Company Description:

Main Responsibilities

• Support regional advisory boards including organizing calculators for speakers, obtaining HCC and local Professional Education approval for engagement, post-event surveys generation & results collection
• Support regional Professional Education in regional symposiums, conferences, events including organizing international travel for speakers, vendor creation, obtaining HCC (Healthcare Compliance) approval for engagement, calculators, logistics coordination with local team and/or vendors where relevant, processing of payment to HCPs, closure of HCC One Vision requests.
• PR and PO creation and processing, liaising with vendors. Taking full ownership of quarterly and year end accruals
• Maintenance of Professional Education dashboards and refresh the professional resources hub stats sheet monthly

Digital education platforms

Platform Users

• User Administration for APAC Region: Oversee user roaster management across Singapore, Malaysia, Thailand, Vietnam, Indonesia, Philippines, Korea, Hong Kong, Taiwan, AUNZ, China, India, and Japan.
• New Hire Onboarding: Add new hires to platforms and troubleshoot as needed.
• Weekly Winners Management: Handle award distribution for weekly winners, coordinating with vendors for rewards/gifts.

Axonify Content

• Collaboration: Facilitate communication between the Axonify team & Sales Training Managers to share relevant content for developing Key Learning Points (KLPs) and questions.
• Tracking: Monitor and follow up on KLP and question development progress.

Translations (All Learning Assets)

• Coordination: Manage content translations between Korea, Taiwan, Japan, China, and translators, ensuring smooth communication between document owners and translators.
• Market Routing: Submit translated materials for local market approval and coordinate delivery of market-specific content with Training Managers.

Veeva Administration (All Learning Assets)

• Placeholder Creation: Create document placeholders in Veeva and manage end-to-end approval processes.
• Approvals & Updates: Handle rush approvals for urgent documents, address stakeholder feedback, and resubmit as needed.
• Document Management: Maintain a master file of Veeva documents with expiry details and initiate renewal processes 60 days before expiration.
• Vendor Coordination: Partner with vendor for document renewal submissions, sharing necessary source files and ensuring smooth collaboration.

Annual Online Knowledge Assessment

• Scheduling: Send calendar invites and manage scheduling for annual assessments.
• Administration: Oversee the administration process of annual knowledge assessments.

General Administration

• Result Tracking: Periodically update training score trackers and upload results to the Sales Training SharePoint site.
• Logistics Support: Arrange materials, print workbooks, coordinate DHL shipments, and manage animal eye orders for training sessions.

Finance (POs and PRs)

• Procurement & Finance: Manage purchase orders and payment processes, reconcile accounts quarterly, and resolve payment issues
• Follow-ups: Liaise with the R2P team to ensure timely purchase order approvals and payments.

Requirements

• Degree in any field with minimum 2 years of experience in corporate events management, executive assistant or admin roles
• Experience with VEEVA, Ariba, health care compliance are preferred
• Proficient in Microsoft Office

The Role

This position will support and lead aspects of various aspects within the Enterprise Services group. Those items would include, but are not limited to, AFG’s virtual advertisement initiative, LED Content management, department contracting and freelance database management, providing updated department/company documentation as well as assist in the tracking and reporting of various departmental budgets.

Key Responsibilities

Technology & Transmission

• Setting up competitions, matches, playlists and users within AFG’s content management system working with cross-departmental teams to ensure deadlines are met within the various steps of the applicable competition life cycle.
• Sharing Virtual/LED content with venue teams and the AFC ahead of match delivery and providing updates where applicable.
• Supporting the team in various areas of the Media Asset management system “MAM” including setting up of events and user access, running reports, checking metadata and ensure the tagging of the media assets are consistent with established principles while coordinating with key stakeholders to ensure various deadlines are met.
• Responsible for supporting the overall delivery of virtual advertisement “VA” by:

1. Crewing freelance personnel and supporting them with various items such as travel and accommodation needs, visas and information related to their assignment.
2. Creating and issuing VA daily schedules to all key stakeholders.
3. Working with AFG’s appointed VA supplier ensuring they have all the elements needed ahead of the events.
4. Providing account management support to other 3D party entities delivering VA onsite across various competitions.
5. Submitting production booking sheets for VA matches to cross department teams.
6. Create and manage presentation materials to inform cross-departmental teams of VA initiative.
7. Supporting the tender process which includes, but not limited, issuing Request for Proposal “RFP”, coordinating testing events, and reviewing of materials submitted by participants.

• Working with the Transmission team in coordinating SNG’s or internet requirements to deliver the relevant match which including working with key stakeholders on ensuring requirements from venue are available, issuing logistic letter requests to FA/LOC’s, parking passes, RF clearances (if applicable).

Events

• Responsible for gathering and submitting all accreditation and visa requests for personnel managed by the team for relevant matches/events. This includes, but is not limited to, suppliers, freelance staff, Enterprise Services team as well as client accounts.
• Supporting the overall planning of all special events which includes draws and award ceremonies.
• Act as the owner of the company match inventory and match calendar issuing updated documentation to the company on a monthly basis highlighting any key changes.

Contracting & Freelance Database

• Support the AFG’s freelance database system by maintaining SmartTracker and SmartDatabase. Support the overall onboarding and offboarding of AFG’s freelance pool working with the relevant line managers.
• Support in the overall maintenance and issuance of all contracts and work orders for the department including the maintenance of AFG’s contract database.

Budgeting & Reporting

• Support in the overall flash reporting and tracking of costs within the departments various budget.
• Responsible for raising of purchase orders.
• Managing the companies project ID’s to ensure systems are up-to-date and accurate with the latest competitions standings as well as providing updates to AFG’s appointed travel agency.

Other

• Scheduling meetings and coordinating agendas as well as issuing notes.
• Other ad hoc tasks as directed.

Skills, Experience and Qualifications

• Demonstrated interest in broadcast, media asset management, and content services.
• Attention to detail and ability to maintain organization in a fast-paced environment.
• Skilled user of all Microsoft applications, demonstrating strong Excel skills.
• Flexible, enthusiastic and motivated.
• Ability to prioritize tasks, stay organized, and work diligently both independently and within a team.
• Introducing fresh perspectives and innovative technologies to enhance content service.
• Willingness to work flexible hours, including evenings and weekends, to accommodate the demands of the role.
• Potential travel required for match delivery.
• Experience in events for 3+ years, with sports events a plus.
• Proficiency in written and spoken English; proficiency in other Asian languages is a plus.

Job Description:

• Be a part of creative ideation and concept development for events and campaigns
• Collaborate with the members of the team to collectively produce successful events
• Conduct sourcing for event venues and supplies
• Coordinate between events team, designers and other 3rd party vendors leading up to the events, ensuring that both client and event requirements are met for both on-site and off-site events
• Support the overall operations and execution of various events
• Assist in execution of event project timelines, agenda, setup schedules

Job Requirements:

• Good communication and negotiation skills
• Comfortable working under pressure in a dynamic startup environment
• Able to work weekends at roadshow / events as games / stations facilitator (off-in-lieu will be provided to cover the weekend work)

Work Hours:
• Business as usual: 10am to 7pm (5 days work week with at least 1 weekend)
• Event days: 11am to 8/9pm (any additional hours worked will be counted towards off-in-lieu)
