Veeva Administration (All Learning Assets)

• Placeholder Creation: Create document placeholders in Veeva and manage end-to-end approval processes.
• Approvals & Updates: Handle rush approvals for urgent documents, address stakeholder feedback, and resubmit as needed.
• Document Management: Maintain a master file of Veeva documents with expiry details and initiate renewal processes 60 days before expiration.
• Vendor Coordination: Partner with vendor for document renewal submissions, sharing necessary source files and ensuring smooth collaboration.

Annual Online Knowledge Assessment

• Scheduling: Send calendar invites and manage scheduling for annual assessments.
• Administration: Oversee the administration process of annual knowledge assessments.

General Administration

• Result Tracking: Periodically update training score trackers and upload results to the Sales Training SharePoint site.
• Logistics Support: Arrange materials, print workbooks, coordinate DHL shipments, and manage animal eye orders for training sessions.

Finance (POs and PRs)

Requirements

The Role

This position will support and lead aspects of various aspects within the Enterprise Services group. Those items would include, but are not limited to, AFG’s virtual advertisement initiative, LED Content management, department contracting and freelance database management, providing updated department/company documentation as well as assist in the tracking and reporting of various departmental budgets.

Key Responsibilities

Technology & Transmission

• Setting up competitions, matches, playlists and users within AFG’s content management system working with cross-departmental teams to ensure deadlines are met within the various steps of the applicable competition life cycle.
• Sharing Virtual/LED content with venue teams and the AFC ahead of match delivery and providing updates where applicable.
• Supporting the team in various areas of the Media Asset management system “MAM” including setting up of events and user access, running reports, checking metadata and ensure the tagging of the media assets are consistent with established principles while coordinating with key stakeholders to ensure various deadlines are met.
• Responsible for supporting the overall delivery of virtual advertisement “VA” by:

1. Crewing freelance personnel and supporting them with various items such as travel and accommodation needs, visas and information related to their assignment.
2. Creating and issuing VA daily schedules to all key stakeholders.
3. Working with AFG’s appointed VA supplier ensuring they have all the elements needed ahead of the events.
4. Providing account management support to other 3D party entities delivering VA onsite across various competitions.
5. Submitting production booking sheets for VA matches to cross department teams.
6. Create and manage presentation materials to inform cross-departmental teams of VA initiative.
7. Supporting the tender process which includes, but not limited, issuing Request for Proposal “RFP”, coordinating testing events, and reviewing of materials submitted by participants.

• Working with the Transmission team in coordinating SNG’s or internet requirements to deliver the relevant match which including working with key stakeholders on ensuring requirements from venue are available, issuing logistic letter requests to FA/LOC’s, parking passes, RF clearances (if applicable).

Events

• Responsible for gathering and submitting all accreditation and visa requests for personnel managed by the team for relevant matches/events. This includes, but is not limited to, suppliers, freelance staff, Enterprise Services team as well as client accounts.
• Supporting the overall planning of all special events which includes draws and award ceremonies.
• Act as the owner of the company match inventory and match calendar issuing updated documentation to the company on a monthly basis highlighting any key changes.

Contracting & Freelance Database

• Support the AFG’s freelance database system by maintaining SmartTracker and SmartDatabase. Support the overall onboarding and offboarding of AFG’s freelance pool working with the relevant line managers.
• Support in the overall maintenance and issuance of all contracts and work orders for the department including the maintenance of AFG’s contract database.

Budgeting & Reporting

• Support in the overall flash reporting and tracking of costs within the departments various budget.
• Responsible for raising of purchase orders.
• Managing the companies project ID’s to ensure systems are up-to-date and accurate with the latest competitions standings as well as providing updates to AFG’s appointed travel agency.

Other

• Scheduling meetings and coordinating agendas as well as issuing notes.
• Other ad hoc tasks as directed.

RESPONSIBILITIES

The main responsibilities of this role are to ensure effective and efficient coordination of our Pool vessel operations. Liaise closely with the Pool partners, Fleet Technical Managers, Commercial, Bunker, Claims and Controls teams to identify opportunities within operations for effective fleet performance monitoring and management. Influence the fleet operations team and other associated stakeholders in aligning with the vessel performance management goals and objectives in optimizing TCE. Assist in developing KPI, scorecards, workflow charts, and process maps for the operations team with regard to vessel's operational performance.

• Responsible for daily vessel operations, including issuance of voyage instructions, planning, optimizing and managing voyage bunkers, appoint agents, optimize voyage PnL taking into account speed and tank cleaning instructions.
• Ensure that all financial requirements, funding and invoicing for each voyage are promptly arranged and correctly disbursed
• Process and ensure compliance with relevant charter party requirements and company procedures, relevant voyage or time charter operational information between vessels, brokers, charterers and agents
• Maintain account of bunkers on board and plan for optimized uptake for spot market ships
• Monitor and record all details of voyage performance including off-hire, stoppages and delays within the vessel voyage performance report system, including trends / gap analysis
• Identify opportunities within operational practices which influence performance of vessels
• Arrange all routine invoicing and funding for voyage costs, including agency appointments, non- compulsory pilotage and surveyors' attendance
• Check and advise as necessary relevant voyage, cargo and port documentation required by principals for raising demurrage and off-hire claims
• Maintain and manage all department / fleet operational records, files and databases as per departmental procedures and documentation system
• Render pre-fixture support to commercial department concerning any vessel information requirements, questionnaires, certification and scheduling
• Render post fixture support to commercial department as required during the course of the voyage with pertinent operational information, routing, ETA / ETD, cargo operations, terminal and navigational issues
• Render post fixture support to Claims & Controls team as required for follow up of voyage claims, including providing information on charterer claims, insurance claims & other insurance-related matters to Claims, Commercial and Insurance departments

• Actively participate in the development of processes and procedures for the continuous improvement of company procedures
• Undertake activities as guided by company's fuel and operational efficiency initiatives and identify / execute new improvement initiatives within the area in close cooperation with energy management to ensure company-wide alignment

• Degree in Accountancy, Business or relevant discipline.

Your responsibilities include:

• Sense-make and analyse strategic labour policies or recommendations to address issues faced by employers or specific groups of employees in the labour market identified through the research or forecast of labour trends.
• Monitor and interpret global and local trends, as well as socioeconomic data of the labour markets, with a view of creating novel upstream policy solutions through labour policies.
• Study and develop models to project and explain future national manpower scenarios, intelligence, and other driving forces and critical uncertainties shaping Singapore’s economic and manpower environment through partnerships with academic institutions, tripartite partners and government agencies.
• Design and conduct research and analysis to evaluate and forecast employers’ position on identified labour guidelines and regulations.
• Adopt methodologies to enhance policy development and stakeholders’ engagement.

Requirements

Bachelor’s degree in Economics, Social Sciences (political science, sociology, organisation psychology, etc) or other related disciplines. Fresh graduates are welcomed. An interest in international labour and experience in planning regional/ international events is a plus.

Job Description:

1) Manage delinquent and bad debt accounts through monitoring and analysing database

2) Guide and ensure team members negotiation skills are effective

3) Responsible for repossession matter including auction and tender of repossessed assets, according to the rules and regulations

4) Initiate, handle and monitor legal actions with solicitors

5) Assist in review, develop and executing collection action plans and strategy towards achieving set targets

6) Handle and manage complaints or issues escalated from internal collection teams

7) Weekly review and conduct monthly meeting according to frequency

8) Preparing monthly management reports on the collection and recovery position

Key Responsibilities:

• Support in Development of Strategic Communications Planning: Providing comprehensive support in all aspects of strategic communications planning and campaign development.
