Role Summary

We are seeking a HR & Operations Executive to take on a critical role in managing the company’s human resources, office operations, and strategic programs. This hybrid position requires a highly organized and detail-oriented individual who can oversee HR processes, manage office operations, and lead the coordination of key strategic projects and programs. The ideal candidate will thrive in a dynamic environment, working closely with senior management to drive operational efficiency and support the company’s most important initiatives.

Key Responsibilities

1. Strategic Program & Project Management

• Organize and coordinate the most important programs the company is involved with, ensuring seamless execution.
• Drive processes from an operational and administrative standpoint, ensuring projects are delivered on time and within scope.
• Track project progress, create detailed plans, and report updates to stakeholders.
• Collaborate with cross-functional teams to align program objectives with organizational goals.

2. Human Resources Administration

• Draft, review, and manage employment contracts, offer letters, and other HR documentation.
• Oversee onboarding and offboarding processes, ensuring compliance with company policies and a positive employee experience.
• Maintain and update employee records, including leave management and benefits administration.
• Address HR-related inquiries and liaise with external consultants or vendors as required.
• Ensure compliance with local employment laws and regulations.

3. Operations Oversight

• Support cross-departmental projects to ensure operational alignment with business objectives.
• Manage budgets, process expenses, and coordinate vendor payments.
• Develop and implement process improvements to enhance operational efficiency.
• Monitor adherence to company policies and local regulations.

4. Executive Support

• Provide high-level administrative support to senior management, including calendar management, meeting scheduling, and travel coordination.
• Prepare meeting agendas, document minutes, and track action items.
• Serve as the primary point of contact for internal and external communications on behalf of senior leadership.

5. Ad Hoc Support

• Lead or assist with special projects and initiatives as assigned by senior leadership.
• Act as a backup for other roles when needed to maintain operational continuity.

Qualifications & Skills

• Educational Background: Diploma or degree in Business Administration, HR, Project Management, or related fields.

• Experience:Minimum 1-5 years in an HR, operations, or project management role.
  Proven experience in managing strategic projects or programs is highly desirable.
  
• Skills:Strong knowledge of HR practices and local employment laws.
  Excellent project management skills, including the ability to plan, execute, and track progress.
  Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  Familiarity with tools like HRIS systems, Slack, or Trello is an advantage.
  Exceptional organizational, multitasking, and time-management skills.
  Excellent communication skills in English, both written and verbal.

Roles & Responsibilities

• Prepare correspondence emails, letters, statements, documents, and reports
• Draft company's policies, regulations, rules, and supervise the implementation.
• Manage filing and document control for company policies, regulations, SOPs, contracts & agreements, reports, and other administrative documents.
• Possess legal knowledge and liaise with lawyers when required.
• Fully in charges the administration department and manage administrative issues for the company.
• Process administrative work related to government authorities, associations, the company’s head office, customers, and visitors.
• Handle administrative and logistical arrangements for customers and visitors.
• Organize events by coordinating with relevant departments for planning and implementation.
• Collect training requirements from relevant departments, prepare the company training plan, and supervise its implementation.
• Collect and arrange daily and weekly activities for company management.
• Manage vehicles and drivers for the company.
• Provide backup support for colleagues in IT and HR positions.

• Coordinate with customers on shipment and delivery enquires
• Providing prompt and professional attention to all their requests or problems
• Process all job orders into the system promptly and accurately
• Generate job instructions to relevant operations team accordingly to customer’s request correctly and on timely

Job Requirements

• Have passion in customer service, friendly and possess good attitude with previous service experience in logistics will be an advantage
• Diploma holder or its equivalent with 2 years of work experience
• Good phone etiquette, problem solving, good communication and organization skills
• Able to work independently and resolve issues arising from late deliveries, customer complaints, etc..
• Customer service oriented, team player with initiative and willing to take on responsibilities
• Ability to respond to ad-hoc and urgent demand on timely and professionally

Responsibilities:
- Conduct administrative and operational tasks of the Centre
- Provide quality customer service through understanding of customers’ queries and needs
- Ensure that all customer enquiries are satisfactorily managed, resolved and closed within agreed timeframe
- Reporting of student enrolment, assessments and withdrawal to HQ
- Ensure student management system is updated on a timely basis for all student movements
- Assist customers on payment related matters and actively monitor/chase for outstanding payments
- Manage the petty cash float kept in the Centre
- Safeguard the safety and welfare of our students
- Ensure the cleanliness of the Centre is well maintained
- Ensure that student resources, stationery and merchandise are well stocked in the Centre
- Any other ad hoc duties

Experience and qualifications:
- GCE ʻNʼ/'O' Level / NITEC or equivalent
- Minimum 1 year of relevant work experience preferably from Education, Retail, Airlines or any other customer centric industries
- Proficiency in Microsoft Office and knowledge of ERP software
