What You Would Get To Do

The Producer will consistently deliver exceptional service to our clients through excellent client insight, creative leadership, and project management. This position is an integral part of our Events & Experiences team and will be responsible for managing, supporting and/or executing various events from initial concept through execution and final reconciliation.

The Producer will report directly to the Director of Operations, Asia.

Client Management

• Act as the client’s point of contact during the planning and execution of live events, either as project lead or as an integral part of the planning team
• Build and maintain effective client relationships, anticipating requirements, understanding client needs and ensuring that requests are addressed in a timely manner
• Ensure clear communication with the client around all project deliverables including roles and responsibilities, agreed scope and budget, timelines and programme status
• Work in partnership with clients in an advisory capacity, consulting on industry best practices and recommending creative, effective and appropriate solutions

Project Management

• Manage, prioritize and oversee events from creative concept through initial briefing to reconciliation including but not limited to initial budget creation, timeline management, planning, onsite delivery and post event reporting
• Involvement in or oversight of all elements of the planning process including but not limited to venue and supplier sourcing and management, rooming blocks, F&B, AV and build, registration and event apps, staffing, F&B, security, transportation, signage and branding, SWAG sourcing, etc.
• Create and maintain complex project schedules, internal and external project documentation including project and ops plans, internal master decks, client WIP decks, meeting agendas and meeting minutes etc.
• Actively contribute to or lead internal project meetings or client meetings

• Maintain a strong working knowledge of video and audio equipment, LED video wall, wireless technology, computers, projectors, and video conferencing equipment
• Coordinate integration with specialty audio visual equipment as needed
• Responsible for cord management & safe set up and dismantle
• Provide regular feedback to Company on communication issues and service improvements
• Liaison with project manager regarding the exact audio-visual requirements for events. This will include assistance with PowerPoint presentations, audio and video conferences

Job Overview:

We are seeking a highly motivated Marketing & Events Executive to join our team. In this role, you will be responsible for planning, executing, and managing a variety of in-person events, including trade shows and pop-up booths, to boost brand awareness, generate leads, and contribute to overall business growth.

The ideal candidate is detail-oriented, creative, and experienced in managing event logistics, as well as developing marketing campaigns to drive attendance and engagement. You’ll work closely with both internal teams and external partners to deliver seamless event experiences from start to finish.

Key Responsibilities:

• Event Planning & Execution:
  Plan, organize, and execute in-person events such as trade shows, pop-up booths, and promotional activations. Oversee all logistical elements, including vendor coordination, booth setup, transportation, and staffing requirements.
• Pop-Up Booth Management:
  Lead the planning and execution of pop-up booths at various events, ensuring they align with the brand and provide a memorable experience for attendees. This includes coordinating booth design, product displays, promotional materials, and team schedules.
• Livestream Management (When Necessary):
  Manage livestreams during events such as pop-up booths or trade shows to engage a broader audience. Ensure seamless technical execution and audience interaction.
• Marketing Material Development:
  Collaborate with the marketing team to create compelling pre-event, during-event, and post-event materials, including digital content, flyers, brochures, signage, and promotional giveaways. Ensure all materials align with the brand’s messaging and goals.
• Budget Planning & Management:
  Develop and manage event budgets, including costs for booth design, event space, travel, and promotional materials. Track and monitor expenses to ensure events are executed within budget.
• Lead Generation & Audience Engagement:
  Drive lead generation initiatives at events through effective engagement strategies. Collect and track attendee data, ensuring follow-up communications are timely and relevant to maximize conversion.
• Stakeholder Collaboration:
  Build strong relationships with internal teams, external vendors, event organizers, and partners. Serve as the main point of contact for all event-related matters.
• Post-Event Analysis:
  Measure the success of each event through key performance indicators such as attendee engagement, leads generated, and ROI. Prepare post-event reports with insights to improve future events.
• Continuous Improvement:
  Stay updated on industry trends, new event technologies, and best practices. Provide recommendations for innovative ways to enhance events and boost brand visibility.

Skills & Qualifications:

• Education:
  Bachelor’s degree in Marketing, Event Management, Communications, or a related field.
• Experience:
  Minimum of 3 years of experience in marketing and/or event management, with a focus on in-person events like trade shows and pop-up booths. Experience managing event budgets and logistics is essential.
• Skills: Strong organizational and multitasking abilities to manage complex events.
  Ability to build rapport with clients, event partners, and internal teams.
  Excellent communication and interpersonal skills.
  Experience creating and executing marketing materials and campaigns.
  Strong budget management skills.
  Comfortable managing and troubleshooting livestream technology (if applicable).
