Job Description: Facility Manager
Job Summary:
The Facility Manager is responsible for overseeing the daily operations and maintenance of all facilities within the organization. This includes managing a team of maintenance staff, vendors, and contractors, ensuring compliance with safety regulations, and maintaining the operational integrity of the building(s). The Facility Manager will work closely with the Project Specialist and other departments to ensure the efficient and cost-effective operation of facilities.
Key Responsibilities:
Facility Operations Management:
Oversee daily maintenance operations for all facilities, ensuring the smooth functioning of building systems, including HVAC, electrical, plumbing, and other critical systems.
Coordinate preventive maintenance schedules and respond to emergency maintenance needs.
Resource and Vendor Management:
Supervise and coordinate internal staff, as well as external contractors and service providers, for routine and project-based maintenance work.
Manage vendor relationships, ensuring quality service and adherence to contract terms and schedules.
Health, Safety, and Compliance:
Ensure compliance with all relevant health, safety, and environmental regulations.
Conduct regular safety audits and inspections to ensure facilities meet local regulations and industry standards.
Promote safety awareness and ensure proper safety protocols are followed by staff and contractors.
Budget and Cost Control:
Prepare and manage budgets for facilities management and maintenance, ensuring cost-effective solutions and adherence to budgetary limits.
Track and manage expenses related to maintenance, repairs, and facility improvements.
Facility Improvement Projects:
Assist with facility improvement projects, working closely with the Project Specialist to plan and execute upgrades or repairs as required.
Manage facility renovation and improvement projects to ensure they are completed on time and within budget.
Client and Stakeholder Communication:
Serve as the primary point of contact for internal stakeholders regarding facility management and maintenance needs.
Address concerns or requests from stakeholders in a professional and timely manner.
Reporting and Documentation:
Maintain detailed records of maintenance activities, including repairs, inspections, and service logs.
Prepare regular reports on facility performance, maintenance schedules, and resource allocation for senior management.
Qualifications:
Bachelor’s degree in Facility Management, Engineering, or related field.
3 + years of experience in facilities management or related fields, with proven experience in managing a team.
Strong understanding of building systems (HVAC, electrical, plumbing, etc.).
Excellent problem-solving, communication, and leadership skills.
Familiarity with regulatory compliance and health & safety standards.
