Position: Workplace Administrator/Administrative Executive

Location: Singapore

Job Responsibilities:

1. Workplace Maintenance

a. Oversee the overall cleanliness and organization of the office.

b. Liaise with cleaning staff to ensure high standards of hygiene and cleanliness are maintained.

c. Conduct regular checks of office facilities and address maintenance issues promptly.

2. Client Reception

a. Prepare and manage meeting rooms for client visits, including refreshments and necessary materials.

b. Provide professional and friendly reception services to visitors.

3. Storage and Inventory Management

a. Organize and maintain the office storage areas.

b. Track and replenish office supplies to ensure availability for employees.

c. Manage the inventory of stationery, office equipment, and other consumables.

4. Office Equipment Maintenance

a. Monitor and coordinate maintenance of office equipment, including printers, copiers, and other workplace tools.

b. Ensure all equipment is functioning properly and address any malfunctions with service providers.

5. General Administrative Support

a. Assist with other administrative tasks as needed to ensure smooth office operations.

b. Support internal events or activities, ensuring the workplace is ready for all occasions.

Job Requirements:

1. Education and Experience

a. Diploma or equivalent qualification; no prior experience is required, but administrative experience is a plus.

2. Skills

a. Good organizational and time-management skills.

b. Ability to multitask and work independently.

c. Basic understanding of office equipment maintenance is preferred.

3. Personality Traits

a. Friendly, approachable, and willing to assist others.

b. Strong attention to detail and a proactive attitude.

4. Other Requirements

a. Must be a Singapore Citizen or Permanent Resident (PR).

5. Language

a. Proficiency in English; knowledge of Chinese is a plus to coordinate with diverse stakeholders.

6. Availability

a. Must be available to work full-time, based in the office.

• Produce all items relating to the menu to the establishment standards to satisfy customers’ expectations. ·
• Maintain a high standard of hygiene and health and safety
• Ensure all equipment failure and hazards are reported to the Executive Chef
• Ensure a strict control on food waste and reporting any waste in the correct procedure

Job Responsibilities

· Proactively visit existing and new specialist doctors to establish strong relationships and identify new business opportunities

· Acitively generate new business by introducing doctors to the imaging MRI centres, driving referrals and ensure sustained partnerships

· Build relationships with key channel suppliers(insurance companies, GP clinics) to foster long term collaboration and business growth

· Identify and develop B2B and B2C consumer segments to expand the customer base.

· Conduct regular competitive analysis and pricing research to ensure competitiveness

· Develop and execute marketing strategies and campaigns from concept to completion

· Ensure the timely rollout of marketing plans with coordination with different stakeholders

· Build brand awareness through promotional packages and adjust strategies accordingly

· Compile and maintain comprehensive products/services offering lists

· At least 2 years sales experience, preferably in the healthcare or medical industry

Position Title: Corporate Secretarial Executive

Position Overview:
We are seeking a diligent and highly organized Corporate Secretarial Executive to join our dynamic team. The Corporate Secretary plays a critical role in ensuring the company adheres to legal and regulatory requirements while supporting clients and senior management in achieving effective corporate governance. The ideal candidate will have a strong understanding of corporate governance, legal frameworks, and compliance processes within a corporate environment.

Key Responsibilities:

1. Board Support and Governance
   • Serve as the primary point of contact for our clients.
   • Organize and/or attend Board meetings, committee meetings, networking sessions on behalf of the Managing Director, and Annual General Meetings (AGMs).
   • Prepare and circulate meeting agendas, materials, and minutes of meetings, ensuring timely distribution.
   • Advise clients and senior management on corporate governance best practices and relevant regulatory changes
   • Assist in the development and implementation of corporate governance policies, procedures, and practices.
2. Legal & Regulatory Compliance
   • Ensure compliance with all statutory and regulatory filing requirements (e.g., filing annual returns, financial statements, corporate documents, etc.).
   • Monitor changes in laws, regulations, and corporate governance practices that may impact the company’s operations and advise on necessary actions.
   • Liaise with regulatory bodies, legal advisors, and external auditors as needed to ensure compliance with legal and corporate obligations.
3. Corporate Records and Documentation
   • Maintain accurate and up-to-date corporate records, including the Register of Directors and Shareholders, Board resolutions, share certificates, and other statutory documents.
   • Oversee the proper filing and safekeeping of company records, ensuring that all statutory documentation is readily accessible and accurate.
   • Handle changes to the company’s corporate structure, including shareholder transactions, mergers, acquisitions, and other corporate reorganizations.
   • Scan and file emails and documents on behalf of our clients and the company to ensure system documentation is accurate and up to date.
4. Shareholder and Stakeholder Relations
   • Facilitate communication between the company and its shareholders, ensuring their rights are protected and respected.
   • Oversee the preparation and distribution of shareholder communications, including meeting notices, proxy materials, and annual reports.
   • Manage the issuance of shares and track the company’s shareholding structure.
5. Corporate Policies and Procedures
   • Assist in drafting and maintaining corporate policies and procedures related to governance, ethics, and compliance.
   • Ensure that the company follows its internal rules, guidelines, and ethical standards.
6. Ad Hoc Corporate Secretarial Tasks
   • Provide support for corporate transactions such as mergers, acquisitions, or corporate restructuring.
   • Coordinate legal filings for new or amended company bylaws, certificates of incorporation, and other corporate documents.
   • Respond to requests for corporate information from internal teams, stakeholders, or external parties.

Qualifications:

• Education:
  • A professional qualification in corporate governance (e.g., ICSA, Diploma, or equivalent) is highly desirable.
• Experience:
  • Minimum of 3 years of experience in corporate secretarial work, preferably in listed or multinational corporations.
  • Strong understanding of corporate governance, regulatory frameworks, and compliance requirements.
  • Experience in preparing Board papers, minutes, and managing corporate records.
• Skill & Competencies:
  • Excellent written and verbal communication skills.
  • High level of attention to detail and organizational skills.
  • Strong legal and regulatory knowledge, with a practical understanding of compliance matters.
  • Ability to work independently, handle sensitive matters with discretion, and prioritize tasks effectively.
  • Strong interpersonal skills and the ability to interact effectively with senior management, Board members, clients, and external advisors.
  • Fluent in both written and spoken Mandarin.
• Technical Proficiency:

Your main duties are as follows:

• Adhere to hygiene and safety standards

• Take reservations and enquire purpose of visit.

• Present menu and share promotions, specials, and items to customers.

• Accurately scanning and bagging merchandise, ensuring correct pricing and quantities. This may involve handling meat items, so comfort with that is important.
• Keeping the checkout area clean, organized, and well-stocked.
• Assisting with stocking shelves, replenishing inventory (including meat items), and performing light cleaning duties.
• Adhering to company policies and procedures, especially those related to loss prevention and safety (which may be particularly important for a meat-focused store).
• You may be involved in promoting meat items, like informing customers about special offers or new products. This could involve some knowledge of different cuts of meat and cooking methods.

• Customer service and sales skills (including recommending products)
• Ability to lift 15 pounds
• Comfortable standing for long periods
• Adaptable and flexible in a fast-paced environment
• Basic computer skills to learn the store's point-of-sale (POS) system

Working hours:
