Job Description:

You will be joing the Operations Team and shall be responsible for the documentation and commercial coordination of the business as illustrated below:

1. Coordination:

i. Part of the Operations team for order processing, export and import documentation.

ii. Coordinate Sales and Purchase Contracts, Order processing, and shipping status / documents for the execution of the orders.

Programme Planning & Scheduling

• Prepare Overall Schedule based on programme information.

JOB DESCRIPTION

- To support Operation Manager to initiate, plan, execute, monitor and control for the entire company’s ongoing projects.

- Coordination between departments from QA/QC, Finance, Engineering, Projects, production, logistic, commercial in local and oversea for smooth operation

- Identifying inefficiencies and areas of improvement

- Resource management

- Any additional tasks out of the above assign by the management

QUALIFICATION:

- Degree/diploma in mechanical/electrical

- Previous HVAC/ACMV experience in Marine/ industry/ land preferred

- Fresh graduate with good working attitude and willing to learn sprit are welcome to apply

• Handle the full set of accounts for multiple companies
• Prepare and file GST returns accurately and in a timely manner, maintaining compliance with regulatory requirements
• Compile and prepare financial statements such as balance sheets, income statements, and cash flow statements
• Responsible for managing billing, collection, and payment processes for AR, AP, reimbursements, and miscellaneous expenses.
• Monthly Bank Reconciliation

Reporting to the HR Manager, you will provide vital administrative support across various HR functions, ensuring smooth daily operations. This role is perfect for someone with 1-2 years of experience in HR or administrative roles who is eager to grow in the field, preferably with exposure to the tech industry.

What You'll Do:

HR Administration

• Maintain and update employee records, HR databases, and digital filing systems.
• Support staff movement updates for group medical insurance enrollment and cessation.
• Assist in business visa applications, work pass renewals, and applications.
• Prepare and process HR documents, including onboarding kits and offboarding formalities.

Recruitment Support

• Post job advertisements on platforms like MyCareersFuture and manage applications.
• Support shortlisting processes and schedule interviews or calls.

Compliance

• Ensure HR administrative processes comply with local employment laws and company policies.
• Assist in preparing reports and conducting audits related to HR functions as required.

Employee Engagement

• Help organise employee engagement activities and events to foster a vibrant and collaborative work environment.

General Administration

• Undertake other administrative tasks as assigned.

What We're Looking For:

• Education: Tertiary qualifications in HR, Business Administration, or related fields.
• Experience: 1-2 years in HR or administrative roles (experience in the tech industry is a plus).

Skills:

• Strong organisational and multi-tasking abilities with attention to detail.
• Proficiency in Google Workspace (Docs, Sheets, Slides, Meet, Forms).
• Basic understanding of Singapore labor laws and fair employment practices.
• Excellent written and verbal communication skills.
• Exhibits a positive working attitude and proactive mindset, and the ability to manage sensitive information with utmost confidentiality.

Pre-requisites:

a) Only Singaporeans.

b) Open and comfortable to work on-site regularly.

c) This is a 1-year contract position, with the possibility of transitioning into a permanent position based on performance and business needs.
