RESPONSIBILITIES

The main responsibilities of this role are to ensure effective and efficient coordination of our Pool vessel operations. Liaise closely with the Pool partners, Fleet Technical Managers, Commercial, Bunker, Claims and Controls teams to identify opportunities within operations for effective fleet performance monitoring and management. Influence the fleet operations team and other associated stakeholders in aligning with the vessel performance management goals and objectives in optimizing TCE. Assist in developing KPI, scorecards, workflow charts, and process maps for the operations team with regard to vessel's operational performance.

• Responsible for daily vessel operations, including issuance of voyage instructions, planning, optimizing and managing voyage bunkers, appoint agents, optimize voyage PnL taking into account speed and tank cleaning instructions.
• Ensure that all financial requirements, funding and invoicing for each voyage are promptly arranged and correctly disbursed
• Process and ensure compliance with relevant charter party requirements and company procedures, relevant voyage or time charter operational information between vessels, brokers, charterers and agents
• Maintain account of bunkers on board and plan for optimized uptake for spot market ships
• Monitor and record all details of voyage performance including off-hire, stoppages and delays within the vessel voyage performance report system, including trends / gap analysis
• Identify opportunities within operational practices which influence performance of vessels
• Arrange all routine invoicing and funding for voyage costs, including agency appointments, non- compulsory pilotage and surveyors' attendance
• Check and advise as necessary relevant voyage, cargo and port documentation required by principals for raising demurrage and off-hire claims

• Responsible for gathering and submitting all accreditation and visa requests for personnel managed by the team for relevant matches/events. This includes, but is not limited to, suppliers, freelance staff, Enterprise Services team as well as client accounts.
• Supporting the overall planning of all special events which includes draws and award ceremonies.
• Act as the owner of the company match inventory and match calendar issuing updated documentation to the company on a monthly basis highlighting any key changes.

Contracting & Freelance Database

• Support the AFG’s freelance database system by maintaining SmartTracker and SmartDatabase. Support the overall onboarding and offboarding of AFG’s freelance pool working with the relevant line managers.
• Support in the overall maintenance and issuance of all contracts and work orders for the department including the maintenance of AFG’s contract database.

Budgeting & Reporting

• Support in the overall flash reporting and tracking of costs within the departments various budget.
• Responsible for raising of purchase orders.
• Managing the companies project ID’s to ensure systems are up-to-date and accurate with the latest competitions standings as well as providing updates to AFG’s appointed travel agency.

Other

• Scheduling meetings and coordinating agendas as well as issuing notes.
• Other ad hoc tasks as directed.

Skills, Experience and Qualifications

• Demonstrated interest in broadcast, media asset management, and content services.
• Attention to detail and ability to maintain organization in a fast-paced environment.
• Skilled user of all Microsoft applications, demonstrating strong Excel skills.
• Flexible, enthusiastic and motivated.
• Ability to prioritize tasks, stay organized, and work diligently both independently and within a team.
• Introducing fresh perspectives and innovative technologies to enhance content service.
• Willingness to work flexible hours, including evenings and weekends, to accommodate the demands of the role.
• Potential travel required for match delivery.
• Experience in events for 3+ years, with sports events a plus.
• Proficiency in written and spoken English; proficiency in other Asian languages is a plus.

Job Description:

• Be a part of creative ideation and concept development for events and campaigns
• Collaborate with the members of the team to collectively produce successful events
• Conduct sourcing for event venues and supplies
• Coordinate between events team, designers and other 3rd party vendors leading up to the events, ensuring that both client and event requirements are met for both on-site and off-site events
• Support the overall operations and execution of various events
• Assist in execution of event project timelines, agenda, setup schedules

Work Hours:
• Business as usual: 10am to 7pm (5 days work week with at least 1 weekend)
• Event days: 11am to 8/9pm (any additional hours worked will be counted towards off-in-lieu)
