Job Description & Requirements

• To provide a full suite of corporate secretarial services to our clients
• Assist in the incorporation of new companies, registration of Singapore Branches and other entities, striking off, ensuring compliance with the requirements of the Singapore Companies Act and the relevant laws
• Perform ACRA e-filings
• Responsible for preparing directors/shareholders resolutions, relevant statutory forms, and other related documents for ongoing corporate secretarial matters, such as opening bank accounts, changing bank signatories, etc.
• Assist in KYC (Know Your Client) checking and onboarding of new clients from across the world as well as liaison and coordination with third parties (auditors, accountants, etc.) for clients
• Update and maintain statutory registers and other records including the Register of Controllers and Register of Nominee Directors
• Any other corporate and ad-hoc jobs as required

Requirements

• Diploma/Advanced Diploma/Degree in relevant field, Business Administration, Business Management or Law
• ICSA qualification or currently pursuing SAICSA course (Beneficial but not compulsory)
• Relevant experience in corporate secretarial firms
• Working knowledge of relevant provisions of the Singapore Companies Act is a plus
• Strong interpersonal and communication skills; team player
• Self-motivated and proactive; able to work independently and meticulously under tight deadlines.

Duties & Responsibilities

• Responsible for full sets of Accounts
• Prepare month-end and year-end financial statements
• Prepare financial statements, payments, AR billings, journals, monthly schedules, bank statement reconciliations, staff reimbursements, GST submission etc.
• Prepare management reports i.e. project analytics, revenue, costs, cash flows, AP, AR, Related Party Transactions reconciliation for group reporting & etc.
• Liaise with internal and external parties on billings, payments, reconciliations, audit, taxation matters
• Assist in banking matters, account opening, LC, insurance bond & etc.
• Assist in corporate secretarial activities
• Coordination for physical inventory and fixed assets count on an ad-hoc basis
• Responsible for statistical filing
• Hands-on and work with other team members for finance deliverables

Requirements

• Accounting Degree, Partial ACCA or other relevant qualifications
• Proficient in MS Excel, Words, PowerPoint & etc
• Good communication, organization and administration skills
• Hand-on experience in Navision accounting software is an advantage
• Experience in Process/ construction industry is an advantage
• Min 5 year of experience.

• Manage and process payroll for all workers on a timely basis, such as, computation of staff' salaries, allowances and deductions, processing of wages, statutory submissions, annual & ad hoc tax fillings, etc
• Manage claims from employees and with government authorities( Levy Waiver, etc)
• Supporting Employees and Management by driving, planning, coordinating and implementing effective HR guidelines, procedures and guidelines across the full spectrum of HR
• Analysis of Manpower resource allocation, visa quotas and emplyee satisfaction
• Manage work pass apllications, renewals & canncellations
• Manage the repatriation of work permit holders
• Putting together regular and ad hoc payroll and costing reports for management and employees
• Continuous improvement of HR systems and policies
• Ensuring training is implemented to ensure all necessary certificates and / or Licenses are obtained by the company under full compliance of regulations
• Maintaining employee record, employee payment details and health records, employee relation and communication

Position Requirements:

• At least 3 year(s) of working experience in the related field is required for this position.
• Strong understanding of MOM guidelines for labor law requirements for the construction industry in singapore
• Biligual in English and Chinese (in order to handle queries, questions and concerns from English and Mandarin speaking staffs in regards with the payroll, allowances and deductions, annual & ad hoc tax fillings and other hr related matters.)
• Proactive approach with outstanding problem solving skills

1. Assist to ensure efficient cargo transportation as per charter party (CP) with positive turnaround of vessel.
2. Assist with cargo stowage plan to optimize tank utilization, compliance of statutory regulations, monitoring tank cleaning operation progress and coordinating with chartering on voyage requirements.
3. Assist with preparing daily, weekly, monthly and yearly or any other periodical reporting or results as required by the chartering team or owners.
4. Assist to coordinate voyage planning, voyage instruction to vessel, cargo matters and documentations such bills of lading, letter of indemnity and letters of protest.
5. Assist in monitoring vessel’s performance and feedback to chartering team and owners as required.
6. Assist in monitoring each vessel’s trading certificates status prior calling to their next port to ensure fulfilment of the voyage CP.
7. Assist in data compilation and dispute resolutions pertaining to cargo matters and other related subjects to commercial operations.
8. Liaise with Insurance department, P&I Club and other third parties (e.g. BIMCO, INTERTANKO) for opinion and recommendation for solutions to best protect the commercial objectives and in the best interest of the owners.
9. Strategize operating cost to ensure it is comparative and competitive to the industry’s standards.
10. Maintain close relationship with charterer, brokers, vessel’s masters and owners’ representatives.
11. Monitor vessels daily bunker consumption while at sea and while in port, communicate with master whenever vessel is not meeting speed and consumption requirement.
12. Monitor vessel’s performance and pool point calculation from the pool’s digital platforms. Report discrepancy to Fleet Manager.
13. Monitor vessels daily noon reports, ensure data meeting charterer’s requirement and speed and consumption meeting charter party.
14. Monitor and update charters and owners on vessels EU ETS and EUAS status.
15. Plan the routine operations meeting with owners, charterer and pool operators.
16. Communicate with Major Oil companies for vessel clearance and screening.
17. Communicate with charterers for vessel’s voyage clearance and provide the required documents.
18. Communicate with owners and charterers to arrange additional voyage insurance when required.
