Qualifications:

• Minimum GCE ‘N’ level or equivalent with 1 year of customer service working experience

• Proficiency with office software (Microsoft Office, Google Workspace) and customer service management systems (CRM) is a plus.

Job Responsibilities

• Manage and respond to all AP & AR inquiries received via phone, email, WhatsApp, and mail
• Ensure timely and accurate vendor payments through effective communication and coordination
• Streamline invoice processing by collaborating with internal stakeholders
• Ensure compliance with GST regulations through accurate and timely e-filing of GST and invoices
• Support the timely preparation for GST top-up by managing import permit filings and extractions
• Assist with the weekly payment process and prepare necessary documentation
• Prepare a working file for Singapore Customs & Singapore Food Agency (SFA) to key in purchase invoices
• Build strong customer relationships by proactively resolving payment issues and ensuring a smooth payment experience
• Accurately and timely disseminate statements/invoices to the correct Person-In-Charge (PIC), adhering to credit terms
• Collaborate with customer managers to address overdue payments and mitigate credit risks
• Provide weekly updates on AR to customer managers to support informed decision-making
• Efficiently manage daily cash and cheque collections, ensuring accurate recording and timely bank deposits
• Conduct thorough reviews of daily receipts to identify and resolve any discrepancies
• Perform audit checks on signed invoices for easy retrieval upon customer requests
• Ensure all AR invoices are properly filed and stored for future reference

Job Scope

· Act as the primary point of contact for customers regarding shipment inquiries, order status, and

delivery timelines.

· Handle customer complaints and provide effective solutions in a professional and timely manner.

· Monitor and manage the end-to-end logistics process, including order entry, tracking, invoicing

and confirmation.

· Ensure that customer orders are processed accurately and within the expected timeline.

· Work closely with warehouse, transportation, and 3PL to ensure timely and efficient delivery of goods.

· Communicate with carriers and freight providers to resolve any issues related to shipments, such as delays

or damages.

· Prepare, verify, and maintain shipping documents, invoices, and customs clearance papers when required.

· Generate regular reports on delivery performance, customer feedback, and operations efficiency.

· Identify potential bottleneck in the supply chain and propose corrective actions.

· Escalate critical issues to appropriate departments or management when necessary.

· Gather feedback from customers to improve service quality and logistics processes.

· Stay updated on industry trends and best practices in logistics and customer service.
