Customer Service Executive - EXPORTS

• Devise and execute strategies to streamline export operations and enhance efficiency.
• Oversee and coordinate the export process to ensure timely loading of shipments and compliance with regulations.
• Prepare, review, and manage export documentation such as bookings, DG declarations, invoices, shipping documents, pre-alerts, and cargo status updates.
• Ensure data entry accuracy into the system.
• Collaborate with freight forwarders, carriers, co-loaders, and logistics partners to arrange shipments and negotiate competitive rates.
• Stay informed and up-to-date with international trade laws, regulations, and compliance requirements.
• Address and resolve any issues or delays encountered during the shipment process.
• Analyse market trends, identify potential trade routes, and develop strategies accordingly.
• Work closely with internal teams including sales, customer service, transhipment, and import pricing to ensure seamless export operations.
• Maintain precise records of shipment costs in compliance with established procedures and Key Performance Indicators (KPIs) to meet ISO standards.
• Adhere to Export Standard Operating procedures (SOPs) while performing assigned duties and responsibilities.

Key Accountabilities

Location: Changi Business Park

• Organizes, coordinates and monitors customer order processing and products distribution (including, adherence to adequate standard operating procedures).
• A team player being able to rotate across various roles within function in absence of rest of team
• End to end order processing in the ERP system received via, electronic mail, phone or through other contact with the customer.
• Required to create and/or share report on daily basis
• Supervises quality of cooperation between CS and field force regarding administration of customers’ orders. Closely cooperates with the Logistics function to meet deliveries.
• Collects performance key performance indicators and reports on these including delivery performance and signals on trends.
• Evaluates and makes proposals for improvements on process efficiency, improvement on work processes, materials options etc. and implements in cooperation with the Manager.
• Acts as first escalation-level contact with customer for answers to customer questions and in attempting to resolve customer complaints.
• Ensures adequate customer and product knowledge to find solutions for customer needs (e.g. additional and/or alternative products).
• Determines and supervises process of registering / filing / archiving of customer service-related documentation.
• Co-ordinate with other functions to close customer queries.

Experience

• Diploma with min. 5 years experience in customer service role.
• Process driven to deliver incremental business efficiencies
• IT skills in MS Office and SAP, Advanced Excel knowledge required, Numerate, analytical and results oriented.
• Excellent communication skills at all levels, internally & externally. Customer service orientation, ability to lead a team, Advanced troubleshooting and multi-tasking skills, excellent organizational and time-management skills. Self-driven.
• Able to work 5 days a week (office-based)

We are looking for a cheerful Full-Time Customer Service Executive-Receptionist to join our new dental clinic in Mid Feb 2025 onwards.

Work Location: 52 Craig Road, Singapore 089690 (MRT: Tanjong Pagar)

Work Timing: Mon - Fri (9 - 5pm); Sat (9-1pm)

Salary range from $2500 - $4000 depending on experience + AWS

Front Desk Operational Support

• Maintain & manage a welcoming, organised clinic reception area
• Greet & support patients upon arrival or over the phone
• Handle enquiries via phone calls/Whatsapp/Email/Walk-in
• Manage appointment bookings, follow up calls, cancellations through all platforms and ensure adequate time between appointments for doctors
• Ensure data entry accuracy into booking system
• Patient registration & billing
• Key in sales of dental products
• Manage pantry & serve beverage to patients
• Monitor toilets to ensure cleanliness

Administrative duties

• Maintain accurate up-to-date patients’ information and compliance with PDPA regulations
• Ensure proper record keeping & maintain filing system
• Prepare documents and submit dental claims via insurance, CHAS, Medisave portals
• Assist in sending, monitoring & receiving cases sent to the dental lab
• Perform additional tasks as needed by clinic manager or doctors

Requirements:

• Minimum GCE 'N' Level / 'O' Level / ITE
• Fluent in English (Malay/Mandarin is a plus)
• Computer proficient - simple data entry
• Proactive, collaborative & able to work independently
• Excellent interpersonal skills & service oriented
• Highly organised and able to multi-task
• Training provided
