Key Responsibilities:

1. Customer Service:

• Respond to inquiries and provide information about diabetes and related services to clients via phone, email, and in person.

• Liaise with healthcare professionals and other stakeholders to coordinate care and services.

1. Administrative Duties:

• Perform data entry tasks and maintain accurate client records.
• Assist in preparing reports and presentations related to diabetes care and support.
• Manage office supplies and ensure necessary equipment is available and functioning.
• Support the organization in event planning and execution, including workshops, seminars, and fundraising events.

• Participate in community outreach programs to raise awareness about diabetes.
• Assist in developing and distributing educational materials.

Qualifications:

• Diploma in a relevant field or equivalent experience in customer service/administration.

Responsibilities

Job Requirements

• Monitors the arrival and collection of shipment and liaises with forwarder on any late or delayed arrival and collection.

• Liaison between clients and warehouse staff on all goods receipts and goods release.
• Arranging and monitoring of goods collection and delivery.
• Perform system inventory reconciliation, weekly cycle count and stock-take.
• Ensure relevant documents are generated for all updates of activities and rates in the system
• Troubleshoot root causes for any inventory variances and assist in the formulation of appropriate preventive actions
• Prompt response to queries and ensure proper follow-up for any outstanding queries
• Assist in the investigations of service issues and ensure actions are undertaken to close off all issues with customers.
• Proactively seek improvement opportunities to improve current operations which can enhance the order processing turn-around time
• Compliance with ISO, GMP/GDP Guidelines
• Ensure the team adhered to ISO procedures, local authority regulatory guidelines on Good Manufacturing Practice (GMP) / Good Distribution Practice (GDP) as well as the client's Regional Quality System in Inventory Management
• Any other tasks/projects assigned by the immediate manager.

Invoicing

• Assist with weekly and monthly invoice generation
• Assist with generating and checking the accuracy of invoicing report
• On-time Administration of Billing and Reporting to customers

Reporting

• Assist with generating required monthly KPI reports
• Assist with Customers' weekly and monthly reporting
• Perform reporting of Key-Performance Indexes (KPIs) accurately and on-time

• Consulting with mechanics regarding necessary repairs and possible alternatives to expensive repairs.
• Using your knowledge of our products and services to sell or provide in-depth information about available parts and service options to customers.
• Answering questions about service outcomes and scheduling and booking appointments, vehicle drop-off, and vehicle pick-up.
• Providing customers with information and advice on warranty protections, potential cost savings, and the advantages of trading in versus fixing their car.
• Managing and overseeing the dealership's workflow and schedule.
• Calling customers to advise them about service changes or car pick-up times.
• Maintaining positive customer relationships to ensure repeat business.
• Ensuring all details on services rendered and costs are related to customers and processing their payments.
• Provide Excellent Customer Service by attending to drivers’ complaint as per feedback emails from drivers’ dialogue
• Compiles workshop monthly KPIs performance reports with submission to all projects.
• Conducts monthly meeting with our sub-contractor to review contractual performance
• Attends all projects’ co-ordination meeting to present monthly workshop KPIs and discuss on taxi issues
• Liaising with service technicians about parts ordering and ensuring parts are available when needed.

Requirements:

• An associate's Diploma in mechanics or a related field may be advantageous.
• Experience in the automotive field may be advantageous.
• A strong understanding of automotive technology and the automotive industry.
• Proficiency with industry-specific software.
• Excellent customer service, interpersonal, and communication skills.

SERVICE SALES

· Identify and develop potential business opportunities;

· Responsible for maintaining an existing customer base, create new customer accounts and business development;

· Achieve sales & profit targets set by the company;

· Cultivate and enhance long term relationship with new and existing customers;

· To process quotation on recommended parts to customers within 1 day upon receipt of reports through eSOS;

· To generate an invoice for billing to customers within 1 day upon completion of the job through eSOS;

· Ensure immediate response to Customers and close follow-ups with Customers via email, phone call, text messaging and faxes;

· Ensuring customers’ requirements are clearly and adequately defined before handing over to the project and operation team;

· Schedule and coordinate with customers on Load Test (LT) / Visual Inspections (VI);

· Ensure all Customers crane details are updated to eSOS accurately;

· Ensure on sending mass emails to customers on new/revised service rates;

· Gather Customers’ feedback and develop corrective measures for Management reviews;

· Responsible for providing a high standard of customer service

· To generate weekly reports to update management on the progress of all enquiries and order confirmation to both internal and external customers

· Conduct weekly meeting with inter-related depts. such as Sales, Parts Executive, Finance, Store, Purchasing possible for providing a high standard of Customer Service;

· Ensure timely billing for service job completed within 3 working days through ESOS to customers;

SERVICE OPS.

· Responsible for updates of daily Technician Schedules, including breakdown calls, maintenance, load tests, visual inspection, etc to ESOS.

· To conduct morning briefing with Technicians on ensuring their awareness of the job schedule for the day itself;

· To organise weekly operations meetings with Technicians;

· Work closely with Supervisor on assigning right team for jobs;

· Ensure timely deliveries, right quality and quantity of parts to Customers;

· To ensure electrical jobs under projects are completed on time by Technicians;

· Responsible for maintenance of Equipment List and update of all relevant parts details on regular basis;

· To ensure Technicians are always in proper and clean overalls;

· To check on proper housekeeping at the Service Area, Electrical room, truck cleanliness;

· To ensure tools in toolboxes, tools in tool bags, full PPE of technicians, stocks in trucks are checked on a weekly basis;

OTHERS

· Ensure procedures, standards and guidelines are followed and maintained;

· Ensure all documentation of records are up to date and filed accordingly;

· Any other duties assigned by the Management from time to time.
