Responsibilities:

• Provide basic administrative support, including handling incoming calls, responding to emails, and greeting visitors professionally.
• Assist in organizing and maintaining files and records, ensuring information is stored accurately and accessible.
• Manage office supplies inventory, ordering items as needed to maintain adequate stock levels.
• Enter and update data in company systems, ensuring all information is accurate and up to date.
• Assist in preparing simple reports, presentations, and documentation for internal use.
• Handle basic document filing, scanning, and archiving duties.
• Support scheduling and coordination of meetings, appointments, and company events.
• Book meeting rooms, prepare materials for meetings, and ensure necessary arrangements are made.
• Provide general support to other departments as needed, including HR, Finance, or Operations.
• Assist in organizing company events or employee engagement activities when required.
• Support various office tasks and provide administrative assistance on an as-needed basis.
• Assist in ensuring a clean, organized, and welcoming office environment.

Requirements:

• Diploma or Bachelor's Degree in Business Administration or a related field.
• 1 years of experience in an administrative
• Strong communication, organizational, and multitasking skills.
• A proactive problem-solver with the ability to work independently and manage multiple tasks efficiently.

Job Description

System Management

• To assist in maintaining the Resource Booking Service when needed

Logistic and stock taking

• Assist to manage and track all non-SSOE ICT/AVA resources and inventory (e.g. iPad, Microsoft Surface Pro, printers, etc.) with up-to-date documentation
• Stock-take and updates inventory records for school and audit purposes
• Maintain repair and loan records of ICT/AVA equipment

Support daily operations (AVA & IT)

• Assist in the planning and implementation of ICT-related programs (e.g. staff professional development in ICT, learning journey using ICT, cyber wellness program, etc.)
• Assist school-initiated ICT/AVA infrastructure projects, including providing progress report, manage vendors and contracts ·
• Provide professional inputs and recommendation on ICT/AVA solutions that can meet the school’s needs
• Implement preventive measures and maintenance for IT & AVA Equipment
• Assist Head of Department and ICT Associate/Manager in the preparation of all necessary administrative duties for the purchase and condemnation of AVA and ICT equipment
• Provide ICT/AVA/multimedia support for school events (e.g. on site and online streaming events)
• Assist in liaising with vendors for the maintenance and repairs of AVA and IT equipment
• Assist in troubleshooting and support for school-owned devices
• 1st level of troubleshooting of student-owned devices
• Advising students on the proper use of student-owned device applications and online learning systems ·
• Supporting Home-Based Learning logistic loaning and school hotline help in terms of online learning portal or systems
• Checking and set-up of equipment used in classroom and for examinations such as portable speakers ·
• Assist in rectifying and identify equipment that requires maintenance work
• Troubleshooting of AV and IT equipment in classroom on a daily operation
• Providing support to teachers in the use of AV and IT equipment in classroom (e.g. Image and sound projection, observation video recording, School-owned device such as iPad and Chromebook support in classroom during lessons)
• To support and enhance the educational experience in a school environment utilising Chromebooks as student devices.
• Assist to book resources in RBS via school timetable and upon ad-hoc request by teachers

Requirements

• Polytechnic Diploma in IT or equivalent At least 2 years of relevant working experiences.
• Experiences in AV/IT support, Basic knowledge of troubshooting devices (Chrome, IOS or Windows operating system), Inventory management, video and photo editing will be an advantage

Working hours

• Mondays to Thursdays: 7:30am to 4:45pm, inclusive of 1hr lunch break
• Fridays: 7:30am to 4:15pm, inclusive of 1hr lunch break
• Service not required on Saturdays, Sundays and gazetted public holidays

Duties:

• Oversee demand planning and ordering to maintain optimal inventory levels in distribution centers and warehouses.
