Role Purpose:

To provide excellent Customer Service to all customers interested in all of the British Council’s activities (including English teaching, Examinations, Education UK, Library and cultural operations) in order to meet and exceed customers’ expectations and enable the British Council to meet its corporate objectives.

Main accountabilities but not limited to the following:

Enquiry Handling

• Answer first level enquiries received in person, by mail, email, telephone, or social media on relevant aspects of the UK and the British Council’s activities in a friendly and professional manner, invoking the principles of TIE in line with Customer Service standards.
• Build rapport with the prospect in order to find out the objectives, needs and requirements of the customer, and take their interest forward.
• Able to give accurate information on all services offered by the British Council, and to give customers the correct brochures, application and registration forms.
• Support test takers who want to register online at our premises.
• All feedback and customer comments are passed on to the Assistant Manager - Customer Service within one working day and recorded in writing.
• To communicate with internal and external personnel in a professional and enthusiastic manner.

Registration

• Register Exams candidates in a professional and friendly manner, while adhering to the procedures in place.
• Cross-sell relevant British Council services and products where appropriate.
• Understand customer needs and turning enquiries into sales.
• Work extra hours during registration period, if required

Standard For Collection And Handling Of Income

• Handles payment received from examination registrations.
• Responsible for generating and issuing payment links to customers for any required fees or charges.
• Ensures the payment link is accurate and provided to the customer promptly via the appropriate communication channel.
• Verifies payment completion before proceeding with the requested service or action.

Accurate Databases / Records, and Projects

• All databases and records, and information files are kept up to date in line with requirements outlined by AM – Customer Service.
• Make sure that information brochures/ leaflets are always replenished and are available.
• Responsible for updating relevant knowledge files and databases /web/ design posters in line with requirements outlined by AM-CS.
• Specific projects and responsibilities given to each member of staff are carried out in line with expected objectives.
• As duty officer ensure that designated tasks for the relevant shifts are completed.

Requirements

• The successful candidate will work a 5-day week between Monday-Saturday with a scheduled day off. Additional hours will occasionally need to be worked, particularly during peak examination periods.

Job Description:

- Handle Recruitment activities not limiting to pass screening, applications, prepare for workers arrival and contracting.

- Assisting with or performing administrative tasks, such as managing and updating internal data , processing new orders, and

- Tracking inventory.

- Monitoring department issues and client complaints to create methods to lessen recurring issues, management of clients accounts.

Job Requirement:

- Minimum Higher Diploma / Degree holder

- Applicants with knowledge of MOM legislations are preferred

- Prefer with CEI certified.

This role has to promptly & professionally attend to the customers when they walk into our service centres. He/She coordinates the front line operation, booking of appointment and provide general administrative support (Handle first level of complaints, assisting Service Advisor's & Call agents ensure cleanliness and smooth operation of the centre and any adhoc tasks assigned by the customer service Manager).

Job Scope

• Attend to the needs of the customer’s professionally and quickly such that the customer’s waiting time is kept to the minimum.

• To assist in completion of payment transaction according to agreed terms before releasing vehicle.

• Provide assistance and support to Service Advisor's/Call agents/Customer Service Executive

• Walkabout in service centres and observe cues from customers

• Speak to customers waiting at the service lounge and perform upselling whenever possible

• Assist with inbound/outbound calls and making appointment booking for customers to visit the service centre.

• Do a follow-up call on no-show booking customers to fix another appointment booking date.

• Assist to answer all telephone calls within 3 rings in a courteous and pleasant tone and voice with appropriate greeting, salutation where appropriate, announcement of company name and personal name.

• Transfer the calls in a professional manner where the other party is being informed of the transfer and the extension that they are being transferred to.

• Record messages accurately from customers and follow-up with SAs to ensure that messages/ calls are replied.

• Assist in the daily operation of the reception.

• Assist with collation of intake reports.

• Assist Customer Service Executive in handling 1st level of complaint cases

• Assist with cashiering and document submission to finance and respective managers

• Handle non-booking walk in customers tactfully to uphold customer service level standards at all times.

• Any adhoc tasks assigned by customer service Manager

Knowledge & Skills

• Preferably Diploma Holders who specialized in Customer Service

• Minimum 3 years working experience in relevant customer service industry.

• Proactive and independent with positive attitude.

• Customer Oriented with good attitude and good team player

• Good interpersonal skills to communicate with internal stakeholders and customers

Skills & Qualifications:

· Good knowledge of Microsoft Office Words, Excel, and PowerPoint.

· Good interpersonal and multi-task skills.

· Willing to learn and long-term work /develop in the organization.

· Minimum 1-year customer service/administrative experience is preferred.

· Willingness to work flexible hours, including evenings and weekends.

· The primary working language is English. Candidates should have basic proficiency in Mandarin (Fluency in both English and Mandarin is a strong advantage).

Job Responsibilities:

Key Competencies(Logistics Service)

• Well verse in handling and managing Transportation, Coordination with operations team, License/Bonded/DG Warehouse Inventory and activities.
• Able to co-ordinate well with Singapore Customs on any related matters
• Meticulous and experience in different type of permit declaration – License/Bonded/DG clearance permit declarations.

• GCE ‘O’ Level or relevant education qualifications
