Job Description

This is an research administrative and operational position within the Asia Centre for Health Security (ACHS). The incumbent will be part of the team to support the core functions of the centre. Their duties would include supporting research administration, conducting education and training programs, convening meetings, and secretariat functions.

Duties & Responsibilities
Working under the direction of the Director and Head of Operations at the ACHS, the Assistant Manager/Senior Assistant Manager will be part of the team to support the core duties of the centre:

a) Research and Centre Administration
- Support researchers to draft, review, negotiate and execute research agreements by working closely with researchers, collaborators and internal and external legal offices
- Liaise and support the centre's leads and research staff to meet the centre's objectives of the centre
- Provide administrative support and point of contact between faculty and researchers and NUS administrative departments to support the management of research projects
- Administrative support for the running of the centre, including arranging meetings, liaising with third party providers and vendors
- Support financial administration, processing of payment, procurement and budget tracking for centre expenses and donor funding
- Tracking of assets and reporting deliverables to funder and donors

b) Education and Training and the Convening of Meetings and Roundtables
- Support Centre Leads in planning and execution of education and training activities of the centre, such as the ACHS webinar series, ACHS fellowship program, workshops on biosafety and health security law attended by local and international guests.
- The responsibilities would include event planning; liaising with vendors; creation of templates and forms; registration; liaising with participants and logistics arrangements including venue, travel and room bookings; and on the ground support for public seminars, workshops held in person and online

c) Collaboration & Partnership
- Liaise and work closely with local, regional and international partners and collaborators, this includes providing support for policy roundtables and panel discussions and the building a network of experienced experts in health security

d) Provide secretariat support for the centre (Faculty Meetings, International Advisory Panel), this includes arranging of meetings, preparation of slides, notes of meeting, communication and dissemination of information, and collation of report

e) Work closely with other offices in the school, e.g. finance, HR, IT and GHO and university, e.g. OLA, ODPRT, CPO to take forward all administrative tasks, including discussion, collaboration and problem-solving on complex situations

f) Other duties assigned by the Director or Head, Operations

Qualifications

• Applicants are expected to have at least a Bachelor degree from a recognised institution with at least five years of experience in an administrative position within the academic, research or healthcare sector

• Strong administrative skills and experience in supporting projects such as convening meetings, organise training and workshops, service contracts, financial administration, or equivalent experience

• Experience organising events, in-person and online is a requirement

• Excellent written and oral communciation skills, with the ability to summarise content, prepare slides, reports and content

• A good team player who is self-motivated, well organised and with the ability to work well under pressure and tight deadlines

• Effective at problem-solving, able to take initiative to learn on the job and manage various responsibilities.

• IT systems savvy and proficient in Microsoft Office Applications

• Knowledge of NUS processes and systems is an advantage

• Strong interpersonal and negotiation skills, and ability to interact effectively with alllevels of associates, including senior leadership

Working Location : Central

Working Hours : Mondays to Fridays, 8am to 5.00pm or 9am to 6pm

Job Purpose :

· Receptionists must be smartly attired to project Sodexo’s Corporate image

· Answer switchboard within 3 rings to all incoming telephone calls and ensure that all messages are directed to the right recipients.

· Perform reception service in an efficient, professional and courteous manner

· Greet, receive, inform and guide on-site visitors arriving at the main reception desk

· Welcome trainers and give them folders and meeting room keys. Issue trainers passes on confirmation of their identities. Give WiFi codes.

· Maintain a visitors/participants log to sign in and sign-out

· Arrange the host to receive their visitors

· Issue visitor passes on confirmation of their identities

· Provide administrative support such as photocopying, faxing, providing wifi codes, etc. to all visitors, guests, participants and trainers

· Managing relevant record and compliance to security procedures, and responsible for issuing ID badges and tracking and ensuring their return

· Make reservation as required for restaurant, order taxi, confirm airline tickets, etc. to all visitors, guests, participants and trainers

· Contribute to achieving strong customer relationships by focusing on responsiveness and communications as well as on meeting and/exceeding customer’s expectation

· Mail Service - Receive mail from Singapore Post, courier services which will then need to be sorted for the occupants.

· Ensure the cleanliness and upkeep of the area/lounge to reflect the Client’s Corporate image; if necessary, call the cleaning services

· Handle Help Desk on all user request

· To play a key support role in the delivery of client projects, including client liaison, contact with internal resource departments and external suppliers, and administrative work.

· Support the Campus’s Event Management team with meeting room reservation and arrangements. Daily equipment check in conjunction with meeting room support.

• HR service delivery contact for the location assigned.
• Provide efficient, high-quality HR service delivery to employees, line managers, and HRBPs in assigned locations.
• Manage all the employee-related data entry into the HR system.
• Perform regular audits and reconciliation to ensure consistency and accuracy of the HR data maintained.
• Manage the HR shared services ticketing tool and ensure all requests/queries are attended to promptly.
• Generate timely and accurate HR reports for data analysis and provide insights where applicable.
• Operational management of the scope of work defined in our HR service catalogue, handling employee inquiries, HR Operations Tickets
• Contributing to global and regional HR projects
• Any adhoc duties assigned
