WTT EVENT AND EXPERIENCE MANAGER

World Table Tennis (WTT) is a commercial entity created by the ITTF to grow the professionalisation of table tennis by running ITTF’s commercial and events business. WTT is seeking an energetic and hands-on Event & Experience Manager who is innovative and resourceful. The successful incumbent will be responsible for the spectrum of operational tasks and projects under Events and in line with WTT’s business plan and strategic goals.

RESPONSIBILITIES:

• Support WTT Event and Experience Senior Director in the delivery of WTT events and bring the WTT brand to life;
• Attend events as required and assist in the implementation of the event experience delivery;
• Manage broadcast support for all WTT events;
• Collaborate with the partnerships team to ensure branding and pre-event activation implementation;
• Liaise with WTT teams, external vendors and Local Organising Committee (LOC)s regarding event experience and management logistics

• Assist in the identification and assessment of potential WTT host cities;
• Other task as required by the WTT Events Executive Director and Event & Experience Senior Director.

REQUIREMENT:

Essential:

Customer Service:

[Your Role]

As the first point of contact for our customers, you’ll be responsible for the following tasks:

• Deliver a pleasant walk-in experience by attending to enquiries professionally: You’ll greet our customers warmly & see how we can best help our customers with their challenges. This will include guiding them to the correct centre or classroom and helping them understand which course best suits their learning needs!
• Develop strong product knowledge to make appropriate recommendations to our customers: You’ll learn to communicate the key takeaways of each course to our customers. Don’t worry: you’re not expected to hard-sell our programmes & hit any sales targets.
• Assist with critical operational activities: You’ll be the bridge between different teams to ensure daily operations run smoothly. This will include reaching out to parents/students for issues onsite and online, troubleshooting technical difficulties during online classes, and ensuring accurate, timely delivery of learning materials.
• Manage essential administrative tasks: You’ll be a strong support to our back-end operations such as receiving courier deliveries, supporting data entry & attendance-related matters, and ensuring that our pantries are always well-stocked!

[Education]

A Diploma or equivalent from a local Polytechnic. It's a plus if you hold a Diploma in Communications, Business Management or Hospitality Management.

[Skills & Experience]

• Strong Communication Skills: You should be able to communicate effectively in written and spoken English. (We don’t need you to speak in Queen’s English. As long as your grammar is accurate and you cen express yourself clearly, that's what matters.)
• Patience & Understanding: Engaging with customers with diverse expectations is part & parcel of this role. Every one of our customers has unique needs so we're looking to work with someone who is able to adapt & manage their requests effectively.
• [BONUS] Prior Customer Service Experience: It's a bonus if you have prior experience managing a front desk in an education, medical, fitness, retail or hospitality environment.

Job Description

Responsibilities

• Attend to walk-in customers and incoming phone/email enquiries
• Provide professional course consultation and excellent customer service to prospective customers
• Work closely with the Operations Manager in placements and scheduling of classes
• Communicate and coordinate with customers in ensuring prompt follow-up and closure for all enquiries
• Process class registrations and payments
• Correspond with existing customers through phone, text messages, emails and letters
• Coordinate with external vendors and suppliers
• Perform a variety of administrative duties in support of the day-to-day operations
• Ensure the safety and appropriate behaviour of students at the centre
• Tidy and prepare the classrooms before lessons

Requirements

• Fluent in English and Mandarin, to handle English and Mandarin speaking customers

We are looking for a curious and resourceful Customer Success Management Associate who wants to master a wide variety of customer relations functions and manage a team by the end of our Customer Success Management Programme!

[Your Role]

As our Customer Success Management Associate, you’ll be a key team player in our strong-knit Customer Care team where you will have ample career progression opportunities to help shape a service culture that you can take pride in.

For a start, you’ll be involved in these 3 key growth areas:

Customer Management Superstar:

• Develop a deep understanding of our courses to make appropriate recommendations to our customers: Hard selling is not in our DNA — we believe in matching our customers to our programmes that best fit their learning needs. To help ensure that our students and parents derive the most value out of their learning experiences with us, you’ll learn about the key takeaways and frequently asked questions of each course, and how to communicate these to them effectively.
• Deliver personalised and enjoyable brand experiences through our various communication channels and at our centres: 95% of our communications are digital (WhatsApp messages, phone calls and emails) and 5% are in-person at our front desk. Besides honing your in-person communication skills such as greeting our customers warmly and guiding them to the correct classroom on-site, you’ll have the opportunity to learn the best practices of how we consistently deliver the same warm and professional customer experiences online as well!

Operations Extraordinaire:

• Assist with critical customer success operational tasks: Making the best programme recommendations is only the first step in our playbook to creating a delightful brand experience for our customers. You’ll deep dive into the different types of support our customers typically require and how to meet them, such as collecting fee payments, arranging replacement lessons and troubleshooting technical difficulties during online classes.
• Support Customer Care team in essential administrative activities: In order to understand the ins and outs of the work of our multi-faceted Customer Care team and eventually lead them, you’ll be actively involved in manoeuvring the intricacies of our back-end operations such as receiving courier deliveries, updating class schedules, fulfilling e-commerce orders, and ensuring that our pantries are always well-stocked!

Crisis Communications Champion:

• Resolve escalated customer issues effectively: Being able to handle customer escalations with finesse is what will set you apart from other customer relations professionals and we want to help you get there. With your understanding of our internal processes, policies and customer requests, you’ll have the opportunity to translate what you’ve learnt in school about crisis communications to real-life escalated cases to ensure win-win outcomes for both our customers and the company in a timely manner.
• Analyse and establish root causes of common and unique customer-related issues and solutions: Designing effective customer solutions in The Pique Lab would require you to develop a comprehensive understanding of how our customers think and behave while manoeuvring our policies strategically. To do this, you’ll be involved in coordinating with different teams to understand possible root causes of common and unique customer-related issues, propose viable, customer-centric solutions and document these scenarios for training purposes.
