Job Description

We are seeking a highly motivated and experienced Furniture Purchaser to join our dynamic team. The ideal candidate will be responsible for sourcing high-quality furniture, raw materials, and accessories from suppliers in Singapore, Malaysia, and China. This role demands excellent negotiation skills, market knowledge, and the ability to build strong relationships with vendors to ensure the best value and quality for our products.

Key Responsibilities

1. Sourcing and ProcurementIdentify and evaluate reliable furniture and raw material suppliers, manufacturers, and vendors in Malaysia and China.
   Research and analyze market trends to source innovative and high-quality furniture that aligns with our brand's vision.
   Maintain a database of suppliers, pricing, and product information.
   
2. Vendor NegotiationsNegotiate pricing, payment terms, and delivery schedules to achieve cost savings while maintaining quality standards.
   Establish long-term partnerships with reputable suppliers.
   
3. Quality AssuranceConduct on-site visits to suppliers' facilities to assess product quality and production processes.
   Ensure all purchases meet company standards for quality, durability, and design.
   
4. Inventory and Budget ManagementCollaborate with the sales and operations team to forecast demand and plan purchases accordingly.
   Manage purchasing budgets and ensure procurement aligns with the company’s financial goals.
   
5. Logistics and Supply Chain CoordinationWork closely with logistics teams to coordinate the shipment of goods and ensure timely delivery.
   Oversee import/export documentation and compliance with local regulations.
   
6. Travel and Market VisitsRegular travel to Malaysia and China to meet suppliers, attend trade shows, and explore new sourcing opportunities.
   Stay updated on regional trends and emerging products to maintain a competitive edge.
   
7. Reporting and AnalysisPrepare detailed procurement reports, including cost analysis, vendor performance reviews, and market trends.
   Provide recommendations to management for improving sourcing strategies.
   

Requirements

• Diploma/Degree in Supply Chain Management, Business Administration, or a related field.
• Experience or Willing to learn in purchasing or procurement, preferably in the furniture industry.
• Strong knowledge of the furniture manufacturing industry and supply chain in Malaysia and China.
• Excellent negotiation and interpersonal skills.
• Ability to work independently, manage multiple tasks, and meet deadlines.
• Proficiency in Microsoft Office and procurement software.
• Willingness to travel extensively within Malaysia and China.
• Fluency in English is required; knowledge of Mandarin and/or Bahasa Malaysia is an advantage.

A) JOB SCOPE/ KEY RESPONSIBILITIES

1. Handle the Accounts Receivable (AR) and collection functions to comply with company policies and statutory requirements.

2. Prepare and post journal entries (adjustment etc) transactions.

4. Maintain customer database.

5. Process invoices and credit notes that includes administering revenue accruals and revenue recognition.

6. Ensure bank and AR clearing accounts are cleared during month-end closing.

7. Prepare the monthly debtors’ aging report and support in the review and follow up with internal parties for prompt resolution of outstanding items or discrepancy on billings and collections with customers.

8. Prepare bank and donation reconciliations, statement of accounts and schedules for the month-end closing and year-end audit for the society and new companies.

9. Support in internal/ external audit including audit reconciliation and schedules.

B) REQUIREMENTS

1. Minimum qualification of Diploma in Accounting or equivalent or at least 2 years of relevant working experience.

2. Skilled in account system Business Central and MS Office applications (e,g, MS excel, MS word) preferred.

3. Good understanding of finance systems, process and proper accounting treatment in Accounts Receivables Management.

4. Resilient, willing to learn and is result-oriented.

5. Good sense of responsibility, initiative, interpersonal and communication skills.

6. Able to work independently and as a team-player.

7. Must be able to work in a fast-paced environment.
