Position Overview:

We are seeking a dynamic and customer-focused individual to join our team as a Customer Service Executive specializing in Order Management. The successful candidate will play a pivotal role in ensuring a seamless order processing experience for our customers. The primary responsibility will be to manage and oversee the end-to-end order fulfilment process, ensuring accuracy, efficiency, and exceptional customer satisfaction.

Key Responsibilities:

1. Order Processing:

• Receive and review customer orders, ensuring accuracy and completeness.
• Input orders into the system accurately and in a timely manner.
• Coordinate with various departments to ensure order fulfilment within specified timelines.
• Lead and see-through end-to-end delivery process of orders (from arrangement of deliveries to delivery date)
• Handle returns enquiries and provide clear guidance to customers on return process.
• Handle all claim matters on defects and wrong pricings, etc.

2. Customer Communication:

• Communicate with customers regarding order status, delivery timelines, and any relevant updates.
• Handle customer inquiries and concerns professionally and efficiently.
• Provide proactive communication to customers regarding any potential delays or issues.
• Follow up to resolve any issues that arises.

3. Issue Resolution:

• Investigate and resolve order-related issues promptly and effectively.
• Collaborate with cross-functional teams to address any challenges in the order fulfilment process,
• To resolve feedback and address operation challenges.
• Proactively identify opportunities for process improvement to enhance overall customer satisfaction.

4. Documentation and Record Keeping:

• Maintain accurate and up-to-date records of customer orders, interactions, and resolutions.
• Prepare and maintain reports related to order processing metrics.

5. Collaboration:

• Work closely with the Sales, Warehouse, and Logistics teams to optimize order fulfilment processes.
• Collaborate with internal stakeholders to ensure alignment on customer expectations and delivery commitments.
• Foster a positive work environment.

Qualifications:

• Possess a Degree (Fresh graduate), Diploma or equivalent
• 5 years of proven experience in customer service, order management, or a related role.
• Excellent communication and interpersonal skills. Strong proficiency in written and spoken English.

Job Descriptions:

Order Processing Functions:

• Acknowledge and manage distribution of PO that are received through central channels or different sources.
• Review PO against quote or agreement to ensure contents matches the offer and terms. Resolve any discrepancies found in PO and request customer to make amendment.
• Laise with Sales team for the work order processing instruction of order fulfillment.
• Conversion of Purchase Order (PO) into Sales Order (SO) through system and ensure the accuracy of data entry. (Including: Price verification & Inventory checks)
• Coordinate with Document Controller (DC) / Engineer to ensure timely completion of drawings.
• Processing of Work Order (WO) or Purchase Requisition (PR) for customer order fulfillment.
• Follow up with Production or Procurement for WO / PR consent date and ensure timely completion or receiving of order.
• Provide confirmation and delivery schedule of goods to the customer.
• Update customer on the changes to the delivery schedule of their order.
• Planning of shipment schedule and liaising with Logistic department on goods delivery and shipment services.
• Ensure the accuracy of invoice information against customer PO and logistic arrangement are met to customer requirement.
• Update shipment details to the customer upon completion of delivery.
• Monitor stock level (especially high runner products) of Finished Goods (FG). Trigger for any stock replenishment when running low.
• Posting of invoice to the customer designated portal / email / post mail.

Sales Support Functions:

• Issue & submit RFQ to RFQ team for costing.
• Create quotation and follow up on the order status for the quotation with customer & sales team.
• Issue and create PDRF in GSS system to EQT Engineering from RFQ checklist (RFQ Tool) given by Sales.
• Propose appropriate solutions to address customer queries based on sales or customer management knowledge.
• Update sales and customer on order delivery status.
• Assist in resolving orders related to the customer feedback & complaint.

Administrative Functions:

• Work on Improvement Projects assigned by superior.
• Generate various weekly / monthly & quarterly reports.
• Prepare and submit commission report for sales agents.
• Track and ensure closure of outstanding documents like Open SO (Books) / Progress Invoices & Shipments.
• Ensure the posting of customer invoices is to be done on the same day or the next working day after the delivery.
• Ensure any change of order control processes are completed according to procedure.

Requirements:

• Minimum Diploma or equivalent.
• Knowledge of order processing, supply chain and inventory management.
• Proficiency in MS Office.
• Systematic co-ordination and follow up skills.
• Great communication and interpersonal skills.
• Added advantage to have ERP software knowledge and presentation skills.

Customer Support: Serve as a primary point of contact for customers, addressing inquiries, troubleshooting issues, and providing technical assistance promptly and effectively.

Product Training: Provide training sessions & educate customers on how to effectively use the product or service to maximize its value.

Onboarding: Guide new customers through the initial setup and implementation process, ensuring a smooth transition onto the product or service.

Cross-functional Collaboration: Work together with teams across the organization, including sales, marketing, product development, and support, to ensure a unified and positive customer experience

Requirement :

-1-2 year experience in customer support role

- Possess good HR payroll , leave system , CPF & OT claims concept

- Good communication skills and able to handle difficult customers

Objectives of the position:

This role is for the Customer Quality Support for Company’s product distribution where Customer’s feedback & Product Quality requirements / issues are handled. The person will be responsible to handle Customers requirements such as complaints, test data & other technical information as requested. Customer complaints handling will also include the necessary communication with all the stake holders (Customer, Supplier, CS, PP, SVM, LOG). Knowledge in cable testing and specification requirements will be required to understand Customer complaints (technical & logistics).

Key Responsibilities:

1. Manage Customer complaint processes such as acknowledgement of the complaint, updating into SAP, keeping track of the complaint, closure of the complaint & summarizing for monthly reporting. Proper handling of customers’ needs by providing accurate and timely information on enquiries related to cable standards, test reports and handling of customer complaints.

2. Track supplier quality by means of in-coming inspection when required or arise from Customer complaints. Update results in SAP system and release inspected lots according to the usage decision defined. To generate supplier CAR and track for corrective action by liaising with the supplier.

3. Familiar with and comply to international cable testing standards and procedures. Contribute to achieving company & department KPIs through due diligence, duty of care & personal accountability for Quality assurance in all tasks.

4. Liaising with relevant departments to effectively close the Customer complaints

5. Maintain records in SAP

6. Operate Laboratory test equipment when required

7. Assist Customer’s Technical enquiries e.g Product Test Report, RoHS, REACH, CE

8. Supplier claim processes and 8D report.

9. Prepare and issue Customer Test Certificates & COC

10. Assist in other day to day activities related to QA department as assigned by Superior.

Skills & Qualification:

▪ Min. Diploma or Degree in Engineering (Electronics / Electrical) or equivalent

▪ Min. 2 years’ experience in electrical / electronic product testing and qualification. Training will be provided.

▪ Knowledge in ISO 9001 : 2015 QMS standard.

▪ Must be able to operate lab equipment (calliper, visual scope, resistance checker, High voltage tester).

▪ Prior experience in SAP system is required for this role. Knowledge of cable product testing is an added advantage.
