Requirements:

• Diploma/ Degree in any discipline
• Proficient in Microsoft Office applications (Word and Excel)

Qualities required for this role include:

• Customer service oriented and good team player
• Good interpersonal and communication skills.
• Preferably with at least 1 year of customer service experience or in the service industry
• Open to shift work arrangement
• Patient and compassionate towards guests and patients
• Bilingual and knowledge of a foreign language will be an asset
• Good telephone etiquette

• Processing new orders into SAP, closely following up on orders to meet monthly sales target.
• Provide customer support, managing relation with customers, attend to enquires, information request etc
• Checking stock inventory to advise Sales/Customers
• To monitor advance payments, customers claims and export control.
• Ensure all documentation and processes are in accordance with corporate guidelines
• Work closely with the warehouse to handle inbound and outbound distribution.
• To organize shipments (road/sea/air), checking freight cost.
• To support the preparation of reports, analysis and Year End stock takes
• Resolve and co-ordinate any operational day to day issues with 3PL warehouse / Customers / Suppliers / Forwarders.
• Manage LC negotiation, Country of Origin, Form D, any Certification
• Verifying Vendors invoices, compiling invoices for weekly submission
• Any other activities in line with this role requested by the Manager.

Requirements:

• Proficient in SAP, MS Office
• Knowledge with Letter of Credit negotiation
• Ability to think strategically, problem solving skills

Job Scope for Customer Service Assistant

The Customer Service Assistant for the accounting system solution provider. Plays a crucial role in delivering excellent customer service, addressing initial system usage inquiries, and establishing a strong foundation for positive customer relationships.

Handling Product and Service Inquiries:

Assist potential customers by providing information about products or services, answering their initial inquiries, schedule appointments and helping them understand the features and benefits of the offerings.

Customer Documentation:

You would be responsible for preparing and maintaining various administrative documents, such as sales order, invoice and receipt.

Customer Communication:

Maintain effective and professional communication with customers. Keep them informed about the status of their inquiries, provide updates on issue resolution progress, and ensure a positive customer experience.

Collaboration:

Facilitate a smooth handover and onboarding process by partnering closely with the implementation team. Ensure that products or services are configured accurately and meet customer expectations. Collaborate effectively with internal teams, including Level 2 and Level 3 support, to resolve issues promptly and deliver seamless, high-quality customer support throughout the service lifecycle.

Feedback Loop:

Provide feedback to the product development and engineering teams based on common customer issues, suggestions, or improvements that could enhance the product or service.

Continuous Learning:

Stay updated on product updates, new features, and industry trends to provide accurate and up-to-date information to customers.

5-Day Work Week:

A standard 5-day work week, Monday through Friday, with regular office hours. However, the specific working hours may vary depending on the organization's policies and requirements.

• "O" level or equivalent
• Minimum 1 year of working experience preferred
