Job Summary:
The Customer Service Support Manager is responsible for leading and managing the entire customer service support team, including technicians and maintenance engineers, to ensure the delivery of exceptional customer support. This role involves overseeing daily operations, optimizing team performance, managing service quality, and maintaining strong relationships with customers.

Key Responsibilities

Team Management:

• Lead, supervise, and mentor the customer service support team, including technicians and maintenance engineers.
• Develop and implement training programs to enhance team skills and knowledge.
• Conduct performance evaluations, set goals, and provide feedback to team members.

Service Delivery Oversight:

• Ensure timely and effective resolution of customer inquiries, complaints, and service requests.
• Monitor and maintain service level agreements (SLAs) and key performance indicators (KPIs).
• Develop and refine processes to improve service efficiency and quality.

Operational Management:

• Schedule and allocate resources effectively to meet customer needs.
• Coordinate preventive maintenance, repair, and installation schedules for technicians and engineers.
• Ensure the availability of tools, equipment, and spare parts for field operations.

Customer Relations:

• Build and maintain strong relationships with key customers to ensure satisfaction and loyalty.
• Act as an escalation point for complex or critical customer issues.
• Gather and analyze customer feedback to identify improvement opportunities.

Reporting and Analysis:

• Prepare and present regular reports on team performance, customer satisfaction, and operational efficiency.
• Identify trends, bottlenecks, and areas for improvement through data analysis.

Compliance and Safety:

• Ensure all team activities comply with company policies, industry standards, and regulations.
• Promote and enforce safety protocols and practices in all field operations.

Strategic Planning:

• Contribute to the development of customer support strategies aligned with company objectives.
• Identify opportunities for innovation and cost optimization in service delivery.

Qualifications

• 6+ years of experience in technical support or field service environments.
• Strong leadership with experience managing customer service support team
• Experience working on-site with clients
• Excellent communication and interpersonal abilities.
• Proficiency in data analysis and reporting tools.
• Knowledge of industry-specific tools, IT hardware equipment, and technologies

• Liaise with and auctioning incoming calls from customers, suppliers and Agents regarding shipments/bookings
• Manage Key Account customers, answering their enquiries and queries
• Tracing & Tracking Freight keeping customers updated at all times

Processing bill of ladings, commercial invoice, packing list and other shipping related documents. Declare tradenet permits, liaising with customers, shipping companies, local vendors and overseas counterparty. Manage entire end to end shipment arrangement.

Your Responsibilities

• Customer Coordination: Engage with clients to address inquiries related to shipments and deliveries, ensuring their needs are met promptly.
• Customer Support: Offer immediate and courteous responses to all customer requests or issues
• Order Processing: Accurately and swiftly input all job orders into the system.
• Instruction Generation: Create clear job instructions for the operations team based on customer requests, ensuring accuracy and timeliness.
• Interdepartmental Liaison: Work with various internal departments and external contractors as necessary.
• Operations Planning: Strategically plan operations, such as container trucking for import and export shipments, taking into account the complexity of the cargo, and arrange for special equipment like cranes when needed.
• Vessel Monitoring: Keep a close watch on vessel details through PortNet, updating information as needed.
• Customer Relations: Cultivate and maintain positive relationships with customers to meet their requirements effectively.
• Communication: Promptly respond to emails, phone calls, and other forms of communication.
• Documentation: Prepare job sheets for the creation of customer invoices.
• Knowledge of Import, Export, Haulier Processes and procedures

Job Requirements

• Customer Service Passion: A friendly demeanor and positive attitude, with prior experience in logistics customer service preferred.
• Educational Background: A diploma or equivalent, with at least two years of professional experience.
• Communication Skills: Excellent telephone manners, along with strong problem-solving, communication, and organizational abilities.
• Independence: Capable of working autonomously to address and resolve issues related to late deliveries and customer complaints.
• Team Orientation: A customer-focused, collaborative approach, ready to take initiative and shoulder responsibilities.
• Adaptability: Competent in managing ad-hoc and urgent requests in a timely and professional manner.

• Tracking the loading status of all vessels.
• Manage the CBF/Booking Forecast Table and update the load balance figures daily.
• Make sure all necessary documents and Portnet creation are completed prior to the vessel's closing time, along with sending the final forecast and special container list to the Partner/V0.
• Enter and upload booking and loading data into the internal system.
• Respond to customer inquiries, provide rate quotations, and while building strong relationships.
• Work closely with Sales and Trade departments to optimize revenue.

Requirements:

• 2-3 years of relevant experience in Shipping Industry or similar role
• Fluent in English and Mandarin, as this role involves liaising with Chinese counterparts
