RESPONSIBILITIES

• Act as first point of contact for visitors and managing the front desk area
• Meet and greet parents and students, attend to visitors and external vendors
• Perform general administrative duties and data entries to support the school operations
• Attend to phone calls and provide appropriate information on general enquiries relating to the school, school fees and programs
• Support inventory management, sale and purchase of school resources
• Assist in the management of student information and school information sharing
• Conduct health check for students and assist them to classrooms when they are late
• As and when required, assist with assigned tasks as required

Job Description

· Matters related to donations, e.g. obtain information from donors / team members, data entry of donor particulars, and issuance of tax deduction receipts / thank you letters to donors.

· Matters related to grants / project funding applications and monitoring, e.g. monitoring of usage and balance, regular updates and providing information to team members and donors.

· Matters related to bank accounts, e.g. reconciliation of bank statements, monitor of cash flow and movements, change of bank signatories.

· Matters related to Board and regulators, e.g. collecting signatures for Board resolutions, updating of Charity Portal, etc.

· Maintain proper filing of finance and admin records e.g. stock of groceries / vouchers and donations to facilitate year-end audit process. Assist with internal and external audits.

· Provide secretarial support for general corporate admin work such as applications for staff training, centre equipment, and other paperwork processes.

· Regularly review SOPs, work processes and templates, software and equipment, to ensure that they remain relevant and optimised to achieve the desired outcomes for the team and organisation.

· Guide and manage the Finance team members and outsource vendors.

· Other duties as assigned by the CEO.

Qualifications

· Degree in Accountancy, Finance or related business discipline.

· Professional qualification in CPA, ACCA or equivalent preferred.

Experience

· Minimum 4 years of experience in accounting and finance roles with at least 2 years in a managerial capacity.

· Experience in overseeing statutory audits, compliance reporting and working with both auditors.

· Prior experience in non-profit organisations, grant management and financial system implementation preferred but not a must.

Key Competencies

Position Summary:

• Responsible to work as a Project Manager. Overall responsibility for the project in all aspects including the overall quality, schedule, cost, HSE and human relations amongst the team members. Major proposals are considered as a specific type of project. The Project Manager is the chief representative of Worley to the Client for information or decision relative to the assigned project.

Technical/Functional Responsibilities:

• Acts as "hands on" manager in a complex network of interrelated activities necessary to move technical and engineering information forward to complete the design, construction and initial operation of the required facilities
• Ensures overall direction and coordination of efforts for major proposals, E/EPC contracts for services or alternatively as a combination of various smaller projects of a similar technology or for the same Client
• Enforces the solution of problems in the following phases of a project
• project development/process design/detailed design/engineering
  design/drafting/procurement/construction/start-up
• Ensures project execution within the HSE, cost, time, quality and technical objectives to which Worley is committed
• Issues HSE instructions to employees working on a construction site and checks the adherence to HSE regulations and instructions, and ensures training of personnel in HSE aspects of their respective duties
• Ensures project execution within the final objectives as determined by Worley’s management
• Ensures project parameters are in line with legal requirements
• Prepares and issues the project execution and quality plan. Issues the project schedule; the approved budgets for services; the approved budgets for equipment (number and basic design) and bulk material quantities if required by the nature of the project
• Is sole representative of Worley towards the Client
• Reviews all Client's requests for changes
• Approves all proposed contract variations (Client changes: on Client's request or identified) before submittal and negotiates payment with Client
• Ensures that required project information flows to him
• Issues instructions for historical filing if required
• Ensures the project release to the Client
• Ensures the compliance with authority requirements
• Responsibilities includes:-
• Meeting Worley’s financial targets as set for the projects under his supervision
• The overall planning, organization, direction, coordination and control of all operations to meet the project objectives
• The (progress) payments and final acceptance by the Client (within the contract conditions and at an optimum cash flow)
• The adherence to the Worley’s organization procedures, the project execution and quality plan and project procedures
• The preparation of the project close-out report according to the Worley’s organization procedure for close-out
• Verifying that contractors, upon contract award, have been instructed with regard to the applicable legal HSE regulations and Client’s requirements
• He has the overall responsibility with respect to HSE matters for a specific project, and delegates specific related activities to his team members
• Review of the HSE performance with the construction manager
• He is responsible for seeing to it that no adverse situations exist in the projects for which he is responsible. He will instruct the project team members accordingly and he will take or initiate the necessary corrective measures

Requirements:

• University engineer in mechanical or chemical engineering, preferably with training in management techniques (or equivalent) or Industrial engineer in mechanical or chemical engineering, preferably with training in management techniques (or equivalent)
• VCA basic HSE training (or equivalent) and VCA leading HSE training (or equivalent)
• 10+ years of experience in engineering & contracting of which 3+ years of experience as a Project Manager with at least a recent EPC contract
• Sound knowledge of project management techniques
• Good understanding of relevant contractual matters
• Sound knowledge of Worley’s procedures
• Working knowledge of the application of computerized systems particularly those to be used for projects
• Broad knowledge of other professional areas within Worley

Job Description

• Drive operational profitability by meeting and exceeding revenue without compromising high-quality guest service;
• Maintain efficient cost controls throughout all areas;
• Plan and direct the operations, including quality, standards, cleanliness, and guest satisfaction;
• Collaborate with all head of department to guarantee the smooth functioning of day-to-day operations;
• Conduct regular operations meetings with all department head to review normal operational issues, departmental performance goals, and guest feedback;
• Be in charge of maximising profits by consistently providing the best level of service;
• Ensure strict adherence to operating controls. SOPs, policies, procedures and service standards are consistently implemented and reviewed throughout all departments;
• Be in charge of all day-to-day inquiries, complaints, and problems at the property;
• Keep track of the hotel and restaurant's function schedule and become acquainted with any modifications or changes;
• Work with the GM/RM & Executive Chef on a daily basis to forecast and plan for hotel and restaurant business;
• Promote a positive workplace culture through effective communication and regular team meetings;
• Conduct regular inspections of all divisions to ensure good guest service, cleanliness, presentation, service delivery, personnel presentation, and grooming; and
• Any other duties as requried by the Company or management.

Job Requirements

• Bachelor’s degree / higher education qualification / equivalent in Hotel and Restaurant Administration, Business Administration or related major
• 5 or more years in the management operations or related function
• Proficient in English and excellent communication skills, both written and verbal
• Key competencies such as excellent communication, interpersonal skills, oriented to details, operational knowledge, leadership, team building and financial skills.
