The primary role of the Manager / Assistant Manager, Operations is to provide support to the General Manager and any other persons or companies assigned, in a professional and timely manner.
Meticulous and insightful, this individual possesses excellent communication, negotiation, leadership and people management skills, and is able to work with fellow partners, management and colleagues to execute events within tight schedules and stipulated budget.
This individual must be flexible in terms of job scope and work hours to meet the demands of our fast-paced and dynamic organization. The ideal incumbent will have a cheerful disposition, impeccable personal grooming, is highly independent, resourceful and takes initiative, and has effective communication, time management, planning and organizational skills.
Job Responsibilities
- Define types and scale of the projects, propose a suitable venue, and develop event layout and seating plans
- Maintain good relationship with all stakeholders and source for new stakeholders when required
- Liaise and negotiate with all stakeholders, balancing cost efficiency and optimum performance for the events
- Create and propose profit and loss budget for different project profiles
- Oversee and develop operation plans from the start to the end of the events, including contingency and risk management plans
- Coordinate with vendors such as transportation, accommodation, production, ticketing agent and venue to ensure adherence to event plans, budget and ensuring everything runs smoothly and accurately
- Oversee and manage event expenditure within events budget, liaise with finance on invoicing and payment matters to ensure timely settlement
- Manage and liaise with artiste management on the requirements for the events
- Manage all escalated customer enquiries, requests and feedback promptly and professionally
- Comply with various event’s policies and procedures to ensure that they are within government rules and regulations
- Manage a team of 3-4 members in the operation department and tasking them to different projects
- Evaluate latest technology trends that can be leveraged to spur innovation in events and customer experience
- Recommend measures to improve processes, always strive to do better and adopt best practices
- Resolve all project issues and deviations to ensure that projects are executed as planned
- Review project deliverables to ensure that they adhere to event plans
- Explore and manage all other projects within the team such as exhibition, merchandise and customer experience programs
- Support ad hoc projects as directed by the General Manager
Job Requirements
- Possess at least a Diploma with specialization in Events Management, Mass Communication or Project Management preferred
- Preferably at least 4 years of relevant project management experience, preferably in the field of Events, Entertainment or Exhibition
- Strong interest in the music/entertainment or exhibition industry and possess great knowledge in music trends
- Great attention to detail, is highly responsible and takes pride and ownership in work done
- Excellent people managing skills
- Highly independent and resourceful team player with impeccable integrity
- Strong communication, negotiation, interpersonal, quick problem-solving, time management, and planning and organisational skills
- Able to multitask, work well in a diverse and dynamic environment and under pressure during events
- Fluent in written and spoken English; other language proficiency such as Mandarin/ Korean/ Cantonese is a plus given that you will be interacting with artiste and team who are from other countries and might only speak comfortably in their native language
- Comfortable and have readiness to work longer and irregular hours including weekends during event period
