The Procurement Executive is responsible for supporting the company and its projects by providing end to end service, from understanding end-user and project requirements, to sourcing for the right item at the right specifications and budget, to ensuring smooth delivery at the right time.

He/she is critical in the smooth execution of the projects within budget.

He/she should be comfortable engaging and interacting with vendors and other external parties, to fulfill his/her responsibilities in coordinating vendor selection processes, maintaining vendor contract records and databases, and following up on vendors' deliverables.

Requirements:

· Purchase general and specialized equipment and materials for projects

· Review plans, specifications, and contracts to ensure the correct equipment, material and subcontractor services are ordered and/or purchased

· Consult with suppliers and review quotations

· Determine or negotiate contract terms and conditions, award supplier contracts or recommend contract awards

· Work closely with site personnel

· Ensure lorry drivers' have meet the timelines given.

· Address and resolve issues related to transportation and logistics system.

· Generate Purchase Orders promptly.

· Maintain good relationship and follow-up with suppliers closely.

· Provide administrative support to the office.

Job Description & Requirements

• Assist in coordinating and supervising maintenance and overhauling jobs
• Monitor and update job status daily.
• Supervise mechanical works (Remove/re-installation and Overhauling works of Motors, Generators and Pumps).
• Carry out general repair and maintenance jobs onboard vessels or in workshops
• Dismantle and troubleshoot for mechanical defects
• Perform testing of equipment to ensure smooth operation
• Perform test run and report to superior on the job completion status

1. Design and Planning

• Review and interpret electrical designs, blueprints, and technical drawings.
• Coordinate with design engineers, architects, and other stakeholders to ensure that electrical plans align with project requirements.
• Propose modifications or improvements to electrical systems to enhance efficiency or safety.

2. Installation and Supervision

• Oversee the installation of electrical systems, equipment, and fixtures, ensuring compliance with standards and specifications.
• Supervise electricians, technicians, and subcontractors to ensure proper execution of tasks.
• Plan and allocate resources, including manpower, tools, and materials.

3. Quality Assurance and Compliance

• Ensure that all electrical work complies with local codes, standards, and regulations (e.g., NEC, IEC).
• Conduct regular inspections and audits to ensure quality and adherence to safety protocols.
• Test and commission electrical systems to confirm functionality and performance.

4. Troubleshooting and Maintenance

• Identify and resolve issues with electrical systems during installation or operation.
• Develop and implement preventive maintenance schedules for electrical equipment.
• Prepare troubleshooting guides and provide technical support as needed.

5. Safety Management

• Enforce safety protocols and ensure the use of appropriate Personal Protective Equipment (PPE).
• Conduct risk assessments to identify and mitigate hazards related to electrical works.
• Train staff on electrical safety and emergency response procedures.

6. Documentation and Reporting

• Maintain detailed records of electrical installations, inspections, and maintenance activities.
• Prepare daily progress reports, test reports, and as-built documentation.
• Report project progress and issues to the project manager or higher management.

7. Budget and Cost Control

• Estimate costs for electrical components and systems.
• Monitor project expenditures to ensure that electrical work stays within the budget.
• Suggest cost-effective solutions without compromising quality or safety.

8. Coordination and Communication

• Collaborate with other engineering disciplines to integrate electrical systems into the overall project.
• Communicate effectively with stakeholders, including clients, contractors, and suppliers.
• Attend project meetings and provide updates on electrical works.

9. Problem-Solving and Innovation

• Propose innovative solutions to overcome challenges during project execution.
• Stay updated on advancements in electrical engineering and incorporate new technologies where applicable.

Able to assist in tender pricing of ACMV project/ Alteration & Additional Work.

2. Data Entry for the project material delivery, Bill of Quantity and Tender Pricing.

3. Serves as liaison between the user and in-house contractor on all ACMV related system.

4. Provide sizing and design of ACMV system (chilled water) for individual room

5. Coordinate with supplier / sub-contractor of the tender specification and obtain the quotation from them

6. Control and supervise workmen to make sure standards of building performance, quality, time and cost schedules, and safety are complied.

7. Responsible for keeping daily work record, including additional work claims to the clients and from the subcontractors

TENDER-CONTRACTS and PURCHASE ORDER T&C REVIEWS

• To conduct Tender-Contract Review and provide Lookout List and address all recommendations and queries.
• Review and comment on tender analysis prepared by project stakeholders before it is presented to the Client.
• To conduct Material PO T&C Review and advise

CONTRACTS MANAGEMENT & DISPUTES

• Provide contractual advise or interpretation when required (SG and Overseas)
• Support all BUs in highlighting critical requirement and any deviation in compliance with terms & conditions from pre-contract stage to project closure
• Assist all BU/Dept in highlighting any deviation in the terms and conditions of Contract
• Ensure proper project close out of Projects and any contract related requirement
• T provide support in all Contract Matters (SG and Overseas)
• Assist Project teams/BU's in highlighting any critical requirement and deviation in compliance with terms and conditions of main contract.
• To assist in preparation of Variation Orders and Extension of Time documents
• Draft correspondences (letters/notices/requests etc) whenever required
• To support in all Claims and Disputes (SG and Overseas)

SUBCONTRACT

• To liaise and float request for proposals to bidders and obtain necessary quotation
• To assist that requestors are familiar with the sub-contracting processes.
• To assist in monitoring and reviewing project subcontract activity
• To assist in negotiation of short listed subcontractor(s) to the lowest or best price.
• To assist in negotiating better payment terms for services and subcontracts
• To assist in monitoring Procurement Subcontract Control List
• Provide liaison assistance between project team and subcontractors
• To assist in coordinating all necessary documentation for subcontract agreement
• To assist in negotiation in coordination with project teams in any discipline
• To assist in drafting project subcontracts as per project basis which is complimenting to the respective main contract
• To assist in review of subcontract deviations from vendors
• To provide contractual advice or interpretation as and when required
• To assist with project team on short listed subcontractors
• Assist in reviewing proposals and work scope of subcontractors
• To develop SOP guidelines and to provide guide and trainings
• To assist in expediting of bi-monthly subcontract planning list to meet required schedule

Reports:

• Submit monthly contracts report at first week of the month.
• Maintain to-do list for daily activities
