HR and Admin

• Handle all work pass applications, issuance, appeal, renewal, and cancellation;
• Manage payroll and CPF, taxation for employees;
• Prepare letters of employment, confirmation, other HR-related documents etc;
• To do any other ad-hoc assignment given by Management

Requirements:

• Minimum Diploma in Accounting or equivalent
• At least 3 years relevant experience
• Able to work independently

Job Purpose

• Responsible for the entire lifecycle of contracts within the organization. This includes drafting, negotiating, reviewing, and finalizing contracts to ensure they align with company policies and legal requirements.
• Oversee compliance with contractual obligations during the execution phase.
• Monitor contract performance, payments, and financial implications. They may be involved in budgeting and forecasting related to contracts.
• Continuous improvement of contract management processes and procedures
• Identify inefficiencies and recommend improvements to streamline operations and reduce costs

Core Responsibilities

• Ensures that the Project contract administration needs, objectives, and requirements are aligned with the Operation team.
• Advises the Operation Team, Procurement Manager, and other stakeholders on any deviations from contract requirements during Project execution.
• Analyzes contract terms to identify potential risks and opportunities related to contract clauses especially financial related matters.
• Proposes alternative contract provisions to mitigate risks and negotiates with customers using persuasive arguments.
• Coordinates with the Operation Team, participates in meetings, reviews drafts, revises, and maintains records of all contractual correspondence exchanged with clients, vendors, subcontractors, and authorities during project execution.
• Assesses supplier/subcontractor claims for entitlement and variation orders according to contract requirements.

Skills & Experience Required

• Proficiency in microsoft office (Especially Power BI)
• Financial modelling and cost management
• Proficient in Power BI and Microsoft Excel for data analytics
• Developing plans and estimating budgets and timescales
• Critical thinker and problem-solving skills

Qualifications/Certifications Required

• Candidate must possess at least a Diploma, or Degree in Business, Economics, Finance, Data Analytics or relevant field.
• Interested in Strategy/ Corporate Development/Business & data analysis or similar function

Duties

• Assist with administrative tasks such as monitoring boat and certificate expiries, updating survey status tables, and ensuring compliance with vessel certification requirements.
• Manage port clearance declarations, ICA clearances, and crew visa applications for tug boats and barges traveling to OPL, high seas, or the next port.
• Handle crew management, including employment under STCW requirements, coordination with manning agencies, and ensuring necessary certifications for Singapore or Malaysia-flagged vessels.
• Verify crew credentials such as COC and GOC, apply for necessary Flag certifications, and update crew information in the management system.
• Oversee vessel-related operations such as updating Flag details on platforms, booking pilotage, and extending non-harbor craft licenses through ICA.
• Manage crew-related finances, including salary disbursement, allowances, and payroll reporting, while ensuring smooth daily crewing operations.

Requirements

• Min 2 years experience as crewing executive and boarding officer for tug boats, AHTS;
• Able to work at irregular hours (as required to standby 24/7)
• Proficient in MS Office

Purpose and Scope

• Responsible for the daily deployment of drivers and crews
• Assist with daily planning of days and nights routes and CRM bin deliveries

Qualification, Skills and Experience

• Completed GCE O level / Diploma in any discipline with at least 2 years’ experience in Logistics / Operations Management
• Preferably with own transport
• Proficient in Microsoft office application
• Preferably with Class 4 license
• Good interpersonal and communication skills
• Able to commit to rotating weekend/ Public Holiday duties and rotating early deployment duties as early as 6.30am
