Front Desk Operational Support

Job Description:

• Handling of general customers’ enquiries and feedback through the various channels (e.g. Emails, Phone calls and social media).
• Provide knowledgeable reply to questions related to product, pricing and stock availability.
• Resolve customers' complaints in accordance with company's policies.
• Follow up with respective departments on status of solutions to customers' request and complaint.
• Maintain accurate records of customer interactions.
• Review and compile compliments and complaints report.
• Presentation of Monthly Customer Service / Loss Prevention Report.
• Undertake / support company events.

Requirements:

• Minimum Diploma in any discipline.
• Preferably with 2 to 3 years of customer service experience in service environment.
• Knowledge of SAP and Case Trust is an advantage.

The incumbent is responsible for the sales activities, customer satisfaction and works with customers, suppliers and departments to achieve sales, profit, and key performance indicators (KPI) targets for the dedicated industry’s subcluster in alignment with company’s goals and objectives. The incumbent is also responsible for account receivable and performing sourcing activities.

In addition, incumbent is to position the company to be first stop in mind of all customers for electrical, control, lighting, safety, industrial solution and EV charging needs.

*Handle customer sales inquiries which include but not limited to:

• quoting of selling price to meet product’s specifications and following up with official quotations if required.
• advising on stock availability (e.g., using and checking with ERP system).
• reviewing the quotes with customer to secure order.

*Process the orders received which include but not limited to:

• acknowledge of customer orders.
• issuances of sales orders (e.g., customer P.O numbers, pricing, etc).
• raising purchasing request for items to be purchased.
• advising customer on the estimated delivery dates.
• making necessary arrangement for delivery where needed (e.g., contacting customer on projects, special requests for logistics and packing, labelling and bar-coding, etc).
• processing and releasing invoices daily for all relevant sales orders (e.g., billing according to PO, accuracy of costs, billing address, customer P.O numbers, etc).

*Monitor and follow-up on outstanding order status and take necessary actions to fulfil customer orders:

• Use ERP system to check delivery status for customers.
• Work collaboratively with departments, liaise with suppliers and update customers timely.
• Improve and sustain good customer relationship which include but not limited to:
• performing customer visitation.
• follow-up on customer’s inquiry.

*Resolve customer complaints and issues which involve:

• handling issues related to product quality, late delivery, service levels, performance, wrong items, good return, etc.
• escalating unsolved cases to the relevant stakeholders and departments.
• ensuring that customer is satisfied before the case can be closed.
• performing goods return collection (CR) processes before issuing of credit note (if needed) by accounts to ensure timely closing of sales orders and or purchase orders.

*Perform sourcing activities to meet customer requirements and project needs, which include but not limited to:

• verifying customers’ requirements and needs.
• requesting and comparing quotes from various suppliers.
• issuance of purchasing requisition or purchase orders to vendors.
• process the quotation for customer approval with supporting information and samples.
• issuance of payments to suppliers/vendors.

*Participate in continual improvements and apply best practices for management of customer service functions.

Responsibilities:

• Provide excellent customer service to shoppers and visitors

Requirements:

• Minimum GCE ‘O’ Levels or equivalent with 1 year experience in retail or hospitality industry in a customer service role

• Able to work 6 days work week on rotating shifts (including Sat, Sun and Public Holidays)

Working Hours: 10am to 8pm, Monday to Sunday including public holidays, with 1 rest day per week and intervals (Work schedule will be within 44 hours per week with shifts assigned on a roster basis by the reporting manager)

Key Responsibilities

Main Duties:

As company’s host, acts as a manager of first impressions, ensuring that our customers have a memorable experience entering the company’s Experience Centre. The host reflects our values and embodies our brand, setting the stage for the visitor’s experience. The host helps assess customers’ needs and the reason for their visit. At the same time, they are our showroom guides, helping customers find their way around the showroom so that they can browse with confidence.

Greeting the customer

1. Providing a warm welcome to each and every customer entering our experience centre, making them feel at home

2. Asking customer for their beverage of choice and serving them upon arrival

3. Managing large customer numbers during high traffic in the experience centre

4. Asking customers whether they have scheduled an appointment/test drive and registering correspondingly in lead management system

5. Pulling up and informing our Sales Expert of customer profile if customer is already registered with the company.

Guiding the customer and optimizing their experience

6. Helping customers gain the immersive company’s experience that is right for them, while giving them an overview of the showroom

7. Setting the stage for the experience by performing a high-level assessment of needs at first contact in order to direct customers to the appropriate experience

8. Conducting quick showroom tours at slow traffic

9. Guiding customers to the relevant responsible Expert

10. Performing first-level troubleshooting for dissatisfied customers and directing them towards the right contact person in the experience centre

Serving as a brand ambassador

11. Being the first point of contact and introducing customers to the company through high-level snapshots of brand/product offerings, building anticipation of what is to come

The Host contributes to the team in the following ways

1. Making sure the customer journey starts smoothly

2. Capturing and transferring basic data to back office and Sales Experts

3. Maintaining an overview over the team and communicating needs and resources within the team

4. Actively utilizing times with lower traffic in the showroom for tasks that are not customer centric

5. Searching actively for open tasks during low traffic in the showroom

6. Supporting reception in providing phone service

7. Being the one responsible for the showroom, including exhibition organization together with Sales Experts, and upholding quality standards with regard to appearance

8. Planning the exhibition area in coordination with Sales Managers and Sales Experts to ensure the demonstration vehicle selection is always optimized and up to date with new products and technologies

9. Support all customer experience facilities in the House of Progress as golf and racing simulator

Reporting to the Sales Manager, the Online Sales & Customer Service executive is responsible for the weekly online orders. The role is to accelerate online operations, alleviate customer relation management support and e-commerce accounts. 2. SPECIFIC RESPONSIBILITIES

• Have a complete understanding of Dr.Bags’ services so as to recommend and answer clients’ questions proficiently. Training will be provided
• Under the supervision of the operations manager, support in day-to-day processing of service order which involves skilled checking, assessment and explanation of services for cleaning, colouring, protection coating and repair services for bags, accessories and footwear
• Oversee daily and weekly deliverables to follow up on payments, service completion dates, and schedules in accordance with order workflow system
• Communicate with customers through various channels, provide a seamless customer service experience to uphold client service excellence, and provide professional customer support
• Receiving and processing new stock, replenishments, returns, damages, and transfers, as well as support all stock-taking exercises
• Proactively acquire knowledge regarding luxury brand news, new services, new product information, customer feedback, and staff communication
• Communicate customer issues with operations team, and devise ways of improving customer experience, including resolving problems and complaints
• Simple packing, processing orders, forms, applications, and ad-hoc requests
