1st Shift : Monday to Friday 7:30 am to 5:15 pm

2nd Shift : Monday to Friday 9:00 am to 6:45 pm

The Role

We are looking for an Office Administrator & Assistant to be a supportive force that empowers our Singapore team and management. The ideal person for the job will be a proactive problem solver with strong communication skills and meticulous attention to detail. He/she will have previous experience working in an office environment, performing administrative duties, and providing support to management.

Responsibilities

Office Administration - The incumbent will provide a full spectrum of administrative operations support to the office, including but not limited to office maintenance and arrangements, supervising the office cleaner, handling mail, coordinating vendors for office facility procurement and maintenance and management of all external vendors.

Assistant - The incumbent should be comfortable providing sophisticated calendar management to the MD, Capital and Elevate teams by scheduling appointments, meetings, engagements and daily activities including running errands. She will also serve as the primary point of contact for internal and external parties on all matters pertaining to the MD, Capital and Elevate teams. She will be responsible for managing and coordinating travel and travel related activities including flights, hotels and transport for the MD and other senior executives. She will also need to assist in planning and coordinating all corporate and company events.

• Update Accounts, customers information and compiling monthly management report.
• Extraction of Sales and AR receipts at month end.

· Generate and send Statement of accounts to clients

· Attend and handle of clients’ dispute

· Monitor credit limits for clients and reporting of delinquent accounts timely

· Send reminder letters for overdue accounts to clients

· Propose suspension or termination of credit facilities for poor credit worthiness accounts

· Preparation of monthly debtors aging reports

· Perform filing & monitoring of Proof Of Debt (POD) for liquidated companies

· Maintain accurate records of all chasing activity

· Respond promptly and completely to both client and internal enquiries

· Propose write off of irrecoverable receivables

· Providing ad-hoc reporting as and when requested by management

· Undertake account reconciliations as required

· Engage with cross-functional teams to improve customers’ payment cycle, facilitate solutions and improve processes.

· Conduct aged balance review with HOD and follow up review actions.

Product Executive (Marketing)

Job Responsibilities

• Work Closely with respective Product Managers and assist in developing and implementing product/ brand management activities including market analysis, product developments, advertising and promotion activities.
• Work with advertising, media and creative agencies to plan, carry out above-the-line campaigns and develop marketing collaterals.
• Work closely with sales team for below-the-line planning and execution.

• To support in day-to-day management of accounting and financial activities in a timely and efficient manner.
• Provide and/or support to provider financial, administrative and clerical support to the company that include settle accounts, tax filing, complete reporting and control general ledgers by reconciling each account.

• Assist Accounting Managers for monthly closing, auditing and so on.
• Handle accounting matters related to one business unit
• Prepares corporate income tax with tax agent
• Supports in electronic approval system user’s enquiries, change request, etc.
• Assist in various audits
• Other ad-hoc duties as required and/or assigned.

Other Requests

• Handle/Manage time to time requests from the Managers
• Assume other related supporting roles and duties which may be assigned, including the covering of other Finance & Accounting staff’s duties in her/his absence.

Requirements

• A Diploma and/or Degree in Accounting/Finance or Equivalent
• Minimum 5 years of relevant working experience
• Strong working knowledge of accounting/general ledger/book-keeping.
• Ability to organize and prioritize work and possess good time management skills
• Meticulous with a keen eye for detail
• Proficient in Microsoft Office applications (MS Word/Excel-know V look-up & pivot table)
• Experience in using SAP R3 is an advantage
• Ability to work independently and a good team player
• Able to communicate and work well with people at all levels
• Professional, independent, initiative and hands-on with a high level of commitment to deliver work on time.
