Grace AG is looking for Facilities Officer to support our 2 church campuses at Grace@Tanglin and Grace@BukitBatok.

The successful candidate will be responsible to provide facilities and building maintenance support, to ensure smooth operations of the church facilities. Candidate must be willing to be deployed and rotated for duties at both campuses.

What You’ll Do

• Work with facilities team in managing the building services (CCTV/ Premises Access/ Chiller/ Carpark Gantry), church services and events etc.
• Partner with Pastoral staff to ensure that our facilities are able to support the Campus’ ministries needs
• Partner with our Facilities Management Company (FMC) to ensure the readiness and preparedness of our premises for activities across the week
• Support booking of rooms and set up of room facilities
• Ensure that security, health, and safety standards are aligned with compliance
• Assist in renewal of various licenses and permits as necessary
• Work with FMC to plan and manage periodic maintenance schedules
• Provide administrative support and back-up to the team as necessary
• Systematic, meticulous, and attentive to ensure a thorough follow through of processes
• Be part of project teams where needed

Who You Are

• Serving your full-time call to ministry
• Minimum NTC 3 in M&E or equivalent
• Knowledge of M&E services will be an added advantage
• Proficient in computer processing skills such as Microsoft 365
• Dependable, responsible, independent and resourceful, with a positive mindset and initiative to contribute
• Strong team player who's ready to roll up sleeves and work alongside a team that's hardwired to work hard, and for whom work is a joy to serve in the Kingdom of God
• Minimum 1 year experience in a similar environment

Job Description

• Arrange bookings with shipping lines or carriers for cargo to be transported via sea. Coordinate closely with suppliers, customers, and various internal departments and warehouse team to ensure smooth cargo flow and timely shipments.

• Prepare and manage all relevant documentation for sea freight shipments, including shipping instructions, customs documents, letter of credit and any other necessary paperwork.

• Arrange timely collections / Dispatch according to customer’s request.

• Monitor the progress of sea freight shipments in real-time, providing regular updates to stakeholders. Address any delays or issues promptly and take corrective actions and pre-alerts to customers.

• Ensure timely billing and accuracy of the invoices.

• Attend and responds on customer’s inquiry.

• Maintain open and effective communication with customers regarding shipment status, delays, and any relevant updates. Provide excellent customer service by addressing inquiries and concerns promptly.

Job Requirements:

• Candidate must possess at least O" Level

• Minimum 1 year of experience in shipping industry.

• Knowledge of L/C Documentations, incoterms, Singapore shipping procedure & freight forwarding experience

• Responsible and committed team player

• Motivated individual and possesses good planning and follow-up skills

• Able to handle high volume of workload in a fast-paced environment

• Immediate Starter will be an added advantage.
