Room set-up and layout

• Liaise with the executive on the planning and hosting of functions and events
• Manage, coordinate and follow up with requestors for events requirements.
• Take charge of the appropriate layout of meeting and function rooms.
• Coordinate the changing of room layout upon request from user.
• Ensure that tablecloth and shirting are changed regularly and as and when required.
• Send soiled tablecloth and shirking to Linen Department for washing.
• Track and monitor tablecloth and shirting usage.
• Manage and operate AV equipment during major events as and when required.
• Deliver required equipment for loan to other departments as per schedule.
• Collect the equipment on loan to centralized location.
• Ensure that all AV equipment and others items are in working conditions.
• Trouble-shoot and arrange for breakdowns and defects of AV systems to be rectified promptly
• Conduct assets inventory according to pre-determined scheduled and report to Executive for any discrepancies that are detected.
• Track and record foldable table and chair usage.
• Conduct stock check on beverages/cutlery/stationery regularly and arrange for replenishment whenever required.
• Any other duties as assigned by the Supervisors / Managers.

Facility Reservation System

• Manage all bookings/block bookings of facility from users through the Facility Reservation System.
• To generate Facility Booking report daily before shift for event support for the day.
• To add/edit profile of new users and create/restrict access rights upon instruction from Executive.
• To generate monthly report of facility usage for the month to Executive by the 3rd of each month.

WSH

• To be aware of safety and health hazards in his/her work and work environment.
• To ensure compliance to the local legislation and other requirements pertaining to Environment Protection and Workplace Safety and Health.
• To comply with work instructions and procedures.
• To observe safety in the course of his/her work. To execute work in a safe manner without endangering self and others.
• To follow hazard identification and risk control procedures.
• To put on necessary PPE as trained, when required.
• To report any incident/accident to the supervisor immediately.

REQUIREMENTS

• GCE ‘O’ Level with at least 2 years of relevant experience in handling events/functions.

5.5 days per week, rotating off day

The Singapore Meetings & Events team manages over 130 events per year, for employees of the company, held at external venues, which range from training events for 10 people up to the annual office-wide events for over 700 people.

The events include small dinners, lunch bookings in exclusive private dining rooms, training sessions, office wide meetings, office wide cocktail events, community BBQ’s, graduate functions and many other events.

In this specific role, the Meetings & Events Analyst/Senior Analyst involves taking that original brief from the beginning to seeing the event through to the end (listen to the brief, research, venue sourcing, negotiation, logistics, financial admin, budget planning, communication management, reconciliation & closing of event).

These are detailed below.

• Provide guidance to internal clients – Ensuring insurance, legal, health and safety obligations are adhered to for all events
• Provide advisory services to internal clients to assist with cost mitigation – offering alternatives or championing use of company office where possible for events
• Be the main point of contact with clients and vendors for all events
• Venue sourcing: provide options to internal clients based on their brief & budget
• Create and maintain a budget for each event, seeking approvals where necessary and reconciling costs post event

• Prepare and pack onsite materials and stationery for scheduled events to be delivered to the venue.

• Collate travel information to populate workshop leaders’ rooming list.

• Assist to send participant list for badges printing for all scheduled face-to-face events

• Work in collaboration with Product Strategy department to transfer all new workshops from Smartsheets to Salesforce workshop product database.

• Point of contact for queries or feedback related to the Product Catalogue.

• Maintain database as “gold standard” of information to support PDD scheduling and events building, ensuring all product availability information is accurate at all times.

• Communicate changes to Salesforce workshop product database to internal IB teams (PDD, IBEN, Marketing) and troubleshoot problems/propose solutions when issues arise.

• Manage translations of all workshop titles and descriptors for Spanish and French versions of the catalogue.

• Communicate with CVENT teams to ensure workshop titles are correctly entered into CVENT.

• Liaise with IB Lexaurus meta data analyst to ensure all workshop titles are entered into Lexaurus and all those no longer available are removed.

• Create and run Salesforce reports.

• Extract workshop content from Salesforce and prepare content for Marketing team.

• Serve as SME to Marketing team during the development of the product catalogue for the website.

Financial Processing

• Assist on updating budget sheet with actual expense from workshop leaders.

• Assist on forwarding badge and invoices to finance to process.

• Assist on informing finance to issue credit vouchers for hosting schools.

General Support PDD Team

• As assigned, provide coverage to other team members.

• As per instruction from management, support global and regional projects and initiatives
