Job Description

The HSSE Administrative Executive assists in the terminal implementation of Occupational Health, Workplace Safety, Fire Safety, Security & Environmental programs and initiatives, in compliance with local legislations and corporate guidelines. He/she will assist in the Integrated Management System administration and documentation.
He/she will also communicate with vendors and contractors for procurement sourcing.

Your tasks:

1) Administer HSSE Standards, Procedures and Practices

• Support in ensuring all staff and contractors comply with HSSE standards and practices
• Promote a culture of safety and good safety behaviours amongst staff and contractors within the company
• Conduct HSSE training (e.g. SIC) for Advario Singapore internal staff and facilitate communication sessions
• Focal point with external service provider for SIC
• Assist in HSSE accident and incident investigations by gathering relevant information

2) Manage HSSE Performance

• Prepare HSSE KPIs for submission to Advario KPIs reporting system and monthly reports for each terminal
• Prepare simple statistical analyses accurately for regular reporting to management
• Administrator for diverse HSSE databases, e.g. HSSE Suites i.e. Cority, WeSustain, Power BI Dashboard

3) Manage Emergency Responses and Crises

• Ensure that safety equipment and PPE are well stocked up for use
• Manage First Aid boxes for all site locations

4) Perform General Administration Tasks

• Overall responsibility for the HSSE documents and to conduct regularly a high level accuracy check (e.g. emergency contact) and updates
• Support in the preparation of documentation for HSSE department
• Management of inventory of safety equipment (Procurement & Purchase)
• Communicate with vendors and contractors for procurement sourcing
• Raise Purchase Requisition / Purchase Order conversion and GRN for payment in SAP system
• System administrator
• Administrator for SMS Notification System for Emergency Response Plan, M-files document system for HSSE department
• Product creation (draft) in NEWTON system, subjected to HSSE Officer / Manager approval
• Initial HSSE information update from SDS into eMOPI for assessment

Your profile:

• Possess at least a Diploma from a reputable polytechnic or institution
• Preferably has a Level B in WSH certificate
• Possess at least 2-4 years of experience in an Administrative role in an Oil & Gas or its related industry
• Proficient in MS Excel, Word and PowerPoint applications
• Meticulous, organised, and detailed oriented
• Good interpersonal and communications and has the ability to multi-task

Please note:

• This position is based in Jurong Island
• Working hours: Mon-Fri, 830 - 1700 hours. Hybrid work arrangement is not applicable due to the nature of the role.

Requirements for Hiring Freshers or Candidates with 1 Year of Experience:

Educational Qualifications:

1. Bachelor's degree or diploma in Accounting, Finance, Business Administration, or a related field.

Skills:

1. Basic knowledge of accounting principles and financial regulations.
2. Proficiency in MS Office (Excel, Word) and familiarity with accounting software like QuickBooks or Tally.
3. Good analytical, problem-solving, and numerical skills.
4. Strong communication and interpersonal abilities.

Attitude and Soft Skills:

1. Willingness to learn and adapt to new systems.
2. Attention to detail and organizational abilities.

Optional Preferences:

1. Internship or coursework in construction finance/accounting is an advantage.
2. Certifications (e.g., ACCA Fundamentals, CAT) may be desirable but not mandatory.

We are seeking a Finance Executive for our Singapore Office to support the Finance & Accounting Team. Candidate should have a minimum of 2-3 years of accounting experience.

Responsibilities:

• Able to handle all aspects relating to the accounting functions to facilitate the closing of the full set of accounts (eg: GL, AP, AR, Bank Reconciliation, Payroll & etc)
• Request and monitor Payments of branches and summarize and report.
• Review contracts & agreements, and follow up with other counterparts.
• Generating integrated reports under the Finance Operation team
• Support the financial planning and cashflow forecasting processes
• Verify that transactions comply with financial policies and procedures.
• Handling any other ad-hoc duties or operational issues requiring finance involvement
• Communicate with IT team to improve the logistics monitoring system
• Update and test system about index and feedback results to the IT team

Job Requirements:

• Degree in Accounting/Finance/ACCA.
• Minimum 2-3 years of accounting experience
• Possess a willing-to-learn attitude
• Team player with good communication skills.
• Demonstrated ability to prioritize and organize workloads for maximum effectiveness.
• Able to work in a fast-paced working environment.
• Proficient in MS Office and Excel.
• Proficient in Microsoft 365 will be advantageous
• Preferable if able to commence work immediately

Remuneration:

• Basic Salary: starting from $2,800 depending on career
• Performance Incentive: $300 monthly depends on performance appraisal & good attendance
• $10 meal allowance for overtime exceeding 2hrs
• 12 days Annual Leave per year
• Standard Sick Leave & Hospitalization & Child Care leave, Marriage leave, Paternity Leave, Maternity Leave
• Quarterly performance reviews with salary adjustments

Working Hours: 5 days

• Mon to Thu – 8 am to 6 pm, Fri – 9 am to 6 pm
