What You Will Deliver

• Responsible for handling enquiries, requests and complaints in a timely and professional manner with a customer-oriented mindset.
• Work closely with a team of customer servicing staff in providing full support to clients’ enquiries on account opening, application verification and account management as well as to achieve desired results and support business needs.
• Build and maintain strong relationships with existing customers and generate business opportunities

Who You Are

• Minimum 5 years’ relevant working experience in Telemarketing/ Customer Service field is preferred, and minimum 2-3 years’ experience in a supervisory role

Key Responsibilities:

· Assist to investigate and resolve escalated inquiries or complaints related to client parcels / shipments, such as delayed, misplaced, damaged shipments and pending of documentations required.

· Coordinate with relevant departments , including operations, logistics, and warehouse, to identify and rectify the cause of issues.

· Provide solutions to resolve challenges while ensuring minimal impact on clients.

· Being the point of contact for escalated cases, ensuring to provide clear and timely updates to clients.

Responsibilities:

• Understand the infrastructure system, line routes and terminal constraints
• Empowered to plan terminal activities independently, with the most optimal use of terminal resources
• Execute planning activities within a defined framework/system with dependencies on other processes
• Monitor, review and highlight any gaps in the performance and ensure prompt delivery of customer orders and expectations
• Jetty Planning: Plan all vessels and barges at the jetties based on prevailing operational planning guidelines
• Calculate laytime based on available vessel and shore tank information, norm times and planned activities
• Maintain contact with relevant third parties in the days prior to arrival
• Coordinate closely with Operations to monitor progress of running operations, scheduling (hardware) for upcoming vessels
• Truck Planning: Review and coordinate trucking timeslots to ensure no conflict in infrastructure usage with other terminal activities
• Manage and coordinate with Operations for manpower availability to support trucking activities
• Transfers Planning: Plan ITT Including ITT Blend within the logistics program
• Plan External Pipeline transfers
• Align the Truck and Drumming activities with the marine and ITT movements
• Perform signal conflicts and delays and triggers discussion with CS and Operations
• Act as the single point of contact between the Account Managers and the CCR (Operations) for planning and progress related communication (except for urgent customer-fronting issue)
• Lead planning discussions between CS and Operations (morning meetings, issue resolution etc)
• Represents Vopak’s interests when dealing with third parties, including but not limited to shipping agents and bulk transporters
• Coordinate with Operations and Maintenance on the impact and timing of infrastructure downtime, to minimize customer impact and optimize use of maintenance resources
• Manage periodic and preventive maintenance requests, and contribute to the superior safety standards expected of Vopak
• Contribute to reviewing existing customer service planning and logistics process in their area of work to generate new ideas for continuous improvements
• Monitor trends and evaluate opportunities for implementation

Requirements:

• At least 3-6 years of experience in highly dynamic, fast paced environment
• Experience in terminal operations
• Operational or Logistics experience in Oil & Gas or bulk logistics is a strong bonus
• Experience in maritime / vessel operations is a bonus

DUTIES AND RESPONSIBILITIES

The successful applicant will carry out the following duties and responsibilities:

· Handle a large volume of incoming Sales orders and Purchase orders

· Quickly detect and analyse each customer’s needs in order to assist them

· Offer accurate and appropriate advice to each customer based on their needs

REQUIREMENTS

This role has to promptly & professionally attend to the customers when they walk into our service centres. He/She coordinates the front line operation, booking of appointment and provide general administrative support (Handle first level of complaints, assisting Service Advisor's & Call agents ensure cleanliness and smooth operation of the centre and any adhoc tasks assigned by the customer service Manager).

Job Scope

• Attend to the needs of the customer’s professionally and quickly such that the customer’s waiting time is kept to the minimum.

• To assist in completion of payment transaction according to agreed terms before releasing vehicle.

• Provide assistance and support to Service Advisor's/Call agents/Customer Service Executive

• Walkabout in service centres and observe cues from customers

• Speak to customers waiting at the service lounge and perform upselling whenever possible

• Assist with inbound/outbound calls and making appointment booking for customers to visit the service centre.

• Do a follow-up call on no-show booking customers to fix another appointment booking date.

• Assist to answer all telephone calls within 3 rings in a courteous and pleasant tone and voice with appropriate greeting, salutation where appropriate, announcement of company name and personal name.

• Transfer the calls in a professional manner where the other party is being informed of the transfer and the extension that they are being transferred to.

• Record messages accurately from customers and follow-up with SAs to ensure that messages/ calls are replied.

• Assist in the daily operation of the reception.

• Assist with collation of intake reports.

• Assist Customer Service Executive in handling 1st level of complaint cases

• Assist with cashiering and document submission to finance and respective managers

• Handle non-booking walk in customers tactfully to uphold customer service level standards at all times.

• Any adhoc tasks assigned by customer service Manager

Knowledge & Skills

• Preferably Diploma Holders who specialized in Customer Service

• Minimum 3 years working experience in relevant customer service industry.

• Proactive and independent with positive attitude.
