Job Description:

· Review and verify invoices for accuracy and completeness before submission for approval.

· Ensure proper documentation and coding of invoices to accounts code and cost center.

· Process payments to vendors in accordance with the company’s policies and payment schedules.

· Monitor payment status and reconcile vendor statements resolving any discrepancies in a timely manner.

· Coordinate with user department and vendors to handle payment inquiries.

· Maintain accurate and up-to-date records of all payable transactions.

· Prepare monthly bank reconciliation.

• Handle complaints from Production Departments as and when required concerning poor progress or quality work from subcontractors
• Scrutinize information in the PR from Production Departments to ensure fast and smooth interaction with subcontractors
• Handle any additional Claims or Contract Variations from subcontractors
• Keep abreast of subcontracting news in the market on current market pricing and Trends
• Evaluate and assess subcontractors and their facilities, in the form of audit, if required for outsourcing work
• Verify details submitted in subcontractors’ invoices in accordance with Works Order
• Assess and advise the Sub-Contracting Manager of any recommendation by Production Department to list or delist any Subcontractors
• Attend to any other matters related to subcontracting as and when delegated by the Sub-contracting Manager
• Compile database and update on new sub-con short list, latest man-hour rate and cost comparison

Requirements

Account Management

• Lead finance department and drive end to end financial performance of the business inclusive of monitoring financial performances, monthly flash report; credit control; cash flow; investment management; tax; insurance; treasury; internal audit; budgeting and forecasting; and risk management linked to customers and assets.
• Validate written procedures for all accounting processes (accounting rules, fixed assets management, invoice booking, payments etc.).

Financing, Cash Management and Hedging

• Define with group the equity/debt ratios and the core banks
• Interact with the core banks to structure the loans (long term, short term, interest rates)
• Provide guidance to the Treasurer for funding. In case of new projects, liaise and negotiate funding with banks as per inputs of group Corporate Finance.
• Monitor the treasury team for adherence to defined processes.
• Review and present quarterly updates on treasury and fund management to the Board.

Credit & Cash Collection

Position Summary

Preparation of tender and/or invoice for ship-repair and/or conversion projects on the basis of manhours, materials and subcontractor costing both prior to / after award of contract. Discuss with customers/subcontractors/trades regarding scope of work and settle the invoice.

Tasks and Responsibilities

• Understand and evaluate Technical Specification. Preparation and timely submission of comprehensive quotation according to technical specification requirement.
• Preparation and timely submission of Repair Invoice to Owners according to the work carried out. Discuss, negotiate and close out invoices with owners. Following up of ongoing work and updating of Cost and Budget.
• Sourcing of sub-contractors/vendors for ship-repair works and Issue Purchase Order, including negotiation of Subcontractors/vendors Invoices’.
• Maintain proper order of Estimating and invoicing filing.
• Keeping in close contact with Owners and Production alike for updates on repairs on board.
• Close follow up on estimated manhours and actual manhours. Discuss with relevant trade supervisors and revise and/or control the manhours.
• Negotiate with vendors for equipment purchases related to Repairs and Conversions, prepare Sales Agreements / Invoices.
• Prepare and submit profit and loss reports for management reporting.

Job Requirements

• Minimum (2) years working experience in the field of ship repairs.
• Minimum (2) years working experience in the Commercial Department of a medium sized Shipyard.

Responsibilities:

• Assist stakeholders to identify any unsafe condition or unsafe work practice
• Recommend stakeholders to implement reasonable and practical measure
• Assist in developing and monitoring EHS programme and policies
• Conduct EHS (Environmental, Health & Safety) inspection/surveys within Land Systems plants and recommend appropriate corrective measures

• Assist in the investigations and reporting of accidents/incidents and recommend preventive and correctives measures
• Plan and conduct internal and external audits as per statutory requirements (i.e. ISO 14001 and ISO 45001)

• Plan and coordinate MOM regulatory medical examination(s) and report
• Review and update of EHS documents (i.e. Risk Assessment, Safe Work Procedures, Lifting Plan)

Requirements

• Registered WSHO (MOM) with at least 3 years of post-registration and practical experience
