The Role

As the Junior Agency Support, you’ll be an essential part of our operations, working closely with all teams to ensure smooth project coordination and data accuracy. Key Responsibilities

• Media Tracking & Data Entry: Monitor client product appearances in TV shows and movies, recording essential data such as screen time and visibility. Capture screenshots and maintain accurate logs.
• Data Management & Reporting: Regularly update and audit databases, generating reports on media placements to ensure data accuracy and completeness.
• Inventory Management: Assist with overseeing client inventory, handling receipts, logging, shipment preparation, and returns. Conduct quality checks and track inventory status.
• Project Support: Provide administrative support to Account Managers and Product Relationship Managers, ensuring smooth project coordination and timely data entry for ongoing campaigns.
• Social Media Support: Assist with internal social media and marketing.
• Lead Generation & Outreach: Support Account Executives and Production Relationship Managers with outreach efforts to build new production and brand relationships.
• Administrative Errands: Perform general administrative errands as needed, such as coordinating deliveries, managing supplies, or handling ad hoc office tasks.
• Handle other duties as assigned—we all wear many hats!

Experience & Skills

• Education: Diploma or Bachelor’s degree in a relevant field (e.g., Marketing, Communications, Business Administration).
• Fluency in English: Proficient in written and spoken English for effective communication with internal teams and external stakeholders.
• Attention to Detail: Highly organized, with a strong eye for detail to accurately track media appearances and manage data.
• Social Media Savvy: Knowledge of social media platforms, trends, and strategies, along with an interest in media tracking.
• Technical Skills: Proficiency in Microsoft Excel, Google Sheets, and basic familiarity with multimedia tools such as screen recording software, video editing, and file-sharing platforms. Experience with CRMs (e.g., HubSpot, Monday) is beneficial but not required. Must be comfortable with data management and eager to learn new software.
• Time Management: Proven ability to manage multiple priorities, meet deadlines, and deliver high-quality work in a fast-paced environment.
• Communication: Excellent written and verbal communication skills, with the ability to liaise effectively with internal teams and external partners.
• Logistics Experience: Basic experience in inventory or shipment tracking is advantageous.
• Physical Requirements: Physically capable of lifting up to 23 kilograms as needed to support production needs.
• Location Requirement: Must be based in Singapore with reliable access to the Central Business District (CBD). Candidates must be legally authorized to work in Singapore. Visa sponsorship is not available for this role.

Key Responsibilities:

• Warehouse Operations Management:

1. Oversee and execute stock transfer processes, ensuring the accurate and timely movement of products within the warehouse and to retail locations.

• Loading and Unloading:

• Inventory Control:

2. Communicate effectively with retail partners to address any inventory concerns and ensure customer satisfaction.

Qualifications:

• High school diploma or equivalent; experience in operations, logistics, or warehousing preferred.

Responsibilities:

• Work with process owners to review, update and evaluate the effectiveness of the procedures of the Institute's Quality Management System to ensure compliance to ISO 9001, ERF and EduTrust GD4 requirements.
• Collect and compile validation and verification of data and records.
• Verification check on documents submitted for completeness to qualify agent/vendor qualification and SSG submission.
• Liaise with respective departments for corrective action from students feedback, survey results and comments and verify the effectiveness of the corrective actions.
• Review documents for SSG submission.
• Prepare and conduct Quality training when required.
