risks closely and provide regular status updates to Group Leader.

Qualifications:

• Degree in Finance or Business Administration or equivalent.

• Understand full spectrum of Sales Management (which includes management of contracts, monitor and support projects).
• Experiences in Salesforce and SAP (SD, PS, MM and CO module etc.)

The Senior Operations Support Executive (OSE)/Assistant Manager (AM) assists in nonclinical administration and support operations to manage the Care Home facilities and a team to run daily administrative, operational, logisitics, maintenance, safety and security activities required to deliver the required resident services to the healthcare team and residents of the Care Home. The Senior OSE/AM supports the Centre Director/Manager
and Chief Operating Officer (COO) in managing the various support operational services, as decribed in the next section, in an effective and efficient manner in accordance to stipulated service level standards.

• Deliver all support services of the Care Home and maintain targeted performance standards.
• Plan, coordinate and manage the various operational support services in providing day to day operations & administration, procurement & logistics support, cleaning, maintenance, safety and security services.
• Facility Assistants in supporting facilities management, food provision, laundry services, equipment maintenance, logistics, fire safety requirements, general administration support, provision of transport arrangements, and procurement of equipment and services.
• Work with and manage the outsourced vendors and ensure that their performance is up to stipulated service standards.
• Assists the CM to supervise and work closely with the following staff:
  1. Facility Assistants and / or outsourced vendors to ensure and upkeep the
  cleanliness of the general and common areas of the Care Home premise(s).
  2. Appointed maintenance contractors to provide proper and regular maintenance of all furniture, fixtures and equipment in the Care Home premise(s).
  3. Security staff or outsourced vendors to ensure physical security of the Care Home premise(s).
  4. Facility Assistants (Laundry) to ensure and maintain the proper laundering, folding and delivery of resident-related linen, clothing, curtains; maintenance of machinery, and coordinating of transport services to ensure timely exchange and delivery of soiled/clean linen. This includes management of drivers (if any).
  5. Healthcare/Facility Assistants or outsourced food vendors to ensure kitchen cleanliness, and the safe and proper management and handling of food in the kitchen.
  7. Handyman to ensure simple defects are rectified properly, safely and in a timely manner. 8. OAA/ MSW/ Finance Exec/CCR Exec to attend to internal / external customers’ enquiries and feedback.

• Degree. Candidates with Diploma can be considered if previously equipped with more than 3 years relevant operations and corporate experience performing similar functions.
• Knowledge of security operations, facility management, fire safety and work place health and safety.
• Applicants for the AM position should also have corporate experience in managing budgets, managing teams, preparing and making PowerPoint presentations, using Excel for data management and analysis, preparing reports, and developing tender documents (including specifications and evaluation criteria).
• Applicants for the AM position should be confident in their writing ability.
