1. Job Scope:

• Provide customer service and admin operational support
• Serve as the main point of contact for external corporate customers and internal stakeholders
• Provide support on daily operations including registration / de-registration of corporate vehicles, follow up on renewal cases and credit card expiry date, blacklisting requests, tracking of refunds, etc
• Manage incoming phone calls and identify customers' needs to achieve satisfaction

Job Summary

The Executive Officer performs core Secretariat functions to support the MENDAKI Club Executive Committee (EXCO) in the execution of events and programmes which help Malay/Muslim youths and professionals (i.e., youths aged between 13 to 35 years old) excel and support one another, as well as the internal operations of the Club. The aforementioned Secretariat functions are carried out by the Executive Officer and Manager under the MENDAKI Club Secretariat, supported by the Executive Assistant.

The incumbent is expected to work between 9.00 a.m. to 6:00 p.m. on weekdays, but may be required to work occasional weekday evenings and/or weekends to support the Club’s EXCO meetings and events. A commensurate number of time-off hours or days will be provided for time spent working outside regular working hours. Although he or she is largely expected to work in an indoor environment, he or she may be required to commute frequently for meetings and events.

Key Responsibility Areas

Partnership and Programme Development & Delivery

• Work hand-in-hand with the Club’s EXCO and volunteers in planning, organising and delivering MClub's flagship programmes.
• Collaborate with stakeholders and key departments in Yayasan MENDAKI.
• Keep abreast of the latest youth, education, career and community trends among Malay/Muslim youths and larger youth landscape.
• Conduct reviews of programmes and recommend areas of improvement or adaptation to suit the needs of youth.

Volunteer Management

• Maintain and manage the volunteers’ database via Salesforce (our Volunteer Management System). This includes tracking volunteer information, including engagement history, and contact information.

Social Media Management

• Maintain the Club’s social media accounts, event-based and monthly communications with members through communication platforms like WhatsApp, Telegram, social media and/or newsletters.

Intern Management

• Monitoring working hours via Timesheet.
• Assigning daily task and projects.
• Work with our partner (Youth Corps Singapore) for Internship Allowance Funding under the Youth Corps Community Internship programme.

Financial Planning and Management

• Assist in MClub’s forecasting and budgeting activities.
• Implement budget plans to manage resource allocations to MClub’s programmes.
• Process claims and run procurement processes where required.
• Monitor budget outcomes to ensure proper utilisation and accounting of resources.

Data Collation and Analysis

• Collate feedback and tracking data from the Club’s events and programmes.
• Analysing trends arising from collated data and work with EXCO to evaluate the effectiveness of programmes.

Others

Any other duties as assigned by the Manager and MClub President.

Requirements

Experience:

• 2 to 3 years of experience in programme management or youth engagement preferred.
• Prior experience in events management or background from the MICE industry, corporate communications, or digital marketing preferred.

Qualifications:

• Minimally Bachelor’s Degree-level qualification in any field.
• Degree in any relevant fields preferred (e.gs., education, social work, communications, marketing, management, event management).

XCL World Academy is seeking to recruit an Educational Administration Officer. The successful incumbent will be responsible for supporting the Secondary Years leadership team with the management of the daily operations of the secondary school. It is expected that the Educational Administration Officer will have a good understanding of school management information systems in addition to strong communication and interpersonal skills - will be required to interface with school staff, students, and parents/guardians.

Main Responsibilities

● Coordinate and manage daily cover/supply arrangement for the Secondary Years - in conjunction with the Dean of Student Life.

● Manage and coordinate the deployment of cover/supply teachers.

● Student Attendance/Arrival tracking - Inclusive of contacting parents whose ward has not arrived at school and communication regarding their absence has not been received.

● Tracking of teachers who have not recorded student attendance.

● Attendance Tracking - To ensure students are meeting attendance requirements as set by the authorities [ICA].

● With support from the IB Coordinators and Dean of Student Life, lead exam timetabling and invigilation schedules (Semester Examinations, Mocks, MYP and DP Examinations, CAT4, PASS, MAP, PIVOT).

● Ensure set-up and smooth running of the internal examinations process including the coordination of the deployment of invigilators.

● Understand and operate the areas of the schools integrated management system (PowerSchool, and any related software programmes, that support the organisation of the curriculum; assessment and reporting to parents (Managebac, OpenApply).

● Make changes to the Secondary Years timetable, staffing and rooming in PowerSchool throughout the academic year (Where required).

● Ensure that school management information systems are set up accurately in preparation for reporting periods.

● To assist in the SY office in the absence of the Executive Assistant.

● Fulfil other relevant divisional duties as directed by the SY Principal.

Position Requirement:

● A Diploma / Degree in Business Administration or in other related fields.

● Minimum 2 years’ experience in a school, preferably in an international school setting (Secondary Years).

● Previous experience in an administrative or similar role.

● Able to manage and handle systems comfortably.

● Excellent English Language communication skills (Verbal & Written).
