1 Source of potential Forwarder and understand their strength 2 Evaluate and update new/exisiting Forwarder into Approved Vendor List

3 Ensure the appropriate Incoterms specified on the purchase order are carried out.

4 Prepare Bid Tab if required for Shipping Cost & Discuss on issuing of Puchase Order

5 Process order and ensure timely Shipment and Delivery of Purchased products

6 Coordinate & provide assistance between Requester, Suppliers and Forwarders and Receivers

7 Coordinate and assist with all necessary Import & Export Documentation for all Projects

8 Ensure documents are given to Forwarders before vessel ETA & avoid any Storage or Demurrage charges

9 Ensure timely return of Containers to yard & avoid Detention charges

10 Provide all necessary Import / Export documents to Finance for their processing on GST

11 Corodinate with FIN for payment if any issues with Forwarder invoices

12 Arrange to return back original Shipping Guarantee to bank once receive Original BL

13 Run PO report under shipment and follow invoice pending for shipment if required

Vendor Presentation

1 Send invitation to Vendors to conduct Vendor Presentation

2 Ensure topic is relevant to our projects

3 Coordinate for date time and venue

4 Inform all users on the Vendor Presentation / Training

PO Creation

1 Convert PR to PO for Shipment

2 Once Purchase Order is created, save the WO copy PO in PDF and send it to requestor/buyer to check and advise for release if required

3 Once Purchase order is signed and send the approved purchase order to vendor for their action and cc to project team for their info

4 For Internal Vendor, approved PO will send via email to them for their end processing and cc to project team for their reference

• Ensure cleanroom mechanical installations align with industry cleanliness classifications.

3. Quality Assurance and Testing:

• Conduct inspections and supervise the testing and validation of mechanical systems.
• Ensure adherence to design specifications, quality standards, and regulatory requirements.

4. Compliance and Safety:

• Ensure all activities follow safety regulations and risk management protocols.
• Maintain compliance with bio-pharma industry standards and certifications.

5. Budget and Resource Management:

• Monitor project budgets, cost estimations, and resource allocations.
• Manage procurement and delivery schedules for mechanical equipment and materials.

6. Troubleshooting and Problem-Solving:

• Identify and resolve issues related to mechanical construction, design discrepancies, or on-site challenges.
• Provide quick and effective solutions to minimize delays.

7. Documentation and Reporting:

• Prepare and maintain accurate records, including:
  • As-built drawings.
  • Commissioning and validation reports.
  • Progress updates for stakeholders.

8. Team Leadership:

• Supervise and mentor on-site mechanical teams and contractors.
• Conduct training sessions on bio-pharma-specific mechanical systems and best practices.

9. Project Handover:

Job Description:

• Using the ERP system to create PO & analyze stock level.
• Support internal coordination between different departments.

-Follow up & update of orders lead time to Sales & Production Team.

-Coordinate with local & overseas Vendors.

-Plan and manage resources to maintain optimal stock levels, ensuring availability of materials while minimizing excess inventory.

-Monitor all purchases & follow up on orders lead time closely.

• Prepare, manage, and facilitate design drawings utilizing BIM, Rino, Grasshopper and CAD technologies.
• Ensure all models are compatible and that BIM data is accessible to all project participants.
• Oversee coordination between architectural and structural interfaces, collaborating with main contractors and other trades for effective cross-team support.
• Work closely with the design team and other relevant departments to ensure all drawings meet design specifications.

• Make sure daily work plan, PPE, goods arrival and unloading are carried out smoothly , timely, and completely.
• Innovate and automate for improved production output and overall efficiency with new automated or robotic machines and work flow.
• Liaise and manage fabricated products are ready with project engineers for installation at sites.
• Check Team Leaders record of materials in and out of factory to project sites, all stock and inventory is maintained with accuracy and up to date.
• Organise and upkeep factory storage and movement of inventory are smooth and efficient.
• Assist to source better and cost savings materials from overseas and liaise with overseas suppliers for stock replenishing.
• Involve in the annual ISO and bizsafe renewal.
• Improvise designs for overall efficiency of system parts and communicate with key personnel.
• Manpower planning and workers training to make sure workers are equipped with relevant knowledge and skills.
• Need autocad, fabrication, welding knowledge to check drawings and making sure welders are fabricating correctly.
• Assist purchaser to source for materials overseas.

Requirements :

• Minmum Diploma in either mechanical, Electrical or Construction Engineering or other relevant discipline.
• Required skill(s), MS Office, MS Project AutoCad.
• 3 to 5 years work experience in construction sites.
• Responsible team player with the ability to work independently in challenging projects and timelines.
