The position is responsible for the debtor’s function: processing credit application, invoicing, debt collection, AR cashiering, reconciliations and month end requirements. Accounts Receivable Duties:

City Ledger

• To assess the customer's credit worthiness by research through various available sources and to recommend credit approval or disapproval to the Management.

• In the AR module, set up AR accounts for newly approved credits and ensure creditors’ details are correct at all times.
• Accountable for the accurate processing of all AR accounts.

Credit Cards

• Process credit applications within 10 working days, ensuring that clients are notified promptly and professionally.

City Ledger

• Ensure all invoices / statements are issued on a timely basis.

• Ensure all travel agent commissions are timely processed and paid. 
• Report on monthly accounts receivable ageing analysis and detailed accounts’ ledgers.

• Appropriately manage all delinquent accounts, liaising with debt collectors where needed.

Guest Ledger and liaison with Front Office

• Liaise between Accounting Department and Front Office.
• Ensure PM accounts are checked on daily basis and transferred to city ledger within 48hrs from the departure date.
• Review the Advance Deposit ledger to ensure all the balances are either current or for future date.
• Inform Front Office Manager of any deviations from policy by Duty Managers, or Front Office Cashiers that may come to his/ her attention.
• Keep a record of accounts receivable, and subsequently issue invoice and statement promptly. Chase payment whenever it is not received on time.
• Ensure guest refunds are processed in a timely manner as per the hotel policy; with all supporting paperwork and required authorizations.
• To be ready and responsible when assigned to perform any other duties as designated by higher management.

Candidates are expected to:

• Handle and reply to customer enquiries via telephone, fax, email and social media platform(s)
• Prepare verbal and/or written quotation(s) on sales
• Follow up on all quotation(s) by making outbound calls and emails to customers to ensure the completion of the sales cycle
• Understand customers’ needs and provide additional information to identify additional sales opportunities
• Establish good rapport with existing and new customers
• Update sales and management team on customer feedback and order information
• Process sales order, liaise and coordinate with vendors, operations, logistics, and technical workshop departments for efficient and timely delivery
• Update inventory stock records and file sales-related documents
• Perform any other ad-hoc duties as assigned

A successful candidate will possess:

• At least GCE "O"/"N" Level and above qualifications
• 2 years of sales-related experience in a marine industry

Job Scope:

· Daily frontline operations

o reception – attending to public enquiries and public collecting documents such as result of search of marriage records and extract copy of certificate, registering couples for solemnisation at ROMM, assisting public to submit applications at ROMM’s eKiosk

o counter – preparing couples for VDSD interview session with Kadi, assist public for ROMM services such as applications for polygynous marriage, letter of recommendation (LOR), revocation of divorce, change solemnisation details

· Administrative support

o processing, preparing and issuing acknowledgement letters for cancellation of marriage applications

o screening of applicants for matters such as past marriage records

o processing applications for searching of old marriage records and extract of certificate of marriage (COM).

o ensuring completion of attendance of ad hoc Kadi/Naib Kadi providing coverage of duties

o assigning of cases to ROMM Kadi for follow-up.

o Assisting in the digitisation of marriage records, i.e. preparing and packing of documents for scanning by vendor, verification of scanned vs physical records, saving of scanned documents into eRegistry and packing of physical records for storage.

· Other duties assigned by supervisor

• Assist to manage IT functions including hardware maintenance, software application and hardware upgrades, data migration and system installation. Provide hardware support for printers, monitors, Desktop PCs, Laptops, smartphone devices.
