As IT Assistant, you will assist the Manager, Service Support in managing and maintaining key software systems, including erpbos® , ebos® , profit Software from Progress Group, Hubble Build Software & etc. Additionally, the candidate will assist the IT Technical Executive (Assistant / Senior) with various IT tasks and provide technical support to staff. Responsibilities

• To liaise with production planner and stores regarding material ordering, delivery and plan and prepare Bill of Materials before issuance of Purchase orders.
• To study and analyze the purchasing trend to ensure that it contributes continue saving to the company.
• Suppliers’ negotiation in services, performance, delivery, quality, payment term, service and gain cost effective in purchasing.
• To initiate cost reduction activities through negotiation with existing suppliers and to source for new suppliers.
• To address and resolve situations such as supply chain shortages, allocations, material discrepancies and to ensure contingency plan or alternate sources of supply is available.
• Maintain and update the records of Approved Vendor Lists. To perform vendor, visit and audit as well as audit report to ensure suppliers are perform the requirements.
• Evaluate suppliers’ performance periodically to ensure the goods/service provided are accordance to standard or specifications.
• To perform indirect purchasing including premium goods, services, sub-contractors for facilities and maintenance
• Prepare monthly, yearly and ad-hoc reports when required. Maintain accurate supplier price book in system and review system on regular basis.
• To implement and monitor purchasing policies and procedures for improvement and detect possible problems.
• Liaise with all departments effectively to support company’s operations and objectives.
• Liaise with external parties when an emergency occurs.
• Control & coordination ERP implementation.
• Responsible for arranging shipment and preparing all import and export shipping documents e.g. Bill of lading, invoice, packing list, permit and other related documents.
• To coordinate with production / planner / QA with preparation Shipment Delivery Schedule and booking of transportation based on Sales Orders / Customers’ special request/ Goods inspection status (for both local and export deliveries).
• Responsible for all local and export operations which includes managing forwarding agents, shipping liners, haulage, custom clearance and import.
• To coordinate with warehouse personnel and forwarder for shipment booking and arrangement of containers.
• To liaise with customers on delivery schedules/ shipping arrangement requirements
• Knowledge in international logistic and requirement ensuring logistics operation is compliance with the trade regulation and procedure and to confirm all the shipment are smooth and in timely basis.
• Resolve problem concerning transportation, logistic system, import and export or custom issue.
